1. Using this Guide This is a step-by-step guide on how to install, configure, monitor and troubleshoot the installation of the Legacy Client Chart (LCC) Solution. There are 3 separate pieces of software: LCC Importer, LCC External Document Importer, and the LCC Viewer, that need to be installed. This guide uses several types of icons to alert the user of special information. Information icon: Gives supplemental information to the user. Warning icon: Actions will not cause an error but might affect default configuration. Important: Information must be acted upon or can result in significant errors, stalls or crashes. Example of an error Fix Many of the dialog boxes you encounter will have navigational arrows. These arrows are greyed out until you have supplied the required information for the tool to move to the next step at which point they turn blue. In some of the dialog boxes, back arrows also allow you to move to a previous step. In addition, there is a Legacy Client Chart (LCC) Viewer Installation Workplan that should be used along with this guide. These will be available during the technical webinar scheduled for September 25 and 26. Otherwise, the IMS Department at AOHC will send them to you. 2. 3. Run Data Migration This section will take you through the installation of the LCC Importer on the initial computer or Machine 1. This machine needs to have a Purkinje system installed and a Windows XPS Printer - this machine is usually the Purkinje server. For additional information see the IT Requirement Document. Install Legacy Chart Importer Software Purpose: To install the migration software on Machine 1. a) Download the installation files and extract them. To download the Legacy Client Chart Import.zip file, click on the link OR the icon below. http://sharepoint.dmcportal.org/emrdeployment/emrkbb/lcc%20viewer/products /Legacy%20Client%20Chart%20Import.zip b) After the LCC Import.zip file is downloaded, extract the files. c) Begin the process by clicking on setup.exe If you already have Windows Installer 4.5 proceed to the next page. d) The following screen is displayed: e) Click Accept. If you already have Microsoft.NET Framework proceed to the next page. Installation Guide for LCC Viewer Solution 6

i) Once Microsoft.NET Framework 4.0 is installed, click Next on the following screen to install the Legacy Client Chart Importer. Installation Guide for LCC Viewer Solution 8

j) The following screen is displayed: k) Click Next. You can select a different installation path - however, it is recommended that you use the default. Installation Guide for LCC Viewer Solution 9

o) When the Importer has been installed, click Close to exit the setup. Installation Guide for LCC Viewer Solution 12

Configure the Importer Tool Once the Importer tool has been installed it must be configured to work in your environment. Purpose: To provide the Importer tool with the required information to perform data migration. This consists of three steps: 1. Define the project 2. Select the source database 3. Select the destination database. Define the Project a) From the Start Menu, select the Legacy Client Chart folder. b) Click on Importer. Installation Guide for LCC Viewer Solution 13

c) The following screen is displayed for you to define the project on: Since you have not created a project, the name New Project will be the default. Enter a description for this project - this description will be shown to the user as the database that they can connect to at the login screen of the LCC Viewer. This description is especially important for multi-site centres to ensure that users understand which database they are connecting to in the future. It is recommended to use the familiar name of the centre for a single site, and the familiar name of the location you will be migrating through this machine. d) In type, select Purkinje for the system to migrate data from. e) Click the blue arrow to move to the next screen. f) The following screen is displayed to show that initialization has started. Wait for the project to load. The initialization time will depend on the performance of your machine and the steps that have already been completed if the tool was restarted. g) Click the blue arrow to move to the next screen. Select the Source Database a) Select the database source on the following screen. The Purkinje configuration should have been retrieved from the registry, and should appear under Configurations. Select the appropriate configuration in this list. For the sites that have multiple version of Purkinje running on their server, select the correct version or contact IMS@aohc.org for clarification. b) If you select the configuration, the path to the Purkinje installation folder and the database server information will be auto filled. If not, you will need to enter this information. c) Path to the Purkinje bin folder: If Purkinje is installed in C:\Program Files\Purkinje\Dossier, then the bin folder will be: C:\Program Files\Purkinje\Dossier\bin Installation Guide for LCC Viewer Solution 16

d) The following screen appears: e) Enter a valid login/password for the server that has sufficient rights. New tables will be created in the Purkinje database to ensure duplication of migration progress status. i. Server: Name/IP Address of your Purkinje server. ii. iii. iv. Login: This is the SQL Login to connect to the Purkinje database. If there are problems finding this information, refer to Appendix A. Password: SQL Password used to connect to the Purkinje database. f) If the values entered are invalid errors will be highlighted. Place the cursor on the red, to see the details of the error message. Once you start correcting the values, the errors will disappear and be replaced by the validation pending status. Installation Guide for LCC Viewer Solution 18

g) When all errors are corrected, click the blue arrow to move to the next step. Installation Guide for LCC Viewer Solution 19

