5 Introduction INTRODUCTION OVERVIEW OF ASI LASER PRINTING The AutoSoft Dealer Management System is changing at an increasing rate. New enhancements are being made daily, such as the new look of our laser printing setup screens as well as the operation of laser printing. Just like in any other business, you try to make your product better. In our business, we send out periodic upgrades to ensure our customers are getting the best product on the market today. The new ASI printing program has been designed to accommodate our customers overwhelming desire to use laser printers in all the work areas. We have had other laser printing programs before, but our customers wanted to do more with printing. We have continued to make advances in printing, and we update our customers in a timely manner. We now feel that the laser-printing program you are about to load will answer all your needs as well as your future wants. OVERVIEW OF THE INSTALLATION PROCESS In order to achieve this, there are steps to be taken before setting up the laser printing through the AutoSoft Program. Each chapter walks you through completing one of these steps. The following is a brief outline of each chapter. Chapter 1 Setting up a Local Printer The first step in setting up your system for laser printing requires all hosts to share their printer on the network. Chapter 1 walks you through installing a local laser printer and sharing the printer with other users. Chapter 2 Setting up a Shared Network Printer The next step in the installation process requires all remote stations to add a network printer or two on their systems. Chapter 2 walks you through adding the network printers. It includes a section for Microsoft Windows 95/98 and a section for Windows 2000 Professional. Chapter 3 Setting up Multiple Trays Once the printers are installed, you must set them up for printing from multiple trays. Chapter 3 walks you through going into printer properties and changing the necessary settings. This chapter also explains how to set up multiple types of printers in both Windows 95/98 and Windows 2000 Professional. Chapter 4 Setting up Accounting for Laser Printing Chapter 4 walks you through setting up the Dealership Accounting program for networked laser printing. The setup needs to be completed in the workstation printer setup and in Disbursements and Payroll. Chapter 5 Setting up Service Writing for Laser Printing Chapter 5 walks you through setting up the Service Writing program for networked laser printing. This includes setting up a default workstation printer and default printer for printing laser repair orders. Chapter 6 Setting up Parts Inventory for Laser Printing The final step will be to set up Parts Inventory for networked laser printing. This includes setting a default printer for the workstation and default printer for printing laser counter slips. 1

6 AutoSoft Laser Printing OVERVIEW OF THE MANUAL STRUCTURE This manual has systematic instructions to help you set up your own system. When possible, each chapter presents instructions for setting up laser printing on Windows 95/98 and Windows 2000 Professional. Some of the screens will look similar to the screens you see during the installation, and some of the screens will look slightly different. This discrepancy is due to the many different operating systems on the market. Because the screens may vary slightly, it is important that you pay close attention to the screens you see and the instructions presented in each section. If you pay close attention to what you see and the instructions the manual provides, you will be able to follow along and work through screens despite their differences. Regardless of the operating system, all that you will be doing is adding a local printer or adding a network printer. If you think of it that way, you won t have a problem. 2

7 Chapter 1 Setting up a Local Printer on Windows 95/98/2000 CHAPTER 1 SETTING UP A LOCAL PRINTER ON WINDOWS 95/98/2000 This chapter will walk you through adding a local printer. The example screens may not look exactly like the screens you see, so it is important that you pay attention to the screens that appear and read the instructions in the manual and on your screen carefully. 1. Click Start. 2. Point to Settings. 3. Click Printers. 4. Double-click on Add Printer. 3

9 Chapter 1 Setting up a Local Printer on Windows 95/98/ Select LPT1 as the port 9. Click Next to continue. 10. Under Manufacturers, select the manufacturer of your printer. 11. Under Printers, select the type of printer you have, or if you have a disk to load, click Have Disk. 12. When you have the correct printer, click on Next to continue. 5

10 AutoSoft Laser Printing 13. If you have existing drivers for the printer, you can keep the existing drivers or replace them. (We suggest you select Keep the existing driver.) Select the driver option you want to use. 14. Click Next to continue. 15. Under Printer Name, type a name that reflects where the station resides or leave the default name. 16. Select on Yes to set the printer as the default Windows printer. 17. Click on Next to continue. 6

11 Chapter 1 Setting up a Local Printer on Windows 95/98/ If you are hosting a printer, it is important that you share your printer on the network so others can send their print jobs to your printer. Select the sharing option that applies. 19. Click Next to continue. 20. Select Yes to print a test page. 21. Click Next to continue. 7

13 Chapter 2 Setting up a Shared Network Printer CHAPTER 2 SETTING UP A SHARED NETWORK PRINTER In order to use the updated printing program in AutoSoft, you will be sharing the printers that are hosted by Service, Parts, and sometimes the Cashier s workstation. Each of these areas will have at least one laser printer wired directly to a particular computer in the department. The other workstations that do not have printers wired directly to them will add a network printer to their workstation. This chapter walks you through setting up a shared network printer. The chapter is divided into sections for Windows 95/98 and Windows 2000 Professional. Reference the section that applies to your operating system. WINDOWS 95/98 The following instructions walk you through installing a network printer on Windows 95 and Click Start. 2. Point to Settings. 3. Click Printers. 4. Double-click on Add Printer. 9

