10 Introduction Introduction Discovery Manager is an add-on product to the EMC SourceOne Management product used to search for, collect, review, and export archived in response to legal or regulatory notice, or corporate policy complaint. The Management product provides the core architecture to support other SourceOne products. This architecture includes the components to support the core processing services, databases, archives, storage and applications needed for both the Management product and other SourceOne products. Discovery Manager enables users to: Search for messages residing in the following archives: EMC SourceOne Native Archive Xtender 4.8 SP1 archive Copy messages to EMC SourceOne hold folders, which are defined using the EMC SourceOne console. 10 EMC SourceOne Discovery Manager Version 6.7 Installation and Administration Guide

For more details on establishing this infrastructure, refer to the EMC SourceOne Management Installation Guide. The Discovery Manager database is installed on a Microsoft SQL Server host computer (or SQL Server instance) and maintains data related to Discovery Manager. Discovery Manager integrates with EMC SourceOne Management by installing the Discovery Manager Server software on a host computer running the following EMC SourceOne software: Worker Services Web Services Installing the Discovery Manager Server software on an EMC SourceOne Web Services host computer adds the Discovery Manager Web service. The Web service schedules the execution of several operations on behalf of the Discovery Manager client application, including discovery searches and copying results to a hold folder. You can install Discovery Manager Worker Services software on additional Worker Services computers to enable them to process Discovery Manager activities. You install Discovery Manager client software on end user computers. This thick client provides a user interface to perform discovery tasks based on the roles assigned to the user. 13 Introduction High availability You can provide a highly-available configuration for Discovery Manager as follows: Discovery Manager Web Services high availability on page 13 Discovery Manager activity processing high availability on page 14 Discovery Manager Web Services high availability Ports Temporary work directory size You can install the Discovery Manager Server software on two or more EMC SourceOne Web Services host computers and use a network load balancing using an appliance or software solution such as Microsoft Network Load Balancing Service (NLBS) to provide high availability. To ensure that the Web services are highly available for users of the client application: 1. Install Discovery Manager Server software on two or more SourceOne Management Worker Services/Web Services host computers. 2. Configure the load balancer to include these computers. 3. Specify the virtual host name for the load balancer when you install the Discovery Manager client software. Depending on the configuration, the following ports should be configured in the network load balancing appliance or solution: SSL (recommended) 443 Non-SSL 80 The export to PST functionality provided by Discovery Manager requires a large temporary work directory be available, depending on the configuration. For example, a Discovery Manager worker dedicated to only processing Discovery Manager activities can process four jobs with a maximum of 5 GB of data for each, and requires that this data be temporarily written to a work directory during processing. In this scenario, a location with at least 20 GB of free space would be required. Therefore, when specifying the work directory during Discovery Manager Server installation, ensure that a local directory with an appropriate amount of disk space specified. High availability 13

14 Introduction Discovery Manager activity processing high availability In combination with configuring load balancing of the Discovery Manager Web Service, you can enable additional workers to process Discovery Manager activities by installing Discovery Manager Worker software and enabling Discovery Manager processing on that computer as described in Configuring workers for Discovery Manager on page 52). Note: By installing Discovery Manager Server on more than one worker as part of the load balancing configuration, each computer can now process Discovery Manager activities as well. 14 EMC SourceOne Discovery Manager Version 6.7 Installation and Administration Guide

Refer to the EMC SourceOne Management Installation Guide for more information on the accounts and permissions used with EMC SourceOne. Note: The database permissions for the Discovery Manager database must be assigned after installing the database as described in Configure SQL permissions on page 32. SQL database installation permissions To successfully install or update the Discovery Manager databases, you must ensure that the installation account used to log in to the SQL Server host computer: Is a member of the local administrators group Has SQL sysadmin server role privileges By default in SQL Server 2005, the sysadmin role contains all members of the Windows BUILTIN\Administrators group and the local administrator's group. If the default configuration exists, and the installation account is a member of either of these groups, it already has the sysadmin role. In customer scenarios where this is not the case, you must temporarily establish the permissions described above. The sysadmin role for the installation account is specifically needed to add system-level error codes in the sys.messages table and is not used for any other purpose. Accounts and permissions 15

