Migrate from GroupWise to O365 Old system was Novel GroupWise (mail and messenger) Hosted locally with 200Mb standard mailbox size Little integration with other systems or devices Would not always accept calendar invitations Had to renew hardware every few years

Exchange Restrictions (cloud) Message size limit 25Mb 500 recipients allowed in To, Cc and Bcc fields Max 30 messages per minute 10,000 recipients per day per user (< 6 minutes) No sent items properties to see if a recipient has opened a mail
Lync Replaces GroupWise Messenger Share your desktop, online whiteboards & presentations plus IM Basis for integration with phone system but needs on premises Exchange and paid for O365 plan Client available for phones SIP gateways available for many PBXs
SharePoint Not using it yet but you get: 7Gb per user extra personal space 10Gb per tenant and 500Mb per user Can be used for: content management enterprise social networking intranet, extranet and portal creation collaboration tools project and workflow management business intelligence enterprise search Challenge is how to administer this
WebApps Open Word, Excel, PowerPoint, and OneNote documents in your web browser Good for people used to working with native Office ribbons Not full app, but good enough for most things If sharing a doc with someone, edits show up in real time
Concerns - Security Office 365 is compliant with many world-class industry standards, and it is verified by third parties Security meets ISO 27001 Health Insurance Portability and Accountability Act (HIPAA) US act to protect individually identifiable health information Data processing agreements (DPAs) Data breach notification (Gary Davis talk)
Concerns - Privacy Lots of committed to protecting your privacy statements you still own the data. It is stored in either Dublin or Amsterdam + Safe Harbour Act Data is not mined for advertising You can always remove your data whenever you want to

Concerns - Backups As mailbox sizes are so large, need to delete reduced. Less reliance on backups If you delete, mail goes to delete folder. Default policies can be applied after that. Get out of jail is 14 days after expiry of delete Legal hold available to administrator

The Move (2) Phase 1: all e-mails and calendar items from 2 months back to start of time migrated 10 PCs used Phase 2: all e-mails and calendar items from 2 months ago to 3 days ago migrated Phase 3: all e-mails, calendar items and contacts up to live migrated. MX records changed and mail started to appear in O365 instead of GroupWise. Phase 4: work on archives Only web support initially with client following on

Big Bang or Dual Delivery? With DD there are 2 copies of all incoming mail. Only accounts for incoming mail How long does it go on for? Dual address books, calendars, folder structures, read/unread not propagated Which IM to use? Prolong the agony With BB only 1 copy of mail No confusion No propagation or synch problems Clean cut over
