Blackboard Web Community Manager User Account Cleanup Introduction As an administrator, you are responsible for managing user accounts. One of the tasks associated with user management is purging user accounts that are no longer in use. This guide addresses this task. Before you begin the purge, determine which user accounts need to be removed and a method to purge them. If you are a site with a small number of users, you might page through the user accounts in Site Manager and delete accounts as you find them. They are moved to the Recycle Bin. To permanently delete a user account, you must navigate to the Recycle Bin and delete it there. If you are a site with a large number user accounts to delete, you might choose to remove those accounts that have not been used since a particular date. You will then use Export Users, Update User and Remove by Group. In the Recycle Bin you will use Delete by Group. If you are using Lightweight Directory Access Protocol (LDAP) to manage user accounts and you delete user accounts from the LDAP server, you will need to delete them from Centricity2 as well. User Account Cleanup Blackboard Web Community Manager User Account Cleanup Purge User Accounts After you have determined your purge criteria, most likely choosing user accounts with a Last Sign In Date prior to a particular date, you will use New Group, Export Users, Update Users, Remove by Group and Delete by Group to complete this task. Create a Delete Control Group Create a group for the user accounts you wish to delete. 1. In Site Manager, expand USERS & GROUPS and click Groups. 2. Click New Group. 3. Enter a Group Name. In this example, our control group is named DeleteOldAccounts. 4. Click Save. The group is created. You will associate the user accounts you wish to delete with this group. Remember the GROUP ID number of the group. You will need it later. Export Users Export all user data to a CSV file. 1. In Site Manager, expand USERS & GROUPS and click Users. 2. Click Export Users. 3. Open the CSV file that is created. 2 C2DeleteByGroup_110916
Blackboard Web Community Manager User Account Cleanup 4. Sort the CSV file by the LastLoginDate column. 5. Remove all of the valid users from the CSV file, leaving only the ones you wish to purge. 6. For each record in the CSV file, enter the Group ID number of the delete control group you created in the Group column. 7. Save the file. Update Users Update the user accounts to be purged. This adds the delete control group Group ID to each account. 1. In Site Manager, expand USERS & GROUPS and click Users. 2. Click Update Users. 3. Click Import. 4. Click Remove by Group. 3. Click the Group drop-down and select the delete control group from the list. In our example, it is named DeleteOldAccounts. 4. Click Delete. 5.