16 Introduction This permissions requirement is temporary, and is only needed until you complete all database installations or updates and verified success by reviewing the database installation log files. For security purposes, you can remove this installation account from the local administrators group and revoke the sysadmin role once installation or update of the databases is complete. Note: Procedures for updating existing Discovery Manager databases is provided in the product release notes. Authorizing users Discovery Manager performs all authentication and authorization based on Microsoft Windows authentication. The Discovery Manager client application disables or hides functions for which a user does not have permissions. Advantages include: Authorization information is stored in Microsoft SQL. Default and matter-specific roles are supported. Each user in Discovery Manager can have different global and matter-specific roles. Password information is not stored in Discovery Manager. Establishing the initial user At first run, an initial Discovery Manager user is created in the Discovery Manager database. This user is assigned the User Administrator role for Discovery Manager. This user can run the Discovery Manager client application on the Worker Services host computer, and begin to add users and assign roles. The procedure for configuring this initial user and the process for installing Discovery Manager client software is described in Client software installation process overview on page 39. Configuring Integrated Windows authentication Discovery Manager utilizes a Microsoft Internet Information Services (IIS) Web site (created when you install the Discovery Manager Server software) that is configured to use Integrated Windows authentication. The Discovery Manager Web service is an IIS Web site (DiscoveryManager) running on an EMC SourceOne Web Services host computer similar to other IIS sites used with EMC SourceOne. 16 EMC SourceOne Discovery Manager Version 6.7 Installation and Administration Guide

17 Introduction Configuration details: The EMC SourceOne Management Installation Guide provides requirements, considerations and configuration of Integrated Windows Authentication for hosts running Windows Server 2003 or Windows Server 2008 R2. You install Discovery Manager Server software on one or more EMC SourceOne Web Services host computers. Therefore, if you have already implemented single sign-on (SSO) in your EMC SourceOne environment, Integrated Windows authentication may already be configured. If SSO is not implemented (or to review your SSO configuration), refer to the following sections of the EMC SourceOne Management Installation Guide for your operating system: If using Windows Server 2003, refer to "Configure IIS 6.0 authentication" If using Windows Server 2008 R2, refer to "Configure IIS 7.5 authentication" Note the following: If you use a separate service account for Discovery Manager, you must ensure that this account also uses the same authentication configuration as the primary EMC SourceOne service account. For Windows Server 2008 R2, ensure that you use the same role services configuration for Discovery Manager Server as described for the SearchWS site. Refer to "Installing Web Services software" in the EMC SourceOne Management Installation Guide for details. Providing a network share for exporting matter content You should establish a network share and grant appropriate permissions to Discovery Manager users for use when exporting matter content. Communicate the share location to the users. The users will provide a UNC path to the share when exporting matter content as described in the EMC SourceOne Discovery Manager User Guide. 18 Introduction System requirements This section describes the system requirements for computers on which you install the Discovery Manager software, and includes the following topics: Database host computer requirements on page 18 Worker Services host computer requirements on page 20 Client computer requirements on page 21 Database host computer requirements Important SQL Server considerations Database maintenance Permissions SQL Server TCP port configuration You can install the Discovery Manager database on the same database host computer on which EMC SourceOne is installed or on a separate database host computer. In either case, Discovery Manager has the same requirements as EMC SourceOne. Refer to "Database host computer requirements" in the EMC SourceOne Management Installation Guide for more information. Ensure that you review the information provided in the "Important SQL Server considerations" section of the EMC SourceOne Management Installation Guide. Many of these considerations may also apply when planning for your Discovery Manager database implementation. The EMC SourceOne Management Administration Guide includes information about maintaining databases, including the Discovery Manager database. Ensure that you review and utilize the information in the "Maintaining the EMC SourceOne databases (common)" section of the EMC SourceOne Management Administration Guide. For important permissions information when installing databases, see SQL database installation permissions on page 15. When the Discovery Manager Worker service starts, it attempts to establish a connection to the SQL Server database using the default TCP port (1433). If SQL Server uses the default configuration (which does not allow remote connections) the following error message displays in the EMC event log on the Discovery Manager server: An error has occurred while establishing a connection to the server. When connecting to SQL Server 2005, this failure may be caused by the fact that under the default settings SQL Server does not allow remote connections. 18 EMC SourceOne Discovery Manager Version 6.7 Installation and Administration Guide

