Outlook Web Access- Accessing District E-mail from the Internet School District 68 assigns every employee an active e-mail address and account. In most cases, the username will be the employee s first initial and last name @sd68.bc.ca, e.g. jdoe@sd68.bc.ca. To access the e-mail account an employee needs to ensure they have an active password, if not, they need to call Help Desk at 741-5290 (users will need to verify their SD68 employee number). Outlook web access will allow users most of the same functionality that we expect from e-mail software, including adding and creating a distribution list, spellchecker and attaching files. How to access the SD68 Webmail 1. Go to the School District 68 website at www.sd68.bc.ca and select the STAFF tab. 2. Select the appropriate STAFF type (i.e. teachers, principals, secretaries, district staff). 3. Use the Log on to your SD68 e-mail link. Page No: 1 of 7
4. Users will be prompted for their User name and Password to Log On. 5. Leave the default Client as Premium, unless you are on a slow connection. 6. Leave the default Security as Public or shared computer. If you need a longer inactivity time and you are the only person who uses the computer, click on the Private Computer option and agree to the Warning. 7. At the bottom of the Outlook Web Access screen, you can select Password Change or Reset. It is necessary to Enroll before being able to Reset/Change Password, or Unlock account. 8. Turn the Reading Pane ~ Off Click on the arrow beside the Show/Hide Reading Pane icon and select. This is a per folder setting and should be done for every email folder to prevent the spread of spam. Managing the SPAM Folder Our anti-spam filter puts email it determines as spam into the SPAM folder. These messages are automatically deleted after 30 days. Although the anti-spam filter runs at a near 100% accuracy in identifying spam, it occasionally identifies a valid email as spam and places it in the SPAM folder. There is no need to look into this folder unless you are sure that you have missed an email from a valid source. To find this email you can follow the steps outlined below. Select the SPAM folder. Click on the arrow beside the Show/Hide Reading Pane icon and select. NOTE: Be sure to turn the Show/Hide Reading Pane Off on every computer you use to access Outlook Web Mail. If the email is from someone you know and trust, double click on it to open / read it / or move it to another folder. If you don t know or trust the sender, click on it once and hold down the button and hit the button on your keyboard to permanently delete the email, or simply leave the message, it will be automatically deleted after 30 days. How to create a New email 1. Select to bring up a new message window. 2. Type in the recipients email address or Click to search and select a recipient from the SD68 addresses. 3. When creating a new e-mail, users will see buttons for additional functions across the top of the new window. The most commonly used buttons are; Spellchecker, Attach and Verify. Note: Spellchecker will be stopped by the popup blocker and if users click to allow, it will close the current e-mail and the user will lose any text they had entered. To prevent this from happening, see instructions below. How to add Exceptions to the Popup blocker 1. Open Internet explorer and browse to Tools then Internet Options. 2. On the Privacy tab go to the Settings button of the popup blocker section. 3. Type owa.sd68.bc.ca in the address to allow box and then click Add. Page No: 4 of 7
How to create a New email continued Spellcheck Spellcheck your document anytime. Attach Files Attach files from your computer to send with the email. Verify Check the email address you typed in against the SD68 address book. Note: It is recommended that email addresses are verified prior to sending an email. Note: under Options, you can select Always check spelling before sending, which will start spell-check when you click on Send. Page No: 5 of 7
Commonly Used Options 1. SORTING: To sort by column, click on the column name. Most commonly, users sort by Received to get the newest emails at the top of the list. 2. SIGNATURE: Select Options. Click on Edit Signature. Type in your Signature and click on Save and Close when finished. Page No: 6 of 7
3. OUT OF OFFICE: Select I m currently out of the office Type in your AutoReply Click on Save and Close Note: Don t forget to select I m currently in the office, when you return. 4. PAGE NAVIGATION: Select Select for NEXT or LAST PAGE. for FIRST of PREVIOUS PAGE. 5. QUICK SELECT: Your Messages can be displayed in a variety of different ways, by using the quick select drop down arrow to see the options. 6.
