FOREWORD About this User Guide and Help The Mail Markup Pro user guide and Help provide detailed instruction about how to operate Mail Markup Pro. All actions described refer to actions performed in the Mail Markup Pro interface. Actions referring to the Mail Markup Pro service and the Mail Markup Pro command line are labelled as such. The user guide and Help assume you have knowledge of the application you intend to use to prepare the PDF documents you will use with Mail Markup Pro, together with your computer s operating system and conventions, including how to use a mouse. INTRODUCTION Overview Mail Markup Pro is a Windows application developed by Funasset Limited. It is used for applying OMR marks to mail pieces contained in PDF documents so (after printing) they can be processed by folder inserter equipment. 2 MAIL MARKUP PRO

INTRODUCTION Operation With Mail Markup Pro installed, the following sequence of operations is typically performed: 1. The Mail Markup Pro interface is used to create and configure a Task that provides instruction about how to process PDF documents containing one or more mail pieces. 2. A PDF document is placed in the input folder associated with the Task. 3. When the Mail Markup Pro service detects the PDF document processes associated with the Task are performed on the mail piece(s) it contains either immediately or at a specified release time. Processes include: mail piece detection (if the PDF document contains multiple mail pieces), document insertion (optional), and OMR mark insertion. 4. Mail pieces are output on the printer associated with the Task, or written to file. 5. If the PDF document is successfully processed and output it is saved in the archive folder. 6. If the PDF document is unsuccessfully processed or output it is saved in the error recovery folder. Alternatively, the Mail Markup Pro command line can be called by your own applications to instruct the Mail Markup Pro service how to process a specified PDF document. MAIL MARKUP PRO 3

INTRODUCTION What are OMR Marks? Optical Mark Recognition (OMR) marks consist of a sequence of solid black dashes. They are applied to certain pages within a document to indicate to folder and inserter equipment whether and what supplements need to be included, and how many pages need to be folded then inserted in an envelope. Fig. 1 Example OMR marks OMR marks also provide safety and parity checks to help ensure the correct quantity of pages are inserted in an envelope. Mail Markup Pro contains a facility to create and manage OMR configurations to match the requirements of your folder and inserter equipment. 4 MAIL MARKUP PRO

GETTING STARTED System Requirements Mail Markup Pro has the following system requirements: PC running Windows 2000 or above. Internet connection (recommended for licensing). Windows printer driver for outputting processed documents (recommended but output to file option is available). 6 MAIL MARKUP PRO

GETTING STARTED Installing To install Mail Markup Pro double-click Mail_Markup_Pro_Setup.exe then follow the on-screen instructions. NOTE: To install Mail Markup Pro you must be logged on to Windows as an Administrator. Setting the Windows Path for the Command Line During the installation process the following check box is provided: Add application directory to your PATH (only needed when using the command line) If you intend to use the command line and you do not want to specify the path of the command line executable when it is called, click the check box to add a tick. Doing this adds the path of the command line executable to Windows. GETTING STARTED Service Overview Once installed, Mail Markup Pro runs as a Windows service. This enables its functionality to be used even when the PC or server it is installed on is not logged on to Windows. NOTE: By default, the Mail Markup Pro service is automatically started on Windows start-up. Starting and Stopping To start and stop the Mail Markup Pro service, perform the following actions: 1. Launch the Mail Markup Pro interface as an administrator or while logged on to Windows as an administrator. 2. Open the Tasks tab (Fig. 20). 3. In the Service panel click the Started Click to Stop button (Fig. 2) if the service is started, or the Stopped Click to Start button (Fig. 3) if the service is stopped. GETTING STARTED Interface Overview To configure and manage the way Mail Markup Pro processes mail pieces, an interface (Fig. 4) is provided. Launching (Running) Fig. 4 Mail Markup Pro interface The interface contains elements such as tabs, panels, and lists. The Mail Markup Pro interface is launched (run) in one of the following ways: In the Mail Markup Pro folder on the Windows Start menu click the Mail Markup Pro option. On the Windows Desktop double-click the Mail Markup Pro shortcut (if available). NOTE: MORE: To start and stop the Mail Markup Pro service using functionality within the Mail Markup Pro interface, the interface must be launched as an administrator or by logging on to Windows as an administrator. For details about launching applications as an administrator, refer to your Windows documentation or Help. MAIL MARKUP PRO 9

