Introduction Who: All Apollo and Galileo system subscribers What: New ViewTrip style formats Effective: Immediately Why: Allow Apollo and Galileo system subscribers access to the new ViewTrip style of itinerary, which is applied to the HTML attachment for existing emails. Allow all Apollo agencies access to 1) email expense view of itinerary or 2) to inhibit agencies from emailing the itinerary to the customer. Enhancement Background Currently, emails can be generated through the either the Apollo or Galileo host by using EM, End/Mail. Depending on the user s software version, the email address is entered into the phone field or into email specific remarks (MT, MF, and MC). Whether the email address is in the phone field or in the email fields, the email generated is through the same functionality. The email sent is a text version of the itinerary with an attached HTML version of the ViewTrip itinerary page. In addition, there is a link to a live version of ViewTrip.com that allows customers to see their real-time itinerary. This functionality will continue to exist for all users of host email from the Apollo or the Galileo host systems. Enhancement Details The host email enhancement will introduce the new ViewTrip style globally (Galileo and Apollo system users). The new ViewTrip style is applied to the HTML attachment for existing emails. The enhancement will also introduce two new email modifiers for all users on the Apollo host system: REC and NL. Both modifiers are available in structured data, included XML select and Galileo Web Services. Note: The REC and NL modifiers are not available on the Galileo system. This enhancement applies the new ViewTrip style to the HTML attachment for email itineraries. The enhancement allows the secondary authorizer to set default email types and introduces five new email modifiers. Email Type Modifiers An agent can override the default email type by adding the corresponding modifier to any variation of the EM format: HTML only: Example: EM*HTM Text only: Example: EM*TXT Text and HTML: Example: EM*TXT*HTM PDF: Example: EM*PDF Expense Receipt Modifier (REC) Apollo Only The REC modifier will allow agents to email their customer the itinerary in an expense receipt layout. This view will include the financials (including fare and fee breakdown information), as well as the itinerary information in a text version. Attached with the email, is an HTML version of the itinerary page and is based on the expense receipt page in ViewTrip. Today, travelers are able to print the expense receipt layout, but current functionality is cumbersome, as it forces travelers to navigate their way through ViewTrip. The REC modifier allows the expense receipt layout to be initiated by the travel agent, which allows the agent to further service their customer. The REC modifier can be used with all ticketed or non-ticketed PNRs. If non-ticketed, the financials will not appear in the email text. Entry: EM*REC (any current EM entry variation can be used) No Link Modifier (NL) Apollo Only The NL modifier will afford agents the ability to inhibit the generation of the link to ViewTrip of an email to their customer. Some agents do not want to refer their customer to any website other than their own. In these cases, the agent will input the NL modifier and the email will be sent to the customer, without the link to ViewTrip. Entry: EM*NL (any current EM entry variation can be used) Setting Default Email Types (DT/MPD) The agency can specify a default email type. Which can be overridden as needed. To view or update the default setting a secondary authorizer can type: DT/MPD and then tab to set the default email preference. The settings in the table can be changed at any time and can be overridden for any specific email request.