Select the Destination Database a) Use the following screen to select the destination database: If the Purkinje server will be used as the destination serve, use the same information for the source database, expect for the database name. i. Type: MySql or MS SQL Server which is selected by default. ii. Server: Name/IP Address of the database server. iii. Login: SQL Login to connect to the database server. iv. Password: SQL Password used to connect to the database server. v. Database: Name of the new database. AOHCLCC was used for the beta sites. Installation Guide for LCC Viewer Solution 20

If you are a multi-site centre that will install multiple databases on the same server, you should choose a name unique to the location you are migrating. The name needs to respect the SQL Server database name limitation, and should contain only letters and numbers. Do not use any symbols or special characters. (French characters are acceptable). Spaces can be used, but are usually avoided to simplify some of the SQL Server management tasks. b) Your screen should appear as follows: c) Click the blue arrow to move to the next step. Preparing the Databases Purpose: To create the new database, and fix clients missed during the York-Med to Purkinje migration and copy the discrete data. This step is separated into 2 sub process: 1. Prepare the database this should take less than 1 hour 2. Copy data to the database For the larger sites, this can take 1 week or more depending on the machine s performance. a) The following screen is displayed: Installation Guide for LCC Viewer Solution 22

Check that the destination SQL Server is correctly configured. SQL Server and MySql have a default location to store any new databases created. The location is in the Program Files folder by default for SQL Server. The location may not have enough hard drive space. If needed, this configuration can be changed. b) Click on Execute to start the process. c) The following screen is displayed: d) Wait for the process to complete. e) Click the blue arrow to move to the next step. Installation Guide for LCC Viewer Solution 24

f) The following screen is displayed: This process will take a while for some centres - there will be an indicator of each task s progress displayed at the bottom of the screen. It may appear to take some time between a task being completed and another started. This is expected. It may appear that the process is not moving as you don t see any reaction on the screen. This is expected. The tool will not suspend but will crash instead. If a crash or error occurs during processing, the process can be re-started at any time. When completed there will be an indicator at the bottom left of the screen. This shows the volume of information that will be migrated: R: the number of records E: the number of encounters S: the number of scanned documents. Please communicate these numbers to AOHC s IMS Department at ims@aohc.org for each database that your site has. This will allow us to monitor the progress of the deployment (this corresponds to Task 5.0 in the LCC Implementation Workplan). g) After sending an email to AOHC s IMS Department, click Execute. h) After all processes have been completed the following screen will be displayed: i) Click Export Configuration. j) Click the blue arrow to move to the next step. Installation Guide for LCC Viewer Solution 27

Export the Configuration Purpose: To export the files that will be used to configure the external document migration and the LCC Viewer. This step can be run any time after the copy data process (as described in the Preparing the Databases section above) is complete. a) The export configuration will have produced 2 files: 1. the.dat file which will be used by the external file migration tool to configure itself. 2. the.lcc file which will be used during the installation of the viewer to avoid having to configure each installation manually. b) The following screen is displayed: c) Select a folder where you wish to save the files. This can be a shared folder on another machine or a new folder on this machine. d) Click OK. Installation Guide for LCC Viewer Solution 28

e) The following screen is displayed: f) Click OK. g) The.dat and.lcc files are exported to (or saved to) the selected folder. For multi-site centres, all files can be placed in the same folder as long as each site has its own name as recommended when choosing a project. Execute Batch Printing During this process, encounters will be migrated using the Purkinje batch printing utility. When Batch Printing is run, the computer mouse and keyboard will be used by the tool to manipulate the system into printing each document. This process MUST be run on the console session of Windows. Connecting to this computer through a regular remote desktop session to run this process will not work! If you need you to do some administration on the server, you can still connect to the server through a separate remote connection. The process will stop working when the session disconnects. This is also true if you are using tools like TeamViewer. To ensure that the tool works correctly, setup your Windows XPS Printer as the default printer for the current user. a) The following screen is displayed: Installation Guide for LCC Viewer Solution 30

b) When you are ready to proceed, click Execute. The batch printing utility from Purkinje will start printing the documents to the XPS Printer. When all encounters for one client have been processed, the batch printing will close, re-start and begin processing encounters for the next client. To cancel the process, examine when the batch printing has finished printing a client chart and is beginning to print the next client chart press the Cancel button at this time. c) The following screen is displayed. You can resume this process if the server reboots due to a Windows update or if it is interrupted during any of the data migrant steps. To resume the batch printing process after it has been interrupted: 1. Verify that the Importer is closed. (If it is still open it will not restart). 2. Start the Importer. 3. The following screen is displayed. 4. Click the blue arrow to move to the next step. Installation Guide for LCC Viewer Solution 32