GETTING STARTED Closing (Exiting) The Mail Markup Pro interface is closed (exited) by clicking the Close button located near the right-hand edge of the title bar. NOTE: If changes have been made to the currently selected Task, a Save Changes dialog (Fig. 16) appears prompting you to save the Task. Click the OK button to save or the Cancel button to abandon. Tabs Options and facilities to configure, monitor, licence and view information about Mail Markup Pro are contained in tabs (Fig. 5). GETTING STARTED Opening A tab can be opened in one of the following ways: Click the associated tab button.* In the Tasks list double-click a field in the column associated with the tab. This is only applicable to the Mail Piece Detection tab (Fig. 22), OMR Marks tab (Fig. 30), Digital Inserts tab (Fig. 29) and Outputs tab (Fig. 31). *The following tab buttons open the following tabs: Button Tab Name Tasks Mail Piece Detection OMR Marks Digital Inserts Outputs Save Settings System Status Help NOTE: For certain tabs that contain Task configuration information, a Task must be selected before associated tab buttons become active (clickable). Panels Many tabs contain one or more panels (Fig. 6). MAIL MARKUP PRO 11

GETTING STARTED Fig. 6 Panel Panels organise certain information contained in a tab into related content. Resizing Certain panels will contain information that extends beyond its vertical limit. When this occurs the height of the panel will need to be resized in order to reveal the hidden content. To resize the height of a panel, perform the following actions: 1. Move the mouse cursor over the upper or lower edge of a panel until the cursor changes to a double-headed arrow with a line through it.* 2. Click and hold the mouse button. 3. Move the mouse to increase or decrease the size of the panel. 4. Release the mouse button when the desired panel size is achieved. *NOTE: If the cursor does not change to a double-headed arrow the panel cannot be resized. Lists The Mail Markup Pro interface contains lists (Fig. 7) that are used for clearly displaying and easily locating associated information: Fig. 7 List (Tasks) Sorting Lists can be sorted by column in either ascending or descending order. The column the list is currently sorted by is indicated by an arrow near the right-hand edge of the column heading. A down arrow indicates descending order and an up arrow indicates ascending order. 12 MAIL MARKUP PRO

GETTING STARTED Click a column heading to sort the list by that column. Subsequent clicks of the column toggle between ascending and descending order. EXAMPLE: If a column was sorted in descending order and the column heading was clicked, it would be sorted in ascending order. Resizing a Column The width of list columns can be resized to display more or less information. To resize the width of a column, perform the following actions: 1. Position the mouse pointer over the right edge of the column heading that needs resizing. The mouse pointer will change to a double-ended horizontal arrow when positioned correctly. 2. Click and hold the primary mouse button. 3. Move the mouse right to increase or left to decrease the size of the column. 4. Release the mouse button when the desired column size is achieved. Warnings If there is a problem with information contained in a list field, a warning icon (Fig. 8) is displayed to the right of that information. EXAMPLE: If a newly specified Task name matches another Task name, the warning icon appears. Fig. 8 Warning icon Move the mouse cursor over the warning icon to display a tooltip describing the problem. Context Menus Context menus (Fig. 9) appear alongside the mouse pointer when certain components of the Mail Markup Pro interface are right-clicked. GETTING STARTED Right-clicking a Task in the Tasks list (Fig. 7) displays a context menu containing options for releasing, removing and duplicating the Task. Move the mouse pointer over a context menu option then click to select it. Edit Boxes The Mail Markup Pro interface contains edit boxes (Fig. 10) where textbased information can be specified. Fig. 10 Edit box Click inside an edit box then perform one of the following actions: If text is highlighted in the edit box: Press the Delete button to delete it; type other text to replace it; press the left or right arrow key to remove the highlight. If text is not highlighted in the edit box: Press the Delete or Backspace key to delete existing text; type other text; navigate existing text using the left and right arrow keys. List Boxes The Mail Markup Pro interface contains list boxes (Fig. 11) with selectable pre-defined options. Fig. 11 List box To use a list box, perform the following actions: 1. Click the arrow to the right of the list box. 2. In the drop-down list that appears click an option to select it. Check Boxes The Mail Markup Pro interface contains check boxes (Fig. 12) that allow settings and options to be selected (by adding a tick) or unselected (by removing a tick). GETTING STARTED Click a check box to add and remove its tick. Radio Buttons The Mail Markup Pro interface contains radio buttons (Fig. 13) that allow single choice settings and options to be selected (by adding a dot) or unselected (by removing a dot). Fig. 13 Radio buttons Click a radio button to add a dot (select it). NOTE: Adding a dot to a radio button removes the dot from another radio button in the same radio button group. Scroll Bars When the information contained in a panel or list exceeds it boundaries, vertical and/or horizontal scroll bars (Fig. 14) appear. These provide a mechanism for moving the content of the panel or list up and down or left and right to reveal hidden content. Fig. 14 Scroll bar (horizontal) Click an arrow at the end a scroll bar to move the content of a list or panel in that direction. File System Navigation There are a number of processes in the Mail Markup Pro interface such as specifying a folder or finding a file that require the Windows file system to be navigated. Navigation is performed in a Browse dialog (Fig. 15). MAIL MARKUP PRO 15

