Terms & Conditions for The Songs of Praise Christmas Card Competition in aid of BBC Children in Need By entering the competition the entrants warrant that they have legal capacity to enter the competition and agree to be bound by these terms and conditions. 1. Who can enter? 1.1 Entry to the competition is open to residents of the UK (including the Channel Islands and the Isle of Man) except current employees of the BBC, their close relatives or any person connected to the competition. 1.2 The competition is not open to professional artists/illustrators or those who have already won prizes and awards for their artwork or illustration only amateurs. For the purposes of this competition, a professional artist/illustrator will be considered to be someone who makes more than half their annual income from the sale of their artworks or illustrations. 1.3 The BBC s decision as to whether an entrant is amateur or professional is final. 1.4 Joint entries will not be accepted. 2. When can you enter? 2.1 Entries will be received from Sunday 17 th April 2016. 2.2 The entry window will close on Monday 23 rd May 2016. Entries received after Monday 23 rd May 2016 will not be considered. 3. How to enter 3.1 Competition entry forms are available on The Songs of Praise website: www.bbc.co.uk/songsofpraise 3.2 Individual entrants must submit an original artwork or illustration on card or suitable paper 140mm x 140mm / 5.5 x 5.5 in size, capturing the spirit of Christmas. Note that entries that involve complex reproduction of designs will NOT be considered suitable, so please avoid use of any 3 dimensional objects or craft embellishments such as sequins, felt etc. 3.3 Only original artworks or illustrations will be accepted. 3.4 Entrants must mark on the reverse of their artwork or illustration their name, address & contact telephone number (both daytime and evening). 3.5 Digital or computer generated artworks or illustrations created on Computer, Smartphone, Tablet, or similar are not eligible.

3.6 The original artwork must be submitted by post ONLY to: Songs of Praise Christmas Card Competition, 1 st Floor BBC Dock House, Media City, Salford, M50 2LH. 3.7 Please ensure you take a photocopy or other copy of any artwork of illustration you submit. Reproductions - scans, photographs, etc. - of works from entrants will NOT be accepted. 3.8 Please note: DO NOT send a stamped addressed envelope with your entry. Note: If you would like your work returned, there will be a limited period to apply. Details on how to apply will be available on-line after the competition closes on 23/05/16 at: www.bbc.co.uk/songsofpraise 3.9 The BBC cannot accept any responsibility for any problem with the postal service, which may result in any entry being lost or delayed. Proof of sending is not proof of receipt. 3.10 We are looking for original artworks and illustrations, so entries must not have won any national competition prize previously. For the purposes of this competition, national refers to the whole of the UK or to individual national competitions in England, Wales, Scotland or Northern Ireland. 3.11 Entrants must ensure their artwork or illustration is their original work and must not infringe the rights of any other party. The BBC accepts no liability if entrants ignore these rules and parents or guardians of child entrants agree to fully indemnify the BBC and BBC Children in Need against any claims by any third party arising from any breach of these rules. 3.12 Entrants or parents or guardians of entrants must ensure entries do not contain illegal, unlawful, defamatory, obscene, offensive or any other unsuitable material. Works must not be intended to, or likely to cause offence or be intended as campaigning material for example with regard to political lobbying or religious matters. The BBC will decide what may cause offence. The Songs of Praise Christmas Card Competition will accept thought provoking artworks or illustrations; however any work has to be suitable for viewing for a pre-watershed (that is, pre-21.00hrs) family audience and meet likely audience expectations. Care should therefore be taken about subject and tone of the artwork or illustration and if any offence might be caused. Similarly, the BBC reserves the right not to include works which it deems to be of a politically, and or campaigning nature, or of a controversial religious kind. The decision of the producers of The Songs of Praise Christmas Card Competition is final in this matter and no communication will be entered in to, following their decision. 3.13 Only one entry is allowed per person. 4. How the winners will be chosen 4.1 There will be 10 winners selected whose artwork or illustration will be used to create a Songs of Praise Christmas Card pack which will be sold in aid of BBC Children in Need. Entries will be judged through the process outlined below: Stage One:

Entries will initially be viewed and judged by the Songs of Praise Production Team. Only an original artwork or illustration on card or suitable paper 140mm x 140mm / 5.5 x 5.5 ) in size will be accepted. Entries of scanned reproduction of works will not be accepted. Works will be judged on the following criteria: Originality Creativity Public Appeal Suitability for inclusion in a Songs of Praise Christmas Card pack in aid of BBC Children in Need. Note that entries that involve complex reproduction of designs will NOT be considered suitable, so please avoid use of any 3 dimensional objects or craft embellishments such as sequins, felt etc. Overall impression of the artwork or illustration in capturing the spirit of Christmas. Up to 1,000 artworks or illustrations will go forward to stage two. Stage Two: A small panel of practitioners/experts including a Songs of Praise presenter will judge the final 1000 artworks or illustrations. Based on the above stated criteria they will choose 10 winners. The 10 winners will be deemed to have won the competition. There is no second or third place. The BBC s decision is final and no correspondence relating to the competition will be entered into. Unsuccessful entrants will not be contacted. 4.2 The winning designs will be announced by Songs of Praise on June 12 th 2016 (the winners themselves will be contacted beforehand if possible). 5. The Prize 5.1 The winners selected from the entrants by the judges shall appear in the Songs of Praise Christmas Card pack, to be sold in aid of BBC Children in Need. The winners artworks or illustrations may be used by the BBC or BBC Children in Need in other promotions of the competition. 5.2 Each winning card will be framed as a gift for each of the 10 winning entrants. 5.3 For the avoidance of doubt, unless expressly stated in these terms, no expenses, costs, fees or other sums will be paid by the BBC. 5.4 The BBC reserves the right (at its discretion) to substitute the prize with a prize of equal or greater value. 6. Personal Data

