3 1 INTRODUCTION The ISIS-XI Ship Operator / Ship Board Edition are client PC programs to be used on all Microsoft Windows desktop platforms. The ISIS-XI Ship Operator / Ship Board Edition are available as downloadable software on the CDI-M internet site ( The two software editions are almost identical, except the Ship Operator Edition has the capability to establish an electronic connection to the CDI ISIS-XI database, e.g. downloading an existing VPQ and/or uploading a completed VPQ. The Shipboard users can only exchange VPQ data through their Ship Operator s office. 2 INSTALLING THE SHIP OPERATOR / SHIP BOARD EDITION Please note that to install the software you need an user account with system / administrative privileges. Please right mouse click on the downloaded file and select Run as Administrator. The ISIS-XI Ship Operator / Ship Board Edition are implemented with a user friendly installation (setup) procedure. The following installation steps will guide you through the installation procedure. The setup process will not be able to update files that are currently used by other programs. Therefore, it s highly recommended that you close all the applications before proceeding. Double click the downloaded ISIS-XI Ship Operator Edition Setup.msi file or ISIS- XI Ship Board Edition Setup.msi file and the following information window will appear on your screen: Press <Next> to continue; ISIS-XI Ship Operator / Ship Board Edition Page 3 / 13

4 You can begin the installation by clicking the <Next> button in the image below. Furthermore you can change the folder where the software will be installed. We recommend to install the software in the suggested (default) folder; The installation procedure continues, please press the <Install> button to begin the installation; I ISIS-XI Ship Operator / Ship Board Edition Page 4 / 13

5 The following image appears: The installation procedure is completed when the following message appears: Press the <Finish> button to exit the setup procedure. You can start the application by double clicking the ISIS-XI Ship Operator / Ship Board icon shown in the start menu: ISIS-XI Ship Operator / Ship Board Edition Page 5 / 13

6 3 USING THE SHIP OPERATOR / SHIP BOARD EDITION You can start the software by double clicking the CDI ISIS-XI Ship Operator / Ship Board Edition icon located in the start menu: 3.1 Startup window At start-up the application gives the following options: Ship Board Edition: - Create a new VPQ - Import Harmonized VPQ XML - Open an existing VPQ Ship Operator Edition: - Download VPQ from ISIS-XI database - Create a new VPQ - Import Harmonized VPQ XML - Open an existing VPQ Select first option box and click on the <OK> button to download a VPQ from the ISIS-XI internet database. Please enter the IMO number of your ship and your User Name / Password combination and press on the connect to Server button: ISIS-XI Ship Operator / Ship Board Edition Page 6 / 13

7 3.2 Editing VPQs The table of contents of the VPQ is visualised with a tree structure. You can select the general information, sections, subsections by clicking the appropriate tree node. The electronic VPQ looks similar to the hardcopy VPQ. For more information about the different questions please refer to the general guidance of the VPQ. The following screen appears when you open an existing VPQ, create a new VPQ or download a VPQ from the CDI ISIS-XI database: In case a VPQ has been downloaded from the CDI ISIS-XI database all existing VPQ data is already automatically pre-filled by the software: ISIS-XI Ship Operator / Ship Board Edition Page 7 / 13

8 At this point you can save the VPQ file (to your local disk) or you can first update the VPQ before saving it. When you exit the software, the program will aks you to save your changes: Opening, saving VPQs In the tool bar you can open an existing VPQ or save the current VPQ. Please note that you always have to save your VPQ before you can send a VPQ to the ISIS-XI internet database. In the menu bar you can choose to save the VPQ under the existing file name or a new file name, please go to: File, Save or Save As Answering If a certain section is completed (all questions are answered) then this is made visible in the tree structure by means of a bold font or optional a green color. You can change the section completeness indication in the Tools, Options, General tab page. ISIS-XI Ship Operator / Ship Board Edition Page 8 / 13

9 At the bottom of each section you will Find a Done button to mark a section as completed. When the Done button is still disabled/de-activated this indicates that the section is not yet fully completed. In case of optional and mandatory questions you didn t answer all the mandatory questions. If all section questions are answered then this is made visible in the tree structure by means of a bold font. If you have troubles with finding unanswered question you may use menu item Tools/Locate unanswered question which will move input focus to the first empty mandatory question. Using the other option you may set all empty answers in section to Not applicable / Not available Printing The Ship Operator / Ship Board Edition software has several print options: ISIS-XI Ship Operator / Ship Board Edition Page 9 / 13

10 Below you will find the different print possibilities: The Ship Operator / Ship Board Edition uses the standard print capabilities, which are installed on the operating system. Before printing you can select a print preview or create a PDF document Sending VPQs If you click on the Send button by default the application will use the current internet connection to send VPQs. When sending VPQs please make sure your internet connection has been established. Please note that no settings have to be changed to send VPQs by internet. When pressing the Send button the application will try to submit the VPQ to the ISIS-XI internet database. The questionnaire must always be fully completed to send a VPQ to the ISIS-XI internet database. If all questions are answered the following pop up window will appear: ISIS-XI Ship Operator / Ship Board Edition Page 10 / 13

11 After entering your login / password information and pressing the Submit button the application will try to connect to the ISIS-XI server. A confirmation message of the report submission will appear when data of the VPQ is successfully transferred to the ISIS-XI system: ISIS-XI Ship Operator / Ship Board Edition Page 11 / 13

12 3.3 Working with HVPQ XML (.ocimf) files Importing HVPQ XML (.ocimf) files The ISIS-XI Ship Operator / Ship Board software can import data from OCIMF XML format (.ocimf). Please select Import HVPQ XML menu item from File menu or corresponding option in start window and point file Open dialog to your xml file: If some values were converted during import process you will get a warning and provided with an option to review changes in the report. If you have chosen not to verify the import log you still have the option to review the log until report close using Menu item View, Show Import Log Exporting HVPQ XML (.ocimf) files You may export your current report to HVPQ XML format to send it to the OCIMF SIRE system using corresponding menu item under File/Export HVPQ XML.