Saving Changes Certain actions, such as selecting a Task when the currently selected Task has had changes made to it, cause a Save Changes dialog (Fig. 16) to appear. Fig. 16 Save Changes dialog Click the Yes button to save the changes then continue with the action. Click the No button to not save the changes then continue with the action Click the Cancel button to retain the changes but not continue with the action. NOTE: Clicking any button also closes the Save Changes dialog. Confirming an Action Actions that require confirmation, such as exporting an OMR configuration when an OMR configuration file with the same name already exists, cause a Confirm Action dialog (Fig. 17) to be opened. 16 MAIL MARKUP PRO

GETTING STARTED Command Line Overview Mail Markup Pro is installed with a command line program called MailMarkupCmd.exe that can be run by your own applications and processes. When run, MailMarkupCmd.exe must have the file name of an XML file appended to it together with the file name of a PDF document. The XML file contains mail piece detection, digital insert, OMR mark and output elements, attributes and values that instruct the Mail Markup Pro service how to process the specified PDF document. GETTING STARTED Licensing Prior to licensing Mail Markup Pro, the following limitations are imposed and a Notification dialog (Fig. 18) appears when the Mail Markup Pro interface is launched: A watermark appears on all printed output. Header and footer text appears on all printed output. Processed documents cannot be output to file. The archive is disabled. Error recovery is disabled. To remove the limitations and prevent the Notification dialog appearing, a licence must be purchased then a licence key requested and applied to Mail Markup Pro. All licensing options are available in the Help tab (Fig. 19). If the PC where Markup Pro is installed has an Internet connection, a licence key can be requested by performing the following actions in the Mail Markup Pro interface: 1. Open the Help tab (Fig. 19). 2. If the Buy/Licence page is not visible in the Browser panel click the New button in the Licence panel. 3. In the Browser panel click the Request Licence Key button. 4. Follow the instructions on subsequent pages. If the PC where Mail Markup Pro is installed does not have an Internet connection, a licence key can be requested by accessing the following URL using a PC that does (login required): funasset.com/user_account/request_licence_key.asp?id=34 Following a request, a licence key will normally be emailed to you within 30 minutes, Monday to Friday, 09:00 and 17:30 GMT. When a licence key has been received it can be applied to Mail Markup Pro. To apply a licence key to Mail Markup Pro, perform the following actions: 1. Open the Help tab (Fig. 19). 2. If the Enter Licence Key panel is not visible, click the New button in the Licence panel. 3. In the Enter Licence Key panel click inside the edit box then paste or type your licence key. 4. Click the Validate button. 5. If the licence key is valid, click the Apply button. Invalid Licence Keys If your licence key is invalid please submit a support ticket. TASKS Task Overview A Task provides Mail Markup Pro with the information it needs to process PDF documents: The input folder where PDF documents that require processing are placed. Settings to determine how individual mail pieces are detected in PDF documents. One or more optional digital inserts that are appended to each mail piece. An OMR mark configuration to determine how OMR marks are applied to one or more pages of a mail piece. The printer or file location where processed PDF documents are output. An optional release time when PDF documents start to be processed. Any number of Tasks can be created, offering almost limitless processing. Tasks are managed on the Tasks tab (Fig. 20). Fig. 20 Tasks tab The Tasks tab contains a Tasks list (Fig. 7) where Tasks can be viewed and managed. The bottom of the Tasks tab also contains a Service list where Tasks in progress appear. 26 MAIL MARKUP PRO

TASKS Selecting Before a Task can be managed and configured it must be selected. To select a Task, perform the following actions: 1. Open the Tasks tab (Fig. 20). 2. In the Tasks list (Fig. 7) click in any column of the Task that needs to be selected. Following selection, the entire row associated with the Task turns blue and the name of the Task appears on the title bar and to the right of the tab buttons. NOTE: If an attempt is made to select another Task and configuration changes have not been saved for the currently selected Task, a Save Changes dialog (Fig. 16) appears. MAIL MARKUP PRO 27