Scroll down the list to find the computer name that has the shared printer and click on it. 10. After you ve clicked on it, you will see the shared printer underneath the computer name. Click on the shared printer to highlight it. 11. Click OK to accept the printer. 11

16 AutoSoft Laser Printing 12. Under Network path or queue name, verify that the network share name and printer are correct. 13. Select No to print from MS-DOS-based programs. 14. Click Next to continue. 15. Under Manufacturers, select the manufacturer of your printer. 16. Under Printers, select the type of printer you have, or if you have a disk to load, click Have Disk. 17. Click Next to continue. 12

When the installation of the printer is complete, you should see an icon in the Printers window similar to the one in the example below. WINDOWS 2000 PROFESSIONAL The following instructions walk you through installing a network printer on Windows 2000 Professional. 1. Click Start. 2. Point to Settings. 3. Click Printers. 4. Double-click on Add Printer. 14

23 Chapter 3 Setting up Multiple Trays CHAPTER 3 SETTING UP MULTIPLE TRAYS This chapter helps you set up multiple trays in Windows 95/98 and Windows 2000 Professional. Each section explains how to set the trays for the Lexmark Optra M410 and Okipage 14i. Reference the parts that are relevant to your operating system and printer. WINDOWS 95/98 Choosing Tray 2 on the Lexmark M Click Start. 2. Point to Settings. 3. Click Printers. 4. You should see a Lexmark M410 icon in the Printers window or an icon for the printer you installed. 19

If you select Auto select, you may receive an error when you print. Therefore, you should be sure to select a tray rather than using the auto-select option. 23

If you select Automatically select, you may receive an error when you print. Therefore, you should be sure to select a tray rather than using the auto-select option. 16. Click OK. 39

44 AutoSoft Laser Printing 17. Click OK on the Okipage 14i Properties window. 18. Exit the Printers window. The multiple tray setup is complete. Once you have finished installing the local and network printers and setting the printers to print from multiple trays, the general printing setup is complete. Now, you must set the printing parameters in AutoSoft DMS for Accounting, Service Writing, and Parts Inventory. The next three chapters walk you through setting up the printers in each section of the program. 40

45 Chapter 4 Setting up Accounting for Laser Printing CHAPTER 4 SETTING UP ACCOUNTING FOR LASER PRINTING The following instructions walk you through setting up Dealership Accounting for laser printing. In addition to setting up laser printing for the workstation, you must setup laser printing in the Disbursements and Payroll. WORKSTATION SETUP 1. Click Settings & Utilities on the ASI DMS main menu. 2. Click Settings on the File Utilities & Settings menu. 41

46 AutoSoft Laser Printing 3. The Printer Setup appears. The Default Tab is displayed. You use this tab to select the default printer for this workstation. 4. Use the first drop-down list to select the printer you want to use as the default printer for this workstation. All available printers on the workstation appear in the list. 5. The Default Paper Bin For This Printer field automatically displays a default paper bin/tray for the printer. If necessary, use the drop-down list to select a different bin. 6. The Printer Start Line Factor determines the top margin. This determines how far down on the page the text starts printing. Enter the appropriate value. You will need to enter large values to visually see a difference in the print. Do not leave 0 in this field. You must enter a value to ensure you do not receive an error when you print. 7. The Printer Left Margin Factor determines the left margin for the page. This determines how far over the text will start printing. Enter the appropriate value. You will need to enter large values to visually see a difference in the print. Do not leave 0 in this field. You must enter a value to ensure you do not receive an error when you print. 42

47 Chapter 4 Setting up Accounting for Laser Printing 8. Click T to print a test page using the values you set. 9. Click Yes when prompted to verify you want to print a test page. 10. Check the printout and adjust the values as needed. 11. Repeat steps 4 10 for the Buy Here Pay Here, Cashier, Disbursements, Payroll, and Purchase Orders tabs. 12. When you are finished, click Back. The system automatically saves the changes. DISBURSEMENTS 1. Click Accounting on the ASI DMS menu. 43

48 AutoSoft Laser Printing 2. If you are prompted to verify the system date and time, click OK. 3. Click Journal Entries on the Dealership Accounting menu. 4. Click Disbursements. 44

49 Chapter 4 Setting up Accounting for Laser Printing 5. Click to select any check register when prompted. 6. Click Printer Setup on the Disbursements menu. 7. The System Setup screen appears. 8. Click to select the account for the parameters you are entering. The account numbers refer to the accounts entered in the Operating Parameters in the Accounting Setup. 9. If you use blank checks, fill in your account number and bank routing number. If you use pre-printed checks, leave these fields blank. 10. Use the MICR fields to set the margins for the check. A MICR value of 144 is equal to 1 inch. 11. Specify the spacing between the routing number and account number. This is usually 2. 45

