What is a PPF? A PPF is a Transit NXT prject package. It cntains the language pairs yu need t be able t translate in Transit NXT. It can als include dictinaries and reference material (previus translatins carried ut in Transit NXT ) as well as a surce PDF fr cntext, if attached by the prject manager. What are language pairs? Language pairs are the surce and target language files which are used fr translatin. Each surce file must have a crrespnding target file, hence a language pair. There can then be multiple language pairs in a prject, if there are multiple riginal files. Fr example: A French > English prject cntaining a PwerPint presentatin and tw Wrd dcuments wuld have three language pairs: Presentatin.FRA Dcument.FRA Dcument2.FRA Presentatin.ENG Dcument.ENG Dcument2.ENG Every language file has its wn file extensin, s it can be easily identified. In this example, we can see French = FRA and English (UK) = ENG. Hw d I pen the PPF? Start by saving the PPF. It desn t need t be saved in any particular lcatin, s can be rganised in any structure mst helpful t yu. Then pen Transit NXT. If this is the first time yu have pened Transit NXT, it will display the User rle windw. Fr the purpses f this exercise, simply select Super User. Fr mre infrmatin, see the guide Persnalising yur user prfile in Transit NXT. Yu will encunter the Prject selectin windw, where yu need t select the ptin Unpack an external prject. This will autmatically pen the Unpack Transit prject data windw, where yu can brwse fr the PPF yu just saved. If yu had cancelled r clsed the Prject selectin windw withut having selected the Unpack an external prject ptin, yu can simply click n Unpack in the Prject ribbn. This will als pen the Unpack Transit prject data windw. (This wuld be the usual way f pening a Transit NXT prject if the sftware were already pen.) Brwse fr the PPF, and pen it: The Prject name windw nw pens. Transit NXT will autmatically give the prject the same name assigned t it by the prject manager when the prject was first created. In this example, we will leave it as it is. This windw als ffers yu the ptin f changing the Scpe. There are 3 scpes: Glbal the prject is visible t all users (i.e. in a netwrk) User the prject is visible nly t the user wh unpacked it Custmer the prject is visible t all, but rganised by custmer STAR UK Limited, Jul 2012 Page 4
Many Transit NXT users chse the Custmer scpe, as this allws prjects t be fund mre easily later n. But in this example, we will chse Glbal. Nw click n Save. Next, the Flders windw will appear. Here we define where Transit NXT shuld stre the language pairs, knwn as the wrking flder: Transit defaults t the \<Prject> ptin (usually with the path C:\Prgram Files), but this can be user defined. In this case, we want t save the language pairs t the E drive, int a subflder fr the prject within a larger translatin prjects flder. If there is a dictinary included in the PPF, yu will then see the Target database fr unpacked dictinary windw: Yu nw have three ptins: Save the dictinary t the default database (TermStar NXT Received) by simply clicking OK; Create a brand new database by clicking n Create new database and fllwing the wizard, r; Ignre the dictinary cmpletely by clicking n Skip (thugh this is nt recmmended). In this example, we will simply click OK and allw the dictinary t be saved int the default database. Transit NXT will nw unpack everything int the apprpriate lcatins. Once finished, Transit NXT will display the Unpack prject windw. Click OK, and the prject is ready fr yu t start wrking n. Transit NXT will autmatically pen the dictinary fr yu. Hw d I translate in Transit NXT? Start by pening the language pairs. Select Open language pair n the Prject ribbn. This will then display the Open language pair(s) windw. Yu can nw select the language pair(s) if there is nly ne, it will already be highlighted, and yu can simply click n OK. If there are several, select them all (click and drag yur muse) and then select OK. By selecting all files at nce, they will pen in a single windw (recmmended), rather than in multiple tabs. Yu will nw see the language pairs: By default, the surce windw (always indicated by the clur green) will be placed at the tp, while the target windw (always indicated by the clur red) will be psitined underneath. In the Super User rle, yu will als see a Terminlgy windw (yellw) and a Markup windw (blue). They are nt available t view in all user rles, but rles can all be user defined, as explained in the guide Persnalising yur user prfile in Transit NXT. Yu can nw begin translating. The translatin is always entered int the target (red) windw. Transit NXT displays the text as segments these are nrmally full sentences. S a paragraph f 5 sentences wuld be split int 5 separate segments fr ease f translatin. Simply verwrite the surce sentence, r alternatively type in yur translatin and then delete the surce text afterwards. Yu must nw cnfirm the translatin fr the segment using the key cmbinatin Alt+Insert. This must be dne fr every segment in the prject. Failing t d s will mean that Transit will nt cnsider it the final translatin, and therefre will nt shw it t yu as a fuzzy match later n. T save yur wrk at any time, simply use the key cmbinatin CTRL+S. STAR UK Limited, Jul 2012 Page 6
