Upgrading Xerox Secure Access to Equitrac Office 4.2.0 Before you upgrade from Xerox Secure Access 4.1.1 to Equitrac Office 4.2.0, gather the following information: A list of the Secure Access services installed on one or more machines. Possible components are: Core Authentication Server (CAS) Device Control Engine (DCE) Document Routing Engine (DRE) Secure Access Manager SQL Express instance name that was used for the Xerox Secure Access installation. The user name and password used to install Xerox Secure Access. This document contains instructions and information to help you successfully upgrade from Xerox Secure Access 4.1.1 to Equitrac Office 4.2.0. For a complete set of system requirements needed for Equitrac Office 4.2.0, refer to the Equitrac Office Installation Guide. 3

Planning the Upgrade A direct upgrade from Xerox Secure Access 4.1.1 to Equitrac Office 4.2.0 cannot be done. You must first uninstall Xerox Secure Access before you can install Equitrac Office. After Secure Access have been uninstalled, the upgrade method depends upon the current deployment of the Secure Access services. Single machine upgrade If you installed all Secure Access services on a single machine, you can run the Equitrac Installation Wizard once to upgrade all Equitrac services on that machine. Multiple machine upgrade If you distributed the Secure Access services across multiple machines, you should follow a phased approach to upgrade the Equitrac services. Phasing allows you to upgrade different components at different times, which minimizes the copy interruption within your organization. For example, if CAS and System Manager are on one machine, and DRE and DCE are on another machine, you should upgrade the CAS machine first, and then upgrade the DRE/DCE machine. When updating the CAS machine, select only the CAS service from the install options. If you also installed the Secure Access System Manager on CAS, ensure that you install the Equitrac Administration Applications on the CAS machine. When updating the DRE/DCE machine, select only the DRE and DCE services from the install options. Upgrade Workflow To upgrade from Xerox Secure Access 4.1.1 to Equitrac Office 4.2.0, do the following: 1 Uninstall Secure Access 4.1.1. During the uninstall, make sure not to remove the Secure Access ports when prompted and to keep the database when prompted. See Uninstall Xerox Secure Access 4.1.1 on page 5. 2 Install Equitrac Office 4.2.0. During the install, make sure not to overwrite the existing database when prompted. See Install Equitrac Office 4.2.0 on page 5. 3 Run the Equitrac Printer Conversion Wizard in order to convert the Secure Access ports to Equitrac ports. See Convert the Printer Ports on page 8. NOTE: A hotfix is required which provides an updated version of the Printer Conversion Wizard with Secure Access conversion support. 4

Uninstall Xerox Secure Access 4.1.1 In order to upgrade to Equitrac Office 4.2.0, you must first uninstall Xerox Secure Access 4.1.1, ensuring that you keep the SQL Express database and any Secure Access printers and ports. 1 From the Start menu, go to Control Panel > Add/Remove Programs. 2 Select Xerox Secure Access from the installed programs list. 3 Click Remove and click Yes when prompted to uninstall the product. 4 If the CAS server is also configured as a print server, do the following: a b Click No on the warning popup 'You have printers configured to use Xerox Secure Access ports. Do you wish to remove these ports?' This will keep the existing Xerox Secure Access ports. Click OK on the warning popup 'You have selected to keep Xerox Secure Access printer port definitions. Your printers will not be functional unless the Xerox Secure Access Port monitor is reinstalled. Click OK to continue the uninstall. Note: This will restart the spooler.' 5 Click No on the warning popup 'You have an SQL Express database configured for use with Xerox Secure Access. Would you like to remove this database?' This will keep the existing database. 6 Complete the uninstall wizard to finish removing the product. Install Equitrac Office 4.2.0 Whether performing a phased upgrade, or upgrading all components during a period of scheduled downtime, the following instructions step you through the Installation wizard. This wizard allows you to select the server components to install per machine. If you are upgrading an installation that contains all Secure Access services on a single machine, you only need to run the wizard once. NOTE: Prior to performing an upgrade, ensure that all machines within the current Secure Access deployment meet the Equitrac Office operating requirements described in System Requirements in the Equitrac Office Installation Guide. If the Secure Access components are distributed among two or more machines, run the Installation Wizard on each machine, and select only those components that you want to upgrade per machine. NOTE: For Windows XP, Server 2003, and Server 2003 R2 operating systems, ensure the server is up to date with the latest service packs or manually download and install the latest version of Windows Installer from www.microsoft.com. Windows Installer 4.0 (or later) is required to install Equitrac Office 4.2.0. 1 Close all other applications on the server prior to running the Equitrac Office Installation Wizard. 2 Launch the Equitrac Office Installation Wizard. If you are installing from the Equitrac Office CD, select 32-bit Install Server to begin the install for a 32- bit machine, or select 64-bit Install Server to begin the install for a 64-bit machine. Or If you are installing from an electronic distribution, download and run the 32-bit or 64 -bit server Setup.exe file. 5

