Connecting the Printer A parallel cable and a USB cable are included with the printer. Only one cable will be necessary for connecting the printer. Choose which cable you will use and set aside the unused cable. 1. After removing the printer and its components from the shipping container, connect the male end of the chosen printer cable to the back of the label printer. 2. Connect the female end of the cable to an unused port in the back of the PC. Note which port you select. 3. Connect the power cable to the label printer and plug the power supply into an outlet. 4. Turn on the unit by pressing the On/Off switch on the back of the printer up to the On position. The indicator light will turn green. Loading Labels ROLL 1. Before loading labels, remove one full revolution of labels and any liner (to remove the oils, dust and adhesives that contaminate the labels). A 2. Open the printer cover and insert the labels. B (Use approved labels for best results.) 3. Thread labels through the guides, then adjust the guides. C 4. Loading Labels FAN-FOLD 1. Open the printer cover by pulling the cover release levers forward. 2. Pull the roll holders to the sides of the printer. Tighten the screw into the base of the printer. (Use a small #1 Phillips screwdriver.) A 3. Insert the fan-fold labels into the back of the printer, between the top cover and body of the printer. B 4. Thread the labels past the roll holders to the front of the printer and adjust the label guides to center the labels. 5. Close the printer cover until it locks, then press the Feed button to advance one label. A B 7
Loading Labels THREAD LABEL DISPENSER Thread Label Dispenser If you would like the labels to peel from the liner as each label prints, follow these instructions for loading labels. 1. Before loading labels, remove one full wrap of labels and liner to prevent the oils, dust and adhesives from contaminating the print head. Remove three labels from the liner. 2. Pull down the label dispenser door and move the Label Taken Sensor switch to the 1 position. A 3. Thread the liner over the metal bar, behind the white roller and out the bottom of the dispenser door. B, B1 and B2 4. Secure the labels with the label guides. 5. Close the dispenser door. 6. LABEL ALIGNMENT Loading Labels After time you load a new roll of labels, complete the following steps: 1. Turn the printer off by pressing the On/Off switch down to the Off position. 2. Press and hold the Feed button while turning on the printer. A 3. When the indicator light flashes, release the Feed button. B 4. Configuring the Printer UPS ONLINE WORLDSHIP CUSTOMERS Note: If you are using UPS OnLine WorldShip, you must install this software before configuring the printer. The steps for configuring a thermal label printer vary depending on your Windows operating system. To install the thermal label printer driver appropriate for your operating system, see Install a Thermal Printer Driver in UPS OnLine WorldShip Help. Select your operating system, then choose Display. After completing the above, continue with these steps. From the UPS OnLine WorldShip Shipping window: 1. On the menu bar, select Tools, System Preferences, then the Printing Setup tab. 2. Choose Label Printer Setup, then Change Label Printer. 3. Select UPS Thermal 2844, then choose OK. Note: For Windows 2000, double-click UPS Thermal 2844. 4. From the Label Stock Dimension pull-down menu, select a label stock, and then choose Apply. 5. Make sure the thermal label printer is turned on. 6. On the Printing Setup tab, choose Print Test Label to test the printer. 7. If an error message appears and a test label does not print, turn off the printer, then repeat steps 2 through 6. 10
Configuring the Printer UPS INTERNET SHIPPING CUSTOMERS 1. From the UPS Web site (ups.com ), click the Ship icon. 2. Log in to MYUPS.COM. 3. Click the Help tab under the Ship icon. 4. Click Setting Up My UPS Thermal Printer, and follow the instructions to complete the installation process. 11
Printer Maintenance CLEANING THE PRINT HEAD When you load a new roll of labels, be sure to clean the print head. 1. Rub the cleaning pen across the dark area of the print head. 2. Wait one minute before closing the printer. 3. DO NOT clean the platen roller. Platen Roller 12
HELP DESK SUPPORT Printer Maintenance Technical support is available for UPS thermal printers. Before calling, please complete the following steps: 1. Make sure the printer is turned off by pressing the On/Off switch down to the Off position. 2. Press and hold the Feed button while turning the printer on. The indicator light begins flashing red. 3. Release the Feed button after the red light flashes. After the Feed button is released, the light turns green. 4. The printer advances three to four labels and prints a status summary. 5. Press the Feed button once to exit this mode. Note: If the indicator light remains red, turn the printer off for 10 seconds and then turn it back on. The light should turn green. Frequently Asked Questions 14 Can I print reports on the UPS thermal printers? The thermal printers print package labels only. You must use a Hewlett-Packard LaserJet -compatible inkjet or dot matrix printer to print your reports. What do the indicator lights on the Feed button mean? A red light means the printer is out of paper. An amber light means the printer has detected an error. To reset the printer, press the Feed button, or turn the power off and on again. A green light means the printer is ready to print. Note: If the Feed button indicator light does not turn green or if it turns red even when the labels are loaded, refer to the Troubleshooting chart on the next page. What do I do if I received this printer as a replacement? 1. Disconnect the existing printer cables. 2. Open the box you received and remove the ARS label and letter. 3. Place the equipment to be returned in this box, along with any packing material, and seal the box. 4. Place the ARS return label below the bar code label on the box. 5. Have your UPS driver pick up this box with the regular package pickup schedule, or call 1-800-PICK-UPS (1-800-742-5877) to request a pickup. 6. Connect the new power cable (either D or E on page 2) to the new printer and test using steps 1, 6 and 7 on page 10.
Troubleshooting This chart addresses the most common problems concerning the operation and configuration of your printer. Problem Solution or Reason The Feed button indicator light does not turn green when the On/Off switch is pressed up to the On position. Check the power outlet connections from the power supply to the printer and the AC outlet. The printer does not print even though the Feed button indicator light turns green. The printer appears to be working, but nothing is printed. Printing is faded. Prints only a partial label. Difficult to load labels. Labels continuously feeding out of printer in error. Printing stops and the Feed button indicator turns amber or red. Check the interface cable connections from computer to the printer. Verify that the labels are the correct type (direct thermal). Check that the roll is loaded with the thermal side facing up. Clean the print head with Thermal Printer CLEAN-PENN TM. Adjust the print speed/darkness in software. Label caught on print head. Label caught on print head or mechanism. Label caught on gap sensor inside mechanism. Possible software problem. Possible problem with gap sensor. Perform the steps on page 12 or 13.