TASKS Adding To add a Task, perform the following actions: 1. Open the Tasks tab (Fig. 20). 2. Click the New button. A new row, highlighted in blue, is added to the bottom of the Tasks list (Fig. 7) or as the first row if no other Tasks are present. TASKS Duplicating To duplicate a Task, and as such create a new Task that contains the same configuration information*, perform the following actions: 1. Open the Tasks tab (Fig. 20). 2. Right-click the Task in the Tasks list (Fig. 7). 3. On the context menu click the Duplicate option. TASKS Saving To apply configuration changes made to a Task, and before processing associated with a Task can be performed, it must be saved. TASKS Configuration Summary Viewing Printing Exporting to PDF The configuration summary provides a textual breakdown of a Task s configuration. The information it contains can be viewed, printed and exported to PDF. To view the configuration summary of a Task, perform the following actions: 1. Select the Task. 2. Open the Save Settings tab (Fig. 21). To print the configuration summary of a Task, perform the following actions: 1. Select the Task. 2. Open the Save Settings tab (Fig. 21). 3. Click the Print button. 4. In the Windows Print dialog specify the requested information. 5. Click the Print button to print or the Cancel button to abandon. To export the configuration summary of a Task to PDF, perform the following actions: 1. Select the Task. 2. Open the Save Settings tab (Fig. 21). 3. Click the Export button. 4. TASK NAME Task Name Overview The Task name is used to identify a Task in the Mail Markup Pro interface. For this reason it must be unique (i.e. no other Tasks can have the same name). When a new Task is added, a text cursor automatically appears in the associated Task Name edit box of the Tasks list (Fig. 7) ready for a Task name to be specified. 38 MAIL MARKUP PRO

TASK NAME Specifying To specify a Task name for a Task, perform the following actions: 1. Select the Task. 2. Click the associated Task Name edit box. 3. Specify a Task name. 4. Press the Return key or Tab key, or click anywhere in the Mail Markup Pro interface to apply the Task name. NOTE: NOTE: If a Task has just been added and the text cursor is already present in the Task Name edit box perform the above actions from 3. A Task name cannot match another Task name. When this occurs a warning icon (Fig. 8) appears to the right of the newly specified Task name. If an attempt is made to save the Task, a Matching Task Name entry appears in the Notification dialog (Fig. 18). MAIL MARKUP PRO 39

If the associated Input Folder edit box does not contain a Browse for Folder button ( ) click the edit box. 3. Click the Browse for Folder button in the Input Folder edit box. 4. In the Browse dialog (Fig. 15) locate the required folder then select it. Alternatively, create a new folder then select it. 5. Click the OK button. The path and name of the folder now appears in the Input Folder field. Alternatively, specify the path and name of a folder directly in the Input Folder edit box. MAIL MARKUP PRO 43

MAIL PIECE DETECTION Options The following mail piece detection options are available: Option None Piece has n sides Identify first page Identify last page Description Used when PDF documents only contain one mail piece and as such do not require detection. Instead, individual mail pieces are combined in a single PDF. Used when each mail piece contained in a PDF document has a consistent number of sides. Used when the first page of a mail piece can be used for detection. Used when the last page of a mail piece can be used for detection. Selecting To select a mail piece detection option, perform the following actions: 1. Select a Task. 2. Open the Mail Piece Detection tab (Fig. 22). 3. In the Mail Piece Detection panel click the radio button of the required option. MAIL MARKUP PRO 47

MAIL PIECE DETECTION Using a Sample File Opening To aid with the configuration of mail piece detection and to determine what is used to preview the detection of mail pieces, a sample file (PDF document) can be opened. To open a sample file, perform the following actions: 1. Select a Task. 2. Open the Mail Piece Detection tab (Fig. 22) 3. Click the Load Sample button. 4. In the Browse dialog (Fig. 15) locate then select the required PDF document. 5. Click the OK button. If the selected PDF document is particularly large (i.e. it contains a large number of pages and/or has a large file size), a loading message may appear in the Sample file area until the first page is loaded. When a PDF document is opened, its first page appears in the Mail Piece Detection tab and each of its pages can be navigated and magnified. NOTE: Only the first 100 pages of a PDF document are opened. Navigating The Mail Piece Detection tab (Fig. 22) contains buttons (Fig. 23) for navigating pages in a multi-page sample file. Fig. 23 Navigation buttons (first page, previous page, next page, last page) Click a button to move to the first page, previous page, next page or last page of the open sample file. Magnifying To help with the positioning of boundaries when defining first page and last page identification rules, the current page of the sample file can be magnified. MAIL PIECE DETECTION To move the slider control button and subsequently magnify the page, perform the following actions: 1. Position the mouse pointer over the slider control button. 2. Click then hold the mouse button. 3. Move the slider to the left to reduce the magnification or right to increase the magnification. MAIL PIECE DETECTION Detecting by Number of Sides If mail pieces in a PDF document have a consistent number of sides, an option to detect by number of sides is available. EXAMPLE: If mail pieces always contain one side, an option for detecting every one side would be configured. Detecting by First Page or Last Page MAIL PIECE DETECTION If the first page or last page of mail pieces in a PDF document can be used for detection, options to identify the first page or last page are available. Select the Identify First Page or Identify Last Page option. 2. In the Identify First/Last Page panel add one or more identification rules then specify a match condition. Rules for identifying the first page or last page of a mail piece in a PDF document can be selected, added, edited and deleted in the Identify First/Last Page panel. Selecting First page and last page identification rules are labelled with a number. To select a rule, perform the following actions: 1. Select the Identify First Page or Identify Last Page option. 2. In the Identify First/Last Page panel click the Move Next and Move Previous buttons until the required identification rule number appears. MAIL MARKUP PRO 51