6.1 The BBC and BBC Children in Need will only ever use personal details for the purposes of administering the competition and any related promotional activity. By entering the competition, entrants give the BBC and BBC Children in Need permission to contact them in connection with the Songs of Praise Christmas Card Competition and any related promotional activity. The BBC and BBC Children in Need may also announce the name and county of the winners. 6.2 The BBC and BBC Children in Need will only keep personal details for as long as is necessary to fulfil these purposes. Please see the BBC s Privacy Policy. http://www.bbc.co.uk/privacy 6.3 Entrants may be asked to disclose details of any, and all criminal and civil actions pending against them, or served against them plus any unspent convictions. Entrants asked for this information must keep the BBC informed of any changes to that disclosed up to the point the winner is announced. This information will be handled in the strictest confidence and, as with all personal information, in accordance with the BBC Privacy Policy see above. 6.4 Following standard industry practice, the BBC may undertake background checks of the shortlisted finalists. Information discovered, or that may have been disclosed by the entrants themselves will inform the decision as to the selection of the finalists. 7. Promotion and Publicity 7.1 Following the announcement of the winners of the competition the 10 winners may need to make themselves available for one day s filming (location and date unknown currently) so they can be seen with their winning entries. If required, the Songs of Praise Christmas Card Competition Team will be in contact with the winners (or parents or guardians of the winners where applicable) to possibly arrange a suitable day for this filming between 12 th June and 29 th August, 2016. If filming is required the BBC will pay reasonable travel costs. 7.2 In the event of filming, any mobility issues or specific needs should be declared so the BBC can ensure that any assistance that may be required (for example accessibility or mobility issues for studio filming) can be arranged in advance. 7.3 Entrants whose artwork or illustrations are one of the winners also agree to take part in post-competition publicity for Songs of Praise and/or BBC Children in Need. If filming is required all entrants must consent to being filmed and will need to acknowledge this consent by signing a standard BBC contributors consent (no fee) form. 7.4 Entrants will retain copyright in the artwork or illustration they submit to the BBC. By entering the competition all entrants grant to the BBC and BBC Children in Need the perpetual, royalty free, worldwide right to use, reproduce, publish, broadcast and exhibit their artwork or illustration in any media and across any platforms, and to manufacture and sell cards containing the artwork or illustration and to sub-license all such rights to any third parties for the purposes set out above. No fees will be payable for any of the above uses. 7.5 While the BBC makes every effort to credit the names of the winners, including in printed reproductions of their work, the BBC cannot guarantee that every broadcast

use of the artwork or illustration will include the entrant s names. Entrants must ensure that their artwork or illustration is not used to publicise or promote commercial interests, individuals, organisations or causes other than BBC Children in Need, BBC Songs of Praise (including the Christmas Card competition and any associated BBC promotions) and the winning entrants themselves until the 1st January 2018. 7.6 The entrants cannot exploit their works which use or references the BBC, BBC Children in Need or the competition itself or any other element of this competition process. Entrants are not permitted to make use of any of the BBC s trademarks or copyright works (except as permitted by law) now or in future. 8. General 8.1 The BBC reserves the right to disqualify any entry, including the winners, which breaches any of these terms and conditions or acts fraudulently in any way. Depending on the age of the entrant, the BBC will obtain appropriate child licences for entrants (including the winners) if deemed necessary. Parents or guardians will be required to provide appropriate documentation to assist if licensing is required. If after reasonable attempts the BBC cannot acquire this documentation, the entrant may be disqualified. 8.2 The BBC reserves the right to disqualify finalists and/or winners if they cannot take up any element of the prize, cannot undertake any elements of the filming or stages in the competition as detailed above or if consent to time off school or licenses cannot be obtained. The BBC reserves the right to offer that position to the next best entry. 8.3 The BBC reserves the right to cancel the competition at any stage, if deemed necessary in its opinion, or if circumstances arise outside its control. 8.4 The BBC, its sub-contractors, subsidiaries and/or agencies cannot accept any responsibility whatsoever for any technical failure or malfunction, or any other problem which may result in any entry being lost or not properly registered; or which may cause any damage to artworks or illustrations in storage, exhibition or return delivery, whether in the BBC s custody or control or otherwise. 8.5 The BBC reserves the right to amend these terms and conditions at any stage and in any way. 8.6 These Terms and Conditions are governed by the laws of England and Wales. 8.7 The BBC s code of conduct for competitions applies to this Competition.
