Installation Guide December 11, 2004 M&M Customer Information Formatter v1.0 For Retail Pro v8.32 and Above Overview The M&M Customer Information Formatter standardizes Customer Information entry by providing separate City and State fields for the Customer s address. It also formats Customer phone numbers into one of two standard formats. Everything needed for installation is provided in the MMCustInfoFrmt-VVvv.zip file. (VVvv is the version number). Licensing The Customer Info Formatter is licensed by User ID (Retail Pro key). The license must be for the end-users Retail Pro user ID. When you receive the license files, they should be installed in the plugins directory under the Retail directory. M&M recommends that you also keep a copy of the original license file in another directory on the end-user s system. The License Files will be named MME-MMCUSTFRMT-[UserID]-[FileCode].lic. No license file is required if you are installing the formatter for evaluation or demonstration using dealer key 1001 or 1888. How It Works The Customer Info Formatter uses the existing Customer Information fields but forces the City and State combination into the Retail Pro Address3 field. It also uses the existing Phone fields, but formats the phone numbers. If the Customer address information is not set up this way in Retail Pro, the Customer Info Formatter can reset the Customer address fields (and format phone numbers) for all Customers. Installation at Mains and Remotes Use the contents of the MMCustInfoFrmt-VVvv.zip file. The MMCustInfoFrmt-VVvv.zip file contains: MMCIFrmt.bpl The Customer Information Formatter plug-in. 1. Install Files MMCIFrmt.bpl and InfoFmt.bmp If there is no plugins directory under the Retail directory on the Main, create one. Extract the MMCIFrmt.bpl and InfoFmt.bmp files from the zip and copy to the plugins directory. 2. Copy License File Copy the end-user license file to the plugins directory. M&M recommends that you also keep a copy of the original license file in another directory on the user s system. The license file is emailed to you when you purchase a license on the M&M web site. You do not need a license file for dealer keys 1001 and 1888. 3. Check Desktop Shortcuts If Retail Pro is started using a desktop shortcut, do the following at the Main and EVERY workstation on the Main: 1) Right click the shortcut on the desktop. 2) Click Properties. 3) Check the Start In directory for the shortcut. If it is not set to the location of the Retail directory, change it. Enter the full path (using drive letter) to the Retail directory. NOTE: On workstations, the path must use the mapped network drive from the workstation to the Main or Remote server. Page 2 of 6
4. Set Up Retail Pro Customer Info Screens The Customer Info Formatter uses custom fields to display the Customer s City, State and Phone numbers. These custom fields must be added to the Customer Information screens. They can be added in List view and Form view. Start Retail Pro and go to the Customer Form View screen. Using the Page Designer, select the Customer group and locate the four custom fields: City, State, CPhone1 and CPhone2: Note that these fields will have very high numbers. Add these fields to the Customer group. Remove Address 3, Phone 1 and Phone 2. Arrange City and State so they follow Address 2: Page 3 of 6
Save the screen layout. The Customer Information form view should now resemble: Although the Phone fields are now labeled CPhone1 and CPhone2, this can be changed using the Info Format button. The Info Format button is available on the Main and every Remote using the modification. However, it can be removed from the side menu using the Menu designer. Note that the custom fields can also be added to the Customer List View if desired. Page 4 of 6
5. Set Up the Info Format Preferences The Customer Information Formatter allows you to set up some format preferences. To set the preferences, click the Info Format button. You will see: Use City, State (Comma) The City and State entered in the custom fields will be stored in the Customer Address 3 field. This checkbox determines the format that is used. If checked, the City and State are stored as City, State. If not checked, the City is followed by a space and then the State. It is assumed that the State is always the 2 letter State Code (i.e. MA, NY, CA, etc.) The formatter will also format phone numbers. If a phone number is entered without an area code and a default area code is entered, the default area code is automatically added to the phone number. The Phone Number format drop down has two formats: (xxx) xxx-xxxx and xxx-xxx-xxxx. You can also enter the labels for the Phone 1 and Phone 2 custom fields in the Phone 1 Label and Phone 2 Label fields. For example: In this example, commas are used to separate City and State. The Phone 1 field will be labeled H. Phone and the Phone 2 field will be labeled W. Phone. However, you must restart Retail Pro for the label changes to take effect. The Format button is used to reformat the existing customer information. Page 5 of 6
If you click Format, the modification asks you if you are sure you want to reformat the Customer file. If you click Yes, the Customer Information Formatter will go through the entire Customer file and do the following for each Customer: 1) If Address3 is blank and Address2 is not blank, Address2 is moved to Address3 and Address2 is blanked. 2) Address3 is formatted to City, State or City State depending on the Use City, State (Comma) checkbox. 3) All phone numbers are formatted using the selected format and default area code (if entered). If a phone number cannot be formatted, it is left the same. Note that the changes cannot be un-done. Click Done to exit the Formatting preferences screen. Page 6 of 6
