Subject Request for proposals for laptop and desktop computers, printers, headsets, and Ethernet cables for the students and staff of PA Leadership Charter School. Purpose PA Leadership Charter School is seeking proposals for the purpose of evaluating solutions to provide our students and staff with laptops, desktops, all-in-one printers, headset/microphone units, and Ethernet cables. Background PA Leadership Charter School (PALCS) replaces its computer hardware fleet yearly and its peripherals over multiple years. The hardware package we provide all students is designed to equip them with the necessary tools to fully engage with our educational environment through various mediums of communication, assessment, and collaboration and support high productivity across all instructional and administrative areas. All students and staff are provided with a high performing computer and related devices and peripherals. Summary PA Leadership Charter School is receiving proposals for student and staff peripheral equipment. Quantities and items are; 1800 student laptops, 1800 all-in-one printers, 1800 cat5e cables, 1800 microphone/headsets, 250 staff computers, 500 monitors, and 60 mini form factor desktops. Computer manufacturers to be considered are Lenovo and HP computers, Docking Stations manufactured by HP or Lenovo, HP all-in-one printers, microphone/headsets manufactured by Cyber Acoustic, Cat5e Ethernet Cables no specific manufacturer, and HD monitors manufactured by Lenovo, HP, or Viewsonic. Proposal Format Proposals must be submitted in a sealed envelope via mail or hand delivery to: PA Leadership Charter School Attn. Do Not Fax or Email Proposals Proposals will be received by PA Leadership Charter School at the Office of the Director of IT, 1332 Enterprise Drive, West Chester, PA 19380 on March 31, 2017 at 2:00 pm. Proposals must be either hand delivered or mailed to the address above prior to the scheduled proposal deadline. Proposals received after the stated deadline will be deemed invalid and will not be considered. The responsibility for the timely delivery of proposals rests solely with the vendor. Compatibility with existing infrastructure and PALCS strategic plan. 2. Vendor qualifications, knowledge experience and work history with K-12 institutions involving similar 2
proposals. 3. Overall cost and quality of proposal. PALCS reserves the right to reject any or all proposals and the right to award by line item. General Conditions The following are General Conditions for the equipment to be purchased as outlined in the Technical Specifications. 1. Scope of Work 1. Provide 1800 Lenovo or HP laptop computers for students. 2. Provide 1800 HP Printers - 3040 or 2015 model. 3. Provide 1800 headset/microphone model. Recommended models are Cyber Acoustic and HP. 4. Provide 1800 Ethernet cables, length: 50 ft. 5 Provide 250 Lenovo or HP laptops for staff. 6 Provide 250 Lenovo or HP docking stations. 7 Provide 500 Viewsonic, HP, or Lenovo displays (20-23 inches) 8. Provide 60 mini form factor desktop computers - HP or Lenovo. 9. Pricing must remain valid for 90 days after scheduled proposal opening date. 2. Pricing All pricing must be clearly stated and must include any and all additional charges for shipping, handling, transportation, etc. Please be advised that public schools are specifically exempted from the payment of Pennsylvania Sales Tax. In the case of discrepancy in computed proposal pricing, the unit price shall govern and the total price shall be revised accordingly. Proposal prices shall remain valid for 90 days after the scheduled opening date. 3. Withdrawal of Proposal Requests to withdraw a proposal after it has been submitted must be made in writing and received by PALCS prior to the scheduled proposal opening time. No proposal may be withdrawn after the scheduled opening time. 4. Delivery of Equipment All devices must be delivered in one shipment to one location. The delivery must be scheduled in advance with the PALCS Technology Department and must be completed no later than July 31, 2017. 3