3 At the Welcome screen, click Next to begin the installation process. 4 Review the Software License agreement, and click Yes to accept it. 5 Choose the options you want to upgrade on this machine, then click Next. By default, all Server Components and Administrative Applications are selected. Use the following table to identify which Secure Access services map to the available Equitrac Office services. Secure Access Service Core Authentication Server Document Routing Engine Device Control Engine Secure Access Manager Equitrac Office Service Core Accounting Server Document Routing Engine Device Control Engine System Manager & Accounts Manager - no equivalent in Secure Access - Device Management Engine NOTE: You can install the Device Monitoring Console, Department Manager, and Reports Manager on any machine in the deployment. 6 Select the interface language you want in the Select Language screen. The Administrative Applications will display this language. CAUTION: You cannot change the language settings after the initial installation. To change the display language, you must uninstall and reinstall Equitrac Office, changing the language selection during the installation. This language selection is independent of the regional language setting on the machine, meaning that you can run Equitrac Office in Italian even if the machines regional setting is French. 6

7 If you selected the Core Accounting Server in the Select Features screen, you will see the Select database type screen. Ensure SQL Express is selected as the database type, then click Next. NOTE: Although Equitrac Office supports SQL and Oracle databases, you must select the same database type used in the Xerox Secure Access installation. 8 Enter the instance name of the Secure Access database on the current machine, and click Next. 9 In the User name for services screen, enter the same UserID and Password that was entered for the Xerox Secure Access installation, and click Next. Domain accounts must use the domain name (for example, domain\username). Although this account does not require Administrative privileges on the server, the account must have Print Operator privileges to allow the DRE to process print requests. Refer to the Equitrac Office Administration Guide for details on Access Permissions. 10 Enter the Core Accounting Server name. 7

11 Click Install to start the installation process. The installation wizard copies files, sets up services, and creates shortcuts to the Administrative Applications. 12 Click No on the warning popup 'The Equitrac database already exists. Overwriting the database will destroy any existing Equitrac data. Do you wish to overwrite it?' This will keep the existing database. 13 At the end of the process, click Finish to exit the installation wizard. Refer to the Equitrac Office Installation Guide for instructions to apply licensing and the Equitrac Office Administration Guide for system configuration information. Convert the Printer Ports Use the Equitrac Printer Conversion Wizard to convert from Secure Access ports to Equitrac ports. 1 Navigate to C:\Program Files\Equitrac\Office\Tools. 2 Double-click EQPrinterConversionWizard.exe. 3 Set the Print server location to Local machine if the printers are on the same server where you are running EQPrinterConversionWizard, or use Remote server if the printers on are a different server such as a cluster environment. 4 Select Convert printers to use Equitrac Port. 5 Optional Uncheck Auto-discover model if the printers are off-line or have SNMP disabled. If selected, the wizard sends an SNMP request to each device, and then times-out on each failed connection attempt, greatly increasing the time to run the conversion. 6 Click Next. 7 Select all of the printers to be converted, and click Next. 8 When the conversion process is complete, click Finish. 9 In the Printers and Faxes window, print a test page for EACH converted printer, and confirm that the test page printed successfully. 10 Open System Manager and verify that the physical device and its corresponding printer port and print queue appear in the Devices section. 11 Produce a Detailed activity by device report and verify that the test page appears in the report. NOTE: If Network Accounting was enabled on the Xerox device, any transactions that occurred on the device may be recorded in CAS after upgrading from Secure Access to Equitrac Office. Any users that have logged on through an alternate authentication service (e.g. LDAP, Active Directory, Xerox Secure Access Unified ID System) will have the transactions recorded against their accounts. If the account does not exist, it will be auto-created and have the recorded transactions deducted from the account. NOTE: Network Accounting must be enabled on the Xerox devices in order to track transactions after upgrading to Equitrac Office. 8

Configure the Print Queue After printing to the physical device for the first time, a print queue is created for the device automatically. The new queue uses default settings only, so make modifications to the queue as soon as possible. To view the queue in System Manager, select Devices. Expand the device that you want to modify to view the port, then expand the port to view the queue. In the Print queue summary dialog, you can set these options: Option Description Pricing Secure printing Rule set Billing popup Separator page Description A text description of the queue that appears in System Manager. The description should reflect the device name that the queue belongs to. Apply price lists to the jobs output from this queue. If you leave the Price list at the default setting, the price list configured at the port level is applied to all jobs released from this queue. See Configuring Price Lists in the Equitrac Office Administration Guide. Enable this option when using Follow-You Printing to hold print jobs in a secure print queue until the user releases the jobs to a compatible device. Secure printing is disabled by default. See Enabling Secure Printing in the Equitrac Office Administration Guide. Select the set of Routing Rules that you want to apply to this port. Rules can hold, release, restrict access to, redirect jobs, reprice jobs, and so on. You must create rules before they appear in this list. See Creating Print Rules in the Equitrac Office Administration Guide. Used with the Client Billing feature, enable the billing popup if you want users to enter a billing code prior to submitting a print job to this queue. The Billing popup is enabled by default. See Working with Billing Codes in the Equitrac Office Administration Guide. Prints a specific print separator before each job released from this queue. A separator page is not applied by default. See Setting up a Print Separator Page in the Equitrac Office Administration Guide. 9