19 Introduction You can configure SQL Server to allow connections using the default TCP port For information on configuring SQL Server to allow remote connections, see the following Microsoft KB article: If you configure SQL Server to allow remote connections, but choose to specify a TCP port other than port 1433, you must also update a Discovery Manager configuration file (after installing Discovery Manager Server) to access the correct port. To do this, edit the following Discovery Manager configuration files: Program Files\EMC SourceOne\DiscoveryManager\Server\Web.config Program Files\EMC SourceOne\DiscoveryManager\Server\bin\ DCWorkerService.exe.config 1. Open each file in an editor and search for the line which contains the string "DatabaseServer". For example: <add key="databaseserver" value="<sql_server_name>"/> 2. Modify this line to include the appropriate port number using the following syntax (servername, port number): <add key="databaseserver" value="<sql Server name>, <port number>"/> 3. Save the changes to the files and restart the EMC SourceOne Discovery Manager Worker service. 4. Verify that Discovery Manager can now communicate with SQL Server. System requirements 19

20 Introduction Worker Services host computer requirements You install Discovery Manager software on EMC SourceOne Worker Services host computers. Refer to "Worker Services host computer requirements" in the EMC SourceOne Management Installation Guide for more information. Note the following considerations: Discovery Manager Server software must be installed on an EMC SourceOne Worker Services computer on which Web Services software is also installed. You can install Discovery Manager Server software on two or more Worker Services/Web Services computers and use a network load balancing appliance or solution such as Microsoft Network Load Balancing Services to provide high availability. See High availability on page 13 for more details. Discovery Manager Worker Services software can be installed on additional Worker Services computers (with or without Web Services software installed) to enable them to process Discovery Manager activities and provide high availability. See High availability on page 13 for more details. To install files for East Asian languages, use the Regional and Lanugage Options dialog box in the Windows Control Panel. Refer to Microsoft documentation for details. 26 Installing Discovery Manager Installing the database using scripts This section describes how to use scripts to create the Discovery Manager database on a Microsoft SQL Server host computer. You can install the databases on the default instance or a named instance of SQL server. Note: Alternatively, you can use the MSI installer to install the databases as described in Installing the database using the MSI installer on page 28. Prerequisites For specific hardware, operating system, network connectivity, and prerequisite software requirements, refer to Database host computer requirements on page 18. For important permissions information when installing databases, see SQL database installation permissions on page 15. Procedures Table 4 provides an overview of the procedures to install the database on the Microsoft SQL Server host computer using scripts. 27 Installing Discovery Manager Install the Discovery Manager database! To install the Discovery Manager database: 1. Log in to the SQL Server host computer using an account with local administrator permissions on the SQL Server host computer and the SQL sysadmin role. IMPORTANT See SQL database installation permissions on page 15 for additional details. 2. Open a command prompt and navigate to the temporary location to which you copied the Database folder. 3. Run the ExDisCoSetup_mssql.bat file. 4. Enter the following information: SQL Server information If you are using the default named instance, enter the SQL Server name in the following format: hostname If you are using a named instance, enter the SQL Server name and instance in the following format: hostname\instance Database name Ensure that you select the option to view the log file. Although the database may appear to install correctly, the log file is the only user interface that will provide important information if an installation issue occurs. 5. Press Enter. The script is executed and the database is installed. 6. Ensure that the installation was successful by reviewing the installation log file. Configure database permissions Refer to Configure SQL permissions on page 32 to configure the appropriate permissions for the database. Installing the database using scripts 27