MAIL PIECE DETECTION Adding To add an identification rule, perform the following actions: 1. Select the Identify First Page or Identify Last Page option. 2. In the Identify First/Last Page panel click the Add New Rule button (+). 3. Specify identification rule options. A new rule is assigned a sequential number, with the first rule added being 1. Editing To edit an identification rule, perform the following actions: 1. Select the identification rule. 2. In the Identify First/Last Page panel make the necessary changes to identification rule options. Deleting To delete an identification rule, perform the following actions: 1. Select the identification rule. 2. In the Identify First/Last Page panel click the Delete button (X). CAUTION: Identification rules are immediately deleted and no confirmation is presented. After deleting an identification rule, identification rule numbers and associated boundaries are renumbered. EXAMPLE: If identification rule 1 is deleted, identification rule 2 and its associated boundary become 1. Undoing Changes Identification Rule Options To undo adding an identification rule or modifying an identification rule option, click the Undo Rule Changes button. Each identification rule consists of three components: A boundary on a mail piece page A qualifier A text string The identification rule options should be considered as follows: 52 MAIL MARKUP PRO

MAIL PIECE DETECTION If a specified text string equals or does not equal the text within a boundary defined on a page, or the text within the boundary changes from that of the specified text string, the identification rule is satisfied. Drawing a Boundary To determine where Mail Markup Pro should look for a text string, a boundary must be drawn on the corresponding page of the sample file. To draw a boundary, perform the following actions: 1. Open a sample file. 2. Navigate to the required sample file page and if necessary magnify the area where the boundary will be drawn. 3. Select or add an identification rule. 4. In the Identify First/Last Page panel click the Draw button. 5. Position the mouse pointer (a cross) top left of the identifier text on the sample file page. 6. Click and hold the mouse button. 7. Move the mouse until a green border (boundary) is drawn. It is essential for the boundary to be slightly larger than the text that needs to be identified within (Fig. 28). 8. Release the mouse button. EXAMPLE: If the identification rule being configured is rule 1, then 1 appears beside the boundary. While a boundary is being drawn, its coordinates, width and height appear in the Trigger When Text At box in the following format: x, y, width, height Specifying a Qualifier The following identification rule qualifiers are available: MAIL MARKUP PRO 53

In the Identify First/Last Page panel click inside the edit box. 3. Specify the required text. NOTE: Text is case sensitive. Specifying a Match The first page or last page can be identified when all identification rules match or any identification rule matches. To specify a match, perform the following actions: 1. MAIL PIECE DETECTION Combining Mail Pieces Specifying a Release Time If a Task will be used for processing PDF documents containing single mail pieces, there is no need for detection options to be specified or performed. Instead, each mail piece can be combined by Mail Markup Pro into a single PDF document for easier management and sequential output. To combine individual mail pieces in a single PDF document select the None mail detection option. When a Task is configured to combine mail pieces, a release time must be specified before the Task can be saved. Adding a release time allows single mail pieces to accumulate in the input folder ready for combining. MORE: For details about specifying a release time, refer to Release Time. MAIL MARKUP PRO 55

MAIL PIECE DETECTION Previewing To ascertain whether mail pieces are detected correctly, a preview can be viewed in the Mail Piece Detection tab (Fig. 22). To preview how mail pieces have been detected, perform the following actions: 1. Select a mail piece detection option (not None). 2. Open a sample file. 3. In the Preview panel click the Preview button. Pages contained in the sample file now appear in the Preview panel. Each row indicates an individual mail piece with a maximum of 50 mail pieces being displayed. If necessary, use the vertical scroll bars to move up and down the mail pieces, and the horizontal scroll bars to move left and right in the pages. 56 MAIL MARKUP PRO

Alternatively, right-click the preview or detail of the digital insert then on the context menu click the Delete option. CAUTION: NOTE: A digital insert is immediately deleted and no confirmation is presented. RELEASE TIME Release Time Overview A release time can be added to any Task so the processing associated with it begins at the specified time each day. This is particularly useful and mandatory when large volumes of single mail piece PDF documents need to be combined then output together. By default, a Task does not have a release time specified. RELEASE TIME Deleting To delete a release time from a Task, perform the following actions: 1. Select the Task. 2. Click the associated Release Time edit box to highlight the release time. 3. OUTPUTS Outputs Overview When Mail Markup Pro has applied OMR marks to a PDF document, the mail piece(s) it contains must be output to a printer or to file. A Task must therefore have an output selected before it can be saved. Printer drivers available to the installation of Windows where Mail Markup Pro is installed appear as an output on the Outputs tab (Fig. 31). This is used for creating one or more PDF documents (containing OMR marks) that can be printed at a later date using another application. 74 MAIL MARKUP PRO