What is a fuzzy match? A fuzzy match is a segment which is similar t a previus translatin whether smething yu just translated, r a file translated a lng time ag and supplied as reference material (language pairs) within the PPF. Fr example, in a previus prject the fllwing German sentence appeared: Die Arbeitsfläche mit Backpapier auslegen. It was translated as: Cver the wrk surface with greaseprf paper. In this prject, the fllwing German sentence appears: Die Bleche mit Backpapier auslegen. Transit NXT calculates the level f similarity between the tw, and in this case tells us that there is an 80% similarity: just the nun Arbeitsfläche has been changed t Bleche. Hw d I use a fuzzy match? If a fuzzy match is displayed in the Surce Fuzzy windw, yu simply need t amend the translatin suggestin as required s that it matches the new surce text: Simply change the text in the Ref line f the Surce Fuzzy windw. When yu are happy with the changes made, yu can transfer the updated fuzzy match int yur target language windw using the key cmbinatin Alt+Enter. Yu nw need t cnfirm the segment by using the key cmbinatin Alt+Insert. Alt+Insert autmatically prmpts Transit NXT t check the next segment fr fuzzy matches. Only cnfirmed segments are displayed as fuzzy matches, s it is imperative that yu cnfirm every segment when yu are happy with the translatin. Yu can als manually prmpt the fuzzy index: with the cursr in the apprpriate segment in the target windw, use Alt+Enter. If there are any fuzzy matches, they will be displayed in the Surce Fuzzy windw. STAR UK Limited, Jul 2012 Page 7
What are markups? Markups are Transit s way f handling frmatting infrmatin. Fr example, if yur dcument cntains icns r bld frmatting, these will be prtected as markups within the bdy f the dcument s that the prject manager desn t have any labrius frmatting wrk when the translatin is finished. There are tw main types f markups: pairs and pints. Pairs These are prbably the mst cmmn type f markup, and they mainly represent a frmatting style, such as bld r underline, which differs frm the style f the rest f the segment. Fr example: In this case, the [1] markup represents bld fnt style. (Having the wrd als appear in bld is an additinal Transit NXT ptin see the Transit NXT User Guide fr further details. Were this markup t be missing, the style f the target dcument wuld be incrrect. Pints Pint markups are standalne, and may represent a graphic, a page break r a bkmark, etc. Fr example: In this case, the <2> markup represents a page break. Were this t be missing, the layut f the target dcument wuld be incrrect. It is therefre very imprtant that they are included in the translatin. Hw d I handle markups? There are several ways f dealing with markups. The tw simplest are: Adding markups as yu type, r; Wrking arund the existing markups. Adding markups as yu type Sme translatrs find it easier t type ut the whle translatin befre deleting the surce, meaning that markups need t be added at the same time. Every markup in a segment has an ID number. Fr example: STAR UK Limited, Jul 2012 Page 8
In this case, the [1] markup represents bld frmatting, t be applied t the German wrds überall in der Welt. The markup has t be put in the crrect place t ensure that the right wrds are als frmatted bld in the final translatin. Type yur translatin up t the pint at which the markup shuld begin. In this example, we wuld type They grw. Nw pen the markup by using the shrtcut CTRL+<Markup ID>, entering the ID number f the markup in this case, it wuld be CTRL+1. Simply carry n typing in this case all ver the wrld. The markup will autmatically appear arund yur text. Nw exit the markup by pressing the right keybard cursr key. Yu can nw cmplete the rest f the translatin fr that segment, and cnfirm yur translatin using Alt+Insert. Wrking arund the existing markups Type yur translatin up t the pint at which the markup shuld begin. In this example, we wuld type They grw. Nw enter the markup by using the right keybard cursr key, r by clicking in the markup with yur muse. Type the translatin within the markup. Nw exit the markup by pressing the right keybard cursr key. Yu can nw cmplete the rest f the translatin fr that segment, and cnfirm yur translatin using Alt+Insert. STAR UK Limited, Jul 2012 Page 9
Pst translatin quality assurance checks It is imprtant that yur translatin is checked befre yu return it t the prject manager: Transit s spellcheck and Frmat Check functins help t make sure that the translatin is crrect. Spellcheck Transit NXT uses pen surce dictinaries which yu can use t spellcheck yur translatin. Simply click n the chequered green flag in the Review ribbn, r alternatively press F7 n yur keybard. The spellcheck wrks in the same way as standard wrd prcessing sftware. Frmat Check This step is vital in achieving a final quality prject: firstly t eradicate simple typing errrs (such as duble spaces r missing full stps), and secndly t ensure that the layut f the translated dcument matches that f the surce dcument. The Frmat Check functin can be fund under the Review ribbn: The Frmat Check functin can be started by clicking n the chequered blue flag buttn. Varius ptins can be set by clicking n the Optins buttn. Hw d I return my translatin? Once the translatin is cmplete, it needs t be repacked t be returned t the prject manager. T d this, simply click n the Pack translatin buttn in the Prject ribbn. This will pen the Pack translatin windw. If there is a dictinary attached t the prject, yu have the ptin f returning it with yur translatin. Hwever, if the dictinary has nt been amended in any way, this can be deselected. Under Transit ptins, there is als the ptin t return nly selected files frm a prject. This is useful if the custmer has requested partial deliveries. Once all the apprpriate ptins have been selected/deselected, click n Pack file. Transit will pen the Pack translatin windw. Here, yu can chse where t stre yur TPF file. It defaults t the wrking flder (where yu tld Transit t save the prject language pairs), but this can be changed. If yu are happy with Transit s default lcatin, r nce yu have brwsed t the flder yu want, simply click n Save. Yur translatin in TPF frmat is nw ready t be returned t the prject manager.