28 Installing Discovery Manager Installing the database using the MSI installer This section describes how to create the database required for Discovery Manager on a Microsoft SQL Server host computer using a Microsoft Installation (MSI) program. You can install the database: on the default instance or a named instance of SQL server. on the same SQL Server on which the EMC SourceOne databases are installed, or on a separate SQL Server. Note: Alternatively, you can use the database installation scripts as described in Installing the database using scripts on page 26. Verify database installation Configure database permissions Review the database logs created in the folder specified during installation. Although the database may appear to install correctly, the log file is the only user interface that will provide important information if an installation issue occurs. You can also verify the Discovery Manager database was created by navigating to the database in Microsoft SQL Server Management Studio. The EMC SourceOne primary service account should be a member of this Security Group. The security group and primary service account were established during the planning process for EMC SourceOne. Refer to "Accounts and permissions" in the EMC SourceOne Management Installation Guide for more information. d. Select the Enable checkbox in the Service Logon Policy region. e. Click Next to validate the credentials and display the Database page. 6. Enter the database information: a. Type the Discovery Database name or accept the default name. b. Type the Discovery Database Server (or IP) host name. Disable Enhanced Security Configuration (Windows Server 2008) If you are running Discovery Manager Server software on Microsoft Windows Server 2008, you must disable Enhanced Security Configuration (ESC) in Internet Explorer 8. This configuration supports the viewing of Discovery Manager reports. To disable IE ESC: 1. Click Start > Administrative Tools > Server Manager. 2. In the Security Information section of the center pane, click Configure IE ESC. 3. Disable IE ESC for Administrators and Users. 4. Click OK. 5. Sets permissions on the EMC SourceOne mapped folders and Legal Hold folders so the EMC SourceOne primary service account can access them. Controls which Worker Services computers can process Discovery Manager jobs. Can observe Discovery Manager jobs executing in the EMC SourceOne console. The job name indicates the type of work the job is doing (such as search or export). Refer to the EMC SourceOne Management Administration Guide for information about monitoring jobs. Cannot run the Discovery Manager application unless he has been added as a user by the Discovery Manager administrator. Only the EMC SourceOne primary service account needs Read All access to EMC SourceOne mapped folders. Individual Discovery Manager users do not need permission to access the mapped folders. EMC SourceOne mapped folders that do not have Read All access granted to the EMC SourceOne primary service account will not be seen in Discovery Manager. To set Read All permission on an EMC SourceOne mapped folder: 1. In the EMC SourceOne console, click the Mapped Folders node. 2. Do one of the following steps: If the mapped folder already exists, select the folder, then select Action > Properties. If you need to create a mapped folder, refer to the "Creating and associating mapped folders" section in the "Configuring Mapped Folders" chapter of the EMC SourceOne Management Administration Guide. 3. Discovery Manager copies messages to the Legal Hold folder associated with the matter. A Legal Hold folder: Ensures preservation of valuable content for the lifetime of a matter. Allows companies to execute disposition policies while preserving sensitive data beyond the original retention period. How do you create Legal Hold folders?! The EMC SourceOne administrator performs the following steps to create each Legal Hold folder: 1. Create an archive folder in the EMC SourceOne Native Archive. To create an archive folder in the Native Archive, refer to the "Configuring Archives" chapter in the EMC SourceOne Management Administration Guide. IMPORTANT Do not configure retention on a Native Archive folder that will be mapped to a Legal Hold folder. 2. In the EMC SourceOne console, use the Mapped Folders node to: a. Create a mapped folder. b. Assign the folder type of Legal Hold to the new mapped folder. c. Map the new Legal Hold folder to the archive folder that you created in Step 1. d. Best practices for Legal Hold folders This section provides best practice recommendations for Native Archive Legal Hold folders used with Discovery Manager. Create one or more archive folders for exclusive use by Legal Hold folders. Do not set retention on Native Archive folders that are used by Legal Hold folders. You can map multiple Legal Hold folders to the same archive folder. You cannot: Map a Legal Hold folder to an archive folder that is already mapped to a folder of another type (Organization, Personal, or Community), due to the potential for a retention policy to trigger the disposition of items that are on hold. Map a non-legal Hold folder to an archive folder that is already mapped to a Legal Hold folder. If you attempt to do such mappings, an error message displays: The data is invalid for the following reasons: Legal Hold folders cannot coexist with other mapped folder types on the same archive folder. The error displays for new mappings. It does not display when you view properties of mapped folders where the invalid mapping already exists. Shared Legal Hold folders Matter subfolders Matter deletion Multiple matters can use a single Legal Hold folder. Subfolders are automatically created for each matter in a shared Legal Hold folder. Each matter s subfolder inherits the retention policy from the shared parent Legal Hold folder. When the matter is deleted, all items assigned to the matter are deleted. 