OUTPUTS Selecting To select an output for use by a Task, perform the following actions: 1. Select the Task. 2. Open the Outputs tab (Fig. 31). 3. Click an output. Following selection of an output, the size of its border is increased and output options become available. MAIL MARKUP PRO 75

OUTPUTS Adding Outputs cannot be added using the Mail Markup Pro interface. Instead a printer driver must be added to Windows. NOTE: MORE: After adding a printer driver to Windows, it will not appear on the Outputs tab (Fig. 31) until the Mail Markup Pro interface is closed then launched again. OUTPUTS Deleting The Mail Markup Pro interface does not contain a facility for deleting an output from the Outputs tab (Fig. 31). Instead, the associated printer driver must be deleted from Windows. NOTE: NOTE: If a printer driver is deleted from Windows, the associated output remains on the Outputs tab until the Mail Markup Pro interface is closed then launched again. If a Task uses an output associated with a printer driver that has since been deleted, a new output must be added to the Task before processing for that Task can begin. MAIL MARKUP PRO 77

OUTPUTS Output Options Selecting a Paper Tray The Outputs tab (Fig. 31) contains an Output Options panel where the following options for the selected output can be specified: Paper Tray (printers only) Output to File (Output to File only) Duplex (printers only) If a printer associated with an output on the Outputs tab (Fig. 31) contains one or more paper trays, one of them can be selected for use by a Task. This functionality allows multiple Tasks to be created, each of which use the same printer but a different paper tray. To select a paper tray, perform the following actions: 1. Select an output. 2. In the Output Options panel click the Paper Tray list box. 3. Click the required paper tray option. NOTE: NOTE: When an output is selected the selected paper tray is reset and another must be selected. The Paper Tray list box only becomes active when a printer output is selected. Specifying File Options If the Output to File output is selected on the Outputs tab (Fig. 31), the following file options become available in the Output Options panel: Folder Output File Name Folder When the Output to File output is selected, a folder in the Windows file system must be specified. This is where PDF documents are written after OMR marks are applied. To specify a folder, perform the following actions: 1. Select the Output to File output. 2. In the Output Options panel click the Browse for Folder button ( ) to the right of the Folder field. 3. In the Browse dialog (Fig. 15) locate the required folder then select it. Alternatively, create a new folder then select it. 4. Click the OK button. 78 MAIL MARKUP PRO

OUTPUTS The path and name of the folder now appears in the Folder field. Instead of performing the actions above, the path and name of a folder can be typed directly into the Folder field. Output File Name When the Output to File output is selected, the PDF document that is created after OMR marks are applied must have a file name. The file name can consist of any of the following optional Output File Name components: Component Task Name Time Source Name Unique ID Description The name of the Task used for processing. The date and time (yyyymmddhhmmss) the PDF document was created. The name of the original PDF document that was processed minus the.pdf extension. A unique number. Each component is separated by an underscore (_) and appears in the same order as above. The file name is also given a.pdf extension. To determine a file name, perform the following actions: 1. Select the Output to File output. 2. In the Output Options panel click the check box to the left of an Output File Name component until a tick appears. 3. Repeat step 2 for all required components. NOTE: EXAMPLE: At least one component must be selected before the associated Task can be saved. All four components are selected. A PDF document called Welcome Letter.pdf is processed using a Task called General Letters then output to file at 10:30:50 on 01/05/2012. The file name of the PDF document created would be: General Letters_20120501103050_Welcome Letter_634714806334.pdf Specifying Duplex By default, mail pieces are printed simplex, meaning each page is printed on just one side of a piece of paper. To print mail pieces duplex so odd pages appear on the front and even pages appear on the reverse of a piece of paper, perform the following actions: MAIL MARKUP PRO 79