5. The following screen is displayed: 6. Wait for the project to initialize. This can take a very long time depending on at which step you are resuming. During this process, the tool validates that: i. All the steps that have been marked as complete, are indeed completed. ii. Both databases hold the data that they should hold, and their configurations are synchronized. During the initialization the tool will move to the step that needs to be completed next, depending on the last action that was verified as complete. Installation Guide for LCC Viewer Solution 33

7. The following screen is displayed: If during the initialization a discrepancy or error is found the tool will not continue. The steps will be flagged as errors. Please contact IMS@aohc.org for further instruction. Installation Guide for LCC Viewer Solution 34

4. Errors The following pages give examples of errors that may occur and the troubleshooting tips to reset them. Contact IMS@aohc.org if at any time if you encounter errors that you are not confident of resolving. Server is no Longer Available a) The following screen is displayed: Recover by closing the tool, ensure the database is back up and running, and then restart the tool. Data discrepancy a) The following screen is displayed: Contact AOHC s IMS department at IMS@aohc.org to investigate and resolve this issue as more investigation is required to restore the data integrity between the two databases. Installation Guide for LCC Viewer Solution 36

5. Resolve Corruptions After the batch printing has been completed there will be a display of the documents that could not be extracted. Possible reasons for this could be that the document was not saved properly in Purkinje, or the external document was corrupted. To fix this problem, either mark them as Corrupted or upload a copy of the document. a) The following screen is displayed: Installation Guide for LCC Viewer Solution 37

Select Resolve Corruptions on the left pane and move the cursor across to the right pane to see the list of corrupted documents. Click the appropriate symbol at the bottom of the screen: Group or ungroup the document by charts. Reprocess all documents still marked as errors (Not corrupted and not corrected). This option is used if a large amount of documents are marked as in error. Only the documents requiring reprocessing will be reprocessed, thus allowing a shorter execution time. When activated: Return to the Execute Batch Printing step. Execute the external file importer again to reprocess the external files. Installation Guide for LCC Viewer Solution 38

The following actions can be performed on individual files: 1. Mark Corrupted: Indicates that the document cannot be retrieved. When you click on this document in the LCC viewer, you will get a notice that the document is not available. 2. Upload file: This allows you to upload a copy of the document if one exists or a replacement document if appropriate. When all encounters have been corrected send an email to IMS@aohc.org. You will need to provide the key (8 letters) displayed on the screen to receive a validation code (12 letters). This validation code will allow you to finalize the process of deactivating Purkinje and updating the users/audit logs. Example of Corrupted and Problem Documents In this screenshot, the second line shows a document that is marked as corrupted. The third line shows a new document that has been uploaded. Document marked Corrupt and cannot be retrieved. In the viewer, these documents will display notice of unavailability instead of their content. A copy of the corrupt document has been uploaded or a replacement document was found and added instead. Installation Guide for LCC Viewer Solution 40

6. Retire Purkinje The following section will ensure that the most current user information in Purkinje is captured by the LCC Solution. 1. Update the users with the latest password and status. 2. De-activate Purkinje by switching all the users password, reset the Purkinje password, and update the audit log. When completed, users will no longer be able to log into Purkinje a) The following screen is displayed: b) Click Execute. Installation Guide for LCC Viewer Solution 42

7. Run Data Migration Report The data migration report is available at any time during the process and contains information about the data migration that is completed at the time that the report is run. The report can be printed and saved to PDF. Information in the report includes the new Purkinje password that is now set for the system. This would be required if the system needs to be accessed in an emergency and you still have a license to use the software or make appropriate arrangements with Purkinje. a) The following screen is displayed: b) Allow the report to load. 8. Run Data Migration of External Document This guide will take you through the installation of the LCC External Document Importer. A second computer needs to be used for this step. Both Adobe Reader and Windows XPS Printer need to be installed. - If you are running Windows Server 2008 you may need to install Windows Desktop for printing pictures. - If you have used Microsoft Office documents (Excel or Word) in Purkinje, you will need to install Microsoft Office. Additional information is available in the IT Requirement Document. Install Legacy Viewer Software Purpose: Install the software on the secondary computer or Machine 2. a) Download the installation files and extract the files. To download the Legacy Client Chart Import.zip file, click on link or click on the icon below. http://sharepoint.dmcportal.org/emrdeployment/emrkbb/lcc%20viewer/products/legacy %20Client%20Chart%20External%20Document%20Import.zip b) Extract the files. c) Begin the installation process by clicking on setup.exe. If you already have Windows Installer 4.5 proceed to the next page. d) The following screen is displayed: e) Click Accept. Installation Guide for LCC Viewer Solution 46