51 Configuring EMC SourceOne for Discovery Manager De-duplication Reference counting Count of messages in shared hold folders Example All items are de-duplicated within the Native Archive folder. Items are reference-counted. Deletion only removes the reference to the item, not the item itself. An item is deleted only when the last reference is deleted. The EMC SourceOne console displays the total of all messages for all matters in a shared hold folder. The console does not display information about individual matters in a shared hold folder. Discovery Manager shows the number of messages in a specific matter in a shared hold folder, not the total number of messages in a shared hold folder. To see the total number of messages in a shared hold folder in Discovery Manager, perform a search on the shared hold folder. For example, assume you create Matter 1 and Matter 2, and both matters share the same hold folder (Legal Hold - Stocks). Also assume that only Matter1 and Matter 2 share this hold folder. You collect and assign only UserA s messages to Matter1 for a count of 500 messages, and collect and assign only UserB s messages to Matter2 for a count of 300 messages. Discovery Manager shows the counts for each matter separately (500 and 300 respectively). The EMC SourceOne console shows 800 messages total for the shared Legal Hold - Stocks folder. 52 Configuring EMC SourceOne for Discovery Manager Configuring workers for Discovery Manager Before Discovery Manager users can search and export, the EMC SourceOne administrator must configure the EMC SourceOne Worker Services computer on which the Discovery Manager Server software was installed.! IMPORTANT You must install either the Discovery Manager Server software, or the Discovery Manager Worker Services software, on the computer before allowing it to process jobs. Otherwise, the jobs will fail. To configure an EMC SourceOne Worker Services computer to process Discovery Manager jobs: 1. In the EMC SourceOne console, click the Servers node. 2. Click the Configuration tab. 3. Select the computer in the list. 4. Select Action > Properties. 5. In the Server Properties dialog box, select the following checkboxes: Query Discovery Manager Allows this computer to process jobs that are created when a Discovery Manager user performs a search in Discovery Manager. Export Discovery Manager Allows this computer to process jobs that are created when a user copies messages to a Legal Hold folder in Discovery Manager, or exports messages from Discovery Manager. You can determine whether LDAP is enabled from Discovery Manager by viewing the Source field in the Address Book dialog box: When LDAP is enabled, the Source field lists the Domino option. When LDAP is not enabled, the Source field lists the Domino <Choose directory> option. If Use LDAP for Domino address lookup is not selected, Domino address lookup is performed using the native Domino directory capabilities. If Use LDAP for Domino address lookup is selected, it allows the Domino user to use LDAP queries for richer address book searching capabilities and more details in the address book result list. The following is the ordered procedure for performing a backup of Discovery Manager: 1. 57 Performing a Backup of Discovery Manager Discovery Manager behavior during the backup process While Discovery Manager and EMC SourceOne Management are suspended and being backed up, the following changes in behavior will occur for Discovery Manager: All jobs created by Discovery Manager will be suspended. The jobs will maintain their state without any failure or loss of data when they resume after the backup is complete. You use the cscript command to run these scripts from the command line. These scripts must be modified before use and can be integrated into existing backup procedures. The scripts do not use command line parameters, so any changes to the scripts must be made by editing the scripts. High availability considerations Modifying the scripts for your environment If you have installed the Discovery Manager Server software on multiple computers to support a high availability configuration (as described in Discovery Manager Web Services high availability on page 13), you must run backup scripts on each Discovery Manager Server computer. Modify the backup scripts to insert the names of the Discovery Manager computers in your environment before you use them. Modify both the PauseDMWebService.vbs and ResumeDMWebService.vbs scripts as follows: 1. Open each script in a text editor. 