PROCESSING MAIL PIECES Placing PDF Documents in Input Folders Manually If the command line is not being used, PDF documents that need to be processed by Mail Markup Pro must be placed in an input folder associated with a suitable Task. This can be performed manually or by an application. To manually place one or more PDF documents in an input folder, perform the following actions: 1. Use a file management application such as Windows Explorer to locate the PDF document(s). 2. Copy the PDF document(s) to the Windows Clipboard. 3. Navigate to the required input folder. 4. Paste the PDF document(s) in the input folder. Other methods such as dragging and dropping can also be used for placing PDF documents in an input folder MORE: For details about navigating the Windows file system, and copying and pasting documents, refer to your Windows documentation or Help. Using an Application Applications that can save PDF documents can do so directly into an input folder. PROCESSING MAIL PIECES Using the Command Line The Mail Markup Pro command line can be called from your own applications in the following way: MailMarkupCmd config.xml input.pdf [/o] The command line call contains the following components: Component MailMarkupCmd config.xml input.pdf Description The command line executable which is normally located in the Mail Markup Pro installation folder. The name of the XML file that contains elements, attributes and values that determine how Mail Markup Pro processes a PDF document. The drive, path and file name of the PDF document to be processed by Mail Markup Pro. /o Optional command that causes the original input PDF document to be overwritten by the output PDF document. If the command is omitted then OMR is added to the end of the output PDF document s file name (before the.pdf extension). Example: Welcome_Letters OMR.pdf EXAMPLE: MailMarkupCmd DS100.xml C:\MMP_Docs\Welcome_Letters.pdf /o The above example would cause Mail Markup Pro to use elements, attributes and values contained in DS100.xml for processing mail pieces in Welcome_Letters.pdf. Following processing, Welcome_Letters.pdf would be overwritten by the newly created PDF document. NOTE: EXAMPLE: MORE: MORE: If the path for the command line executable has not been specified in Windows, it will need to be included in the command line call. All Tasks in progress appear in the Services list (Fig. 32) on the Tasks tab (Fig. 20). When progress is complete for a Task (i.e. Mail Markup Pro has finished processing the PDF documents contained in its input folder), the associated item is removed from the Services list. POST PROCESSING FACILITIES Archive Each PDF document processed by Mail Markup Pro is archived in a file system folder for a specified number of days. The location of the file system folder and the storage period of PDF documents are configured on the System Status tab (Fig. 33). In addition, the PDF documents contained in the archive can also be conveniently viewed here. Location The default location of the archive folder is: C:\Mail Markup Pro\Archive In the archive folder a sub-folder is dynamically created for each Task. Each sub-folder is given a name that matches the Task name and PDF documents associated with the Task are stored there. EXAMPLE: For a Task called General Letters, a sub-folder called General Letters would be created. Changing To change the location of the archive folder, perform the following actions: 1. Open the System Status tab (Fig. 33). 2. In the System Settings panel click the Browse for Folder button ( ) located to the right of the Archive Folder edit box. 3. In the Browse dialog (Fig. 15) locate then select the folder to be used as the archive folder. Alternatively, create a new folder then select it. 4. Click the OK button. The path and name of the selected folder now appears in the Archive Folder edit box. Storage Period Following creation of a PDF document, the default length of time it is retained in the archive is 120 days. Following this it is permanently deleted. Changing To change the number of days a PDF document is retained, perform the following actions: 1. Open the System Status tab (Fig. 33). MAIL MARKUP PRO 89

POST PROCESSING FACILITIES 2. In the System Settings panel click inside the Archive Maximum Days edit box. 3. Delete the existing value. 4. Type a new value (minimum = 1, maximum = 999). Viewing Opening a PDF Document To view the PDF documents contained in the archive, open the System Status tab (Fig. 33). PDF documents appear in the View Archive panel and are arranged by Task name. Click the Icon sub-tab to display PDF documents as icons and a file name. Click the List sub-tab to display PDF documents as a list of file names and dates created. To open a PDF document contained in the archive, perform the following actions: 1. Open the System Status tab (Fig. 33). 2. In the View Archive panel, locate the required PDF document. 3. Double-click the icon or name of the PDF document to open it in your default PDF application. 90 MAIL MARKUP PRO