50 AutoSoft Laser Printing 12. Use the drop-down list to select the default printer and paper bin/tray that will be used to print the checks. 13. In Print Start Line Factor, type the value for the top margin of the check. This value affects how far down on the check the text will begin printing. You will need to test values until you find the correct settings for your printer. Increase the value to move the text down; decrease the value to move the text up. 14. Type the general ledger account number used to post discounts. 15. Type the number of copies you want to print. 16. Specify if the copies should always print with the checks. Type Y for yes or N for no. 17. Indicate if you want the total amount on the check to print in words or numbers. Type W for words or N for numbers. 18. Indicate if you want the memo line to print on the check. Type Y for yes or N for no. Important: PIN printing is no longer available in the program. Skip the last three fields that pertain to PIN printing. 19. Click Print Sample to test the values. 20. Select To Printer. 21. Click Print. 22. Check the printout. The first page of the test print prints lines and number. The second page is the copy of the check. This page looks like the actual check. Make any changes, and continue to print test and adjust the settings until everything lines up on the printout. 23. Repeat steps 2-16 for each checking account. 24. Click Back to return to the Disbursements menu. The system will save the values on the screen. 25. Click Exit on the Disbursements menu. 26. Click Exit on the Journal Transactions menu. 27. You will be back at the Dealership Accounting menu. 46

51 Chapter 4 Setting up Accounting for Laser Printing PAYROLL PRINTING SETUP 1. Click Payroll on the Dealership Accounting menu. 2. Click Setup. 3. Click Printer Setup on the Tables Parameters menu. 4. The System Setup screen appears. 5. Click Printer Setup. The Printer Setup screen appears. 6. In Account Number, type the bank account number for the account used for payroll. If you are using pre-printed checks, leave this field blank. 7. In Bank Routing Code, Type your bank s routing number. If you are using preprinted checks, leave this field blank. 8. Use the drop-down list to select the default printer and paper bin/tray that will be used to print checks. 9. In Print Start Line Factor, type the value for the top margin of the check. This value affects how far down on the check the text will begin printing. You will need to test values until you find the correct settings for your printer. Increase the value to move the text down; decrease the value to move the text up. 10. Use the MICR fields to set the margins for the check. A MICR value of 144 is equal to 1 inch. 11. Indicate if you want the employee s remaining vacation hours to print on the check stub. Type Y for yes or N for no. In order for the hours to print, you must set up the Payroll module to track vacation time. See the AutoSoft DMS Payroll manual for instructions on how to set up the module to track vacation time. 17. Indicate if you are using a tractor-fed printer. Type Y for yes or N for no. Important: If you are using PIN printing, you must fill in the last two fields on this screen. 18. Click Print Sample to test the values. 19. Click to select To Printer. 20. Click Print. 21. Check the printout, and make any changes. Continue to test print and adjust the settings until everything lines up on the printout. 22. Click Back to return to the Payroll Setup menu. 23. Click Exit on the Payroll Setup menu. 24. Click Exit on the Dealership Payroll menu. 25. Click Exit to close the Dealership Accounting menu. 26. You will be back at the ASI DMS main menu. You are finished setting up Accounting for laser printing. 48

53 Chapter 5 Setting up Service Writing for Laser Printing CHAPTER 5 SETTING UP SERVICE WRITING FOR LASER PRINTING The following instructions will walk you through setting up Service Writing for laser printing. This includes setting a default laser printer for the workstation and setting a default laser printer for Service Writing. 1. Click Settings & Utilities on the ASI DMS main menu. 2. If there is no printer set up, use the drop-down lists to select the appropriate printer and paper bin/paper tray for each item that will be printed from Service. 51

Perform a test print to check your settings. 17. Click on the Dispatcher tab and repeats steps 4-10 to set the printer for the Dispatcher feature. 18. Click Back to exit the printer setup. The system automatically saves the changes. 19. Click Exit on the File Utilities & Settings menu. You will be back at the ASI DMS main menu. You are finished setting up Service Writing for laser printing. 52

57 Chapter 6 Setting up Parts Inventory for Laser Printing CHAPTER 6 SETTING UP PARTS INVENTORY FOR LASER PRINTING The following instructions will walk you through setting up Parts Inventory for laser printing. This includes setting a default laser printer for the workstation and setting a default laser printer for Parts Inventory. 1. Click Settings & Utilities on the ASI DMS main menu. 2. Check the printout and adjust the values as needed. 11. Click on the Parts tab to set printer settings for Parts. 12. The Parts Printer Setup appears. 13. Verify there is a printer selected. If there is no printer set up, use the drop-down lists to select the appropriate printer and paper bin/paper tray for counter tickets and cashier copies. 14. You can select different printers to print different copies as needed. 55