2. Locate the string localhost in the script. This string only occurs once in each file. This string is in the following line in each file: DmWS.mssoapinit Const DMHost = "localhost" 3. Replace localhost with the name of the computer on which the Discovery Manager Server software is installed. For example, if your Discovery Manager Server computer is named DMserver, this string would appear as follows: DmWS.mssoapinit Const DMHost = "DMserver" For example, if your Discovery Manager Server computer is named DMserver, this string would appear as follows in the PauseDMWebService.vbs file: wshshell.run "sc \\DMserver pause DCWorkerService", 6, True 4. Refer to the EMC SourceOne Discovery Manager User Guide for information on assigning Discovery Manager roles to accounts. Verify that the account under which the scripts will be run has the appropriate privileges to start and stop services. This is necessary since the scripts make use of the Windows SC command to start and stop services. Suspending Discovery Manager You must suspend Discovery Manager operations before you can perform a backup of Discovery Manager. You suspend (pause) Discovery Manager as follows: 1. Log in to a computer with network access to Discovery Manager using the account you configured as described in Configuring the account to run the backup scripts on page Open a command prompt window by selecting Programs > Accessories > Command Prompt from the Start menu. The cmd.exe window displays. 3. In the cmd.exe window, use the cscript command to run the PauseDMWebService.vbs script to pause all Discovery Manager operations: C:\> cscript PauseDMWebService.vbs 4. Review the output of the script to determine when the script is successful. The following message indicates success: The Discovery Manager Web Service state is now Paused 5. Once the backup has been completed, verify that the EMC SourceOne Management system is operational and not in a suspended state and then resume operation of Discovery Manager as described in Resuming operation of Discovery Manager on page 61. Refer to the EMC SourceOne Management Administration Guide for information on how to backup an EMC SourceOne Management system. Resuming operation of Discovery Manager Once the Discovery Manager backup has completed, and the EMC SourceOne Management system has resumed operation, resume the operation of Discovery Manager as follows: 1. In particular, review job status to make sure that no Discovery Manager jobs that were scheduled to run on the EMC SourceOne Management system expired while the backup was occurring. Unable to connect to the Discovery Manager server:<server name>. Discovery Manager client status indicator changes from Connected to Limited Availability. The address of the Discovery Manager server is wrong in the client configuration file. The user is not a Discovery Manager user. The user s account is not in Active Directory. The Discovery Manager Web service is stopped. This occurs when the Discovery Manager worker service stops while search is running, or if a worker is not available to process searches and exports. Do one of the following steps: Reinstall the Discovery Manager client application. Edit the DiscoveryManager.exe.config file on the client computer to correct the value of the Server application key: <add key="server" value= server" /> where server is the name or the IP address of the Discovery Manager server. The Discovery Manager User Administrator must add the user (who must be in Active Directory) to Discovery Manager and specify appropriate roles. Add the user s account to Active Directory. Restart the Discovery Manager Web service. By default, the Discovery Manager client polls the server for status every 5 minutes and the server checks for worker status every 20 minutes, so it can take up to 25 minutes for the "Limited Availability" status to appear. After the worker service restarts, it can take up to 5 minutes for the "Connected" status to reappear in the Discovery Manager client. To see the current state of the workers immediately, restart IIS and the Discovery Manager client. Troubleshooting common problems 65

The regional setting or the operating system language on the client computer is not correct for the language that you expected to be displayed. On a client computer running an English operating system, the regional setting has not been set. Language settings that were changed during an active session do not take effect until the Discovery Manager client application is restarted. Perform the following steps: 1. Install the language pack on the Discovery Manager server, as described in the EMC SourceOne Discovery Manager Localized Product Release Notes. 2. Restart the Discovery Manager client application. Ensure that the regional setting or the operating system language on the client computer is correct for the language you expect to display. Set the regional setting to the correct language. Searches take a long time to complete. The Discovery Manager worker service is not running. No worker servers have been configured to run Discovery Manager jobs. Understand that some search fields search against the database (a relational search) and other search fields search against the index (a full-text index search). The Always search embedded messages option also affects whether a relational search or a full-text index search is executed. This can occur, for example, when the only Matter Manager for a matter has left the company, No other Discovery Manager user has the Matter Manager role for the matter, which is the only role that can perform the actions on that matter. Use the Discovery Manager service account to define another User Manager, as described in "Adding the first Discovery Manager User" in the EMC SourceOne Discovery Manager User Guide. Contact EMC Support to create a record in the Discovery Manager database. Note: The best practice is to always have at least two Matter Managers for every matter.