POST PROCESSING FACILITIES History Report Files and Log For each PDF document successfully or unsuccessfully processed by Mail Markup Pro, an entry is added to a history report file and an entry appears in the History Log (Fig. 34) on the System Status tab (Fig. 33). Type Immediate Scheduled Indicates whether the Task was released immediately or at a scheduled time. File File name File name of a PDF document. Output Name of printer Path, output folder and output file name Indicates where a PDF document was output. Pieces Number of pieces Indicates the number of mail pieces contained in a PDF document. POST PROCESSING FACILITIES Error Recovery Location PDF documents that fail to be output by Mail Markup Pro are placed in an error recovery folder so they can be output again when the associated problem is resolved. Reasons for output failure can include the following: The service has stopped. The output is to file and writing to the specified hard drive fails. Note: If the error recovery folder is located on the same hard drive or volume as the intended output location, the recovered PDF document may also fail to write. The output is a printer and it fails to print. The default location of the error recovery folder is: C:\Mail Markup Pro\Errors Changing To change the location of the error recovery folder, perform the following actions: 1. Open the System status tab (Fig. 33). 2. In the system Settings tab click the Browse for Folder button ( ) located to the right of the Error Recovery Folder edit box. 3. The file name of the OMR configuration file (excluding the.omr) is used as the name of the OMR configuration. EXAMPLE: NOTE: If an OMR configuration file called Neopost DS10.omr was imported, the name of the associated OMR configuration would be Neopost DS10. The content of OMR configuration files is XML. If an OMR configuration file with the same name already exists, a Confirm Action dialog (Fig. 17) appears. Click the up arrow to move the selected OMR mark up the list, or click the down arrow to move the selected OMR mark down the list. To remove an OMR mark from the Mark Order list, perform the following actions: 1. Open the Select Marks sub-tab (Fig. 37). 2. In the Mark Order list click the name of an OMR mark to select it. 3. The pitch indicates the distance between the top of an OMR mark and the top of the next, or the bottom of an OMR mark and the bottom of the next. Determines the minimum distance in millimetres (mm) from the top, bottom and side of a page where the clear (white) space* can appear Determines how much clear (white) space* in millimetres (mm) there is around OMR marks. An Any Size option is selected by default but other options are available or can be added. Determines whether OMR marks are positioned vertically or horizontally on a page. Determines the position from the left side of the page where OMR marks are positioned. Determines the position from the top side of the page where OMR marks are positioned. Determines whether OMR marks are positioned on the reverse (even) side of multi-page mail pieces. Selecting this option is necessary for folder inserters that read the reverse (even) side of a page. MANAGING OMR CONFIGURATIONS *NOTE: If the Any Size option in the Paper Size list box is selected, the From Left Side and From Top Side dimensions are a percentage. For all other options the dimensions are in millimetres (mm). Manually Positioning OMR Marks Managing Paper Size The From Left Side and From Top Side position settings allow you to specify the position of OMR marks by a percentage or by millimetres (mm). However, if preferred you can manually define the position by performing the following actions: 1. Specify OMR mark settings and dimension settings. 2. Open the Position sub-tab (Fig. 41). 3. Position the mouse pointer over the blue box on the white page. 4. Click then hold the mouse button. 5. Move the mouse until the blue box is positioned where you would like OMR marks to appear. 6. Release the mouse button. The From Left Side and From Right Side values now change to represent the position of the blue box. Paper sizes appear in the Paper Size list box on the Position sub-tab (Fig. 41) and can be added, edited and deleted as required. Paper size is specified in a Paper Size Settings dialog (Fig. 43) that appears after clicking the New or Edit button in the Position sub-tab. Fig. 43 Paper Size Settings dialog Adding To add a new paper size, perform the following actions: 1. Open the Position sub-tab (Fig. 41). 2. Click the New button. 3. In the Paper Size Settings dialog (Fig. 43) click inside the name edit box then specify a name for the paper size. 4. Click inside the Height edit box then specify a height in mm. 5. Click inside the Width edit box then specify a width in mm. 6. Click the Save button. A Save Changes dialog (Fig. 16) now appears asking you to confirm the save. 112 MAIL MARKUP PRO

MANAGING OMR CONFIGURATIONS After a paper size has been added, the name specified for the paper size appears as an option in the Paper Size list box. Editing To edit an existing paper size, perform the following actions: 1. Open the Position sub-tab (Fig. 41). 2. Click the Paper Size list box. 3. Click the required paper size option. 4. Click the Edit button. 5. In the Paper Size Settings dialog (Fig. 43) click inside the Name, Height and Width edit boxes then make the required change(s) to each one. 6. Click the Save button. A Save Changes dialog (Fig. 16) now appears asking you to confirm the save. NOTE: The Any Size paper size option cannot be edited. Deleting To delete an existing paper size, perform the following actions: 1. Open the Position sub-tab (Fig. 41). 2. Click the Paper Size list box. 3. Click the required paper size option. 4. Click the Delete button. A Confirm Action dialog (Fig. 17) now appears asking you to confirm the delete. CAUTION: NOTE: Deleting a paper size will remove it from OMR configurations that have it specified. This may cause these OMR configurations to work incorrectly. MANAGING OMR CONFIGURATIONS Feeder Settings OMR mark feeder settings appear on the Feeder sub-tab (Fig. 44) on the OMR Marks tab (Fig. 30). Fig. 45 Feeder button The following feeder settings are provided: Setting Feeder Marks on Page First Feeder is Reader First Feeder Last Description Determines whether FEEDER marks are positioned on Every page, the First page or the Last page of each mail piece. Indicates the first FEEDER mark is reserved for reading and causes the Feeder #1 check box on the OMR Marks tab to be disabled. Indicates the first FEEDER mark is positioned after the last FEEDER mark. 114 MAIL MARKUP PRO
