CCAR Technology Support Center is available Monday-Friday 8:30am-5:00 pm (925)295-1270 Step 1. Adjusting CMA Preferences 1. Click on Preferences located on the Paragon Toolbar, then click on CMA. In the Mange Reports and Adjustments section you can modify Reports, Page Layout, and Adjustments. 1. Clicking on the to the left of Cover Letter or Agent Resume will display 3 available documents for you to personalize. Personalize with outgoing text, for a general report that is not client specific.* 2. You can change the default printing order by checking the box to the left of any report page and then clicking on Move Up or Move Down. 3. When you have personalized reports as needed in Report Setup click on Save. *In the Reports section you can adjust the text of reports that are set to Agent Report Edit Level.* Adjusting a cover letter or agent resume. 1. After following the above first step you can select a cover letter or agent resume by clicking on the name. (i.e. Cover Letter #1) 2. Adjust the default cover letter if needed. 3. After you have made your adjustments, you can set it as the default by checking the box to the right of Default. 4. Click on Save And Close to complete the process. Page 1
Adjusting Page Layout for CMA 1. Select Page Layout on the left side of your window. 2. Select a theme from the pull-down menu. *Themes control the page border and page layout of the CMA* 3. You can include your agent image and/or company logo to the CMA by checking the box next to either image. *Make sure you check Use Header/Footer.* 4. Determine where you want your text and image. (i.e. left, center, or right of the page) 5. Click on Save when done. Configuring Adjustments 1. Click on Add to input a new adjustment. 2. Add a description and a default value for the adjustment. 3. Click on Save And Close to add it to your list of saved adjustments. *By clicking on Modify you can change an adjustment.* *By clicking on Delete you can remove an adjustment.* Page 2
Step 2. Adding Contacts / Prospects to Paragon 1. Click On Contacts located on the Paragon Toolbar and then on Add Contact / Prospect. In the Add Contact Window 1. Input the contacts first and last name. 2. In the E-Mail/Internet options select between Home and Work email addresses. 3. Enter the E-Mail address and check the Primary box to the right. *Enter more contact information if you like but that is not required.* 4. Click on Save This Contact 5. Click Close to close the window. Step 3. Adding a Subject Property 1. Click on CMA located on the Paragon Toolbar then select Residential (or desired property class) under Subject Property. Page 3
Step 3. Adding a Subject Property Continued. 2. When the listing input screen appears, click on Tax Autofill. 3. Choose the appropriate county Tax DB by using the Select a Tax DB drop down menu. 6. Select the property from the list by checking the box to the left of the listing and click on Autofill. *This action will auto populate your listing input page with criteria.* 4. Enter the Street Number into the Min & Max fields, and Street Name. *Do not include any road designation (i.e. Rd, road, St, CT, etc.)* 5. Click on Count to confirm results and then Search to view the property list. 7. You must input an Area and a Building Type to complete the listing. Add any additional information regarding the subject property. *Remember: you are creating a Comparative Market Analysis (CMA) based around the subject property.* 8. When you have input the basic information, click on Save if you have no property photo to upload. Then move on to Step 4. *Click on Save and Maintain Pics if you have a property photo saved on your computer and continue with the steps under adding a subject property.* Page 4
9. Once you have clicked on Save/Maintain Pics, the Picture Administration window will appear. Then select Browse in the Primary picture section. *The Primary photo is usually the front of the house.* Selecting Browse will open the Choose File window. 10. Locate the property picture on your computer and double-click on it. If double clicking the images does not work, select the image and click on Open.* 11. After a short delay the picture should be displayed in the Primary picture preview window. Click on Save then Close. Step 4. Searching for Comparable Properties 1. From the Paragon Toolbar select CMA then Residential under CMA Search. 2. If you are not looking for a Residential Property then select the type of property you are searching for. The Criteria window will open. 3. Enter your criteria in the supplied fields. To see a list of options, or better understand the format needed, you can always click on the Open button next to a field. For Example, clicking on open to the side of Status displays a selectable status list. Page 5
4. Once you have entered your criteria click on Search. 5. In the CMA Spreadsheet window select which your comparables by placing a check in the box to the left of each listing. Then click on Show Checked. 6. Then select Add to CMA. 7. In the dialog box that appears make sure the correct number of comparables is being included and then click on Select Step 5. Creating the CMA When the CMA Presentation window opens, select your Subject Property and Client from the lists. 1. To choose each, click on the Select From List option to the right of each. 2. Name your CMA in the lower right hand corner and click on SAVE. 3. Click on the Comparables tab to view your comparables. If any are missing, you can click on Add Listings to search for more properties. Page 6
4. Select the Adjustments tab to open the comparables adjustment window. Here you can record dollar amounts for the differences between the subject property and the comparables. *To customize the list of comparable characteristics (i.e. Bedroom Baths, etc), click on Customize.* 5. Select the Page Layout tab to customize your CMA presentation style. 6. After deciding your style, click the Presentation Setup tab to select CMA reports. Customize each page as needed. Include pages in your CMA by checking the box to the left of the corresponding page. Afer including all the pages you want, you can adjust the print order by selcting a page and then click on Move Up or Move Down. *This information should match the selections you made in the CMA Preferences section.* *Any adjustments you make here will only affect this CMA presentation. Future CMA s will be based on the CMA Preferences.* *Preview the cover sheet by selecting the Presentation theme. This will give you a basic idea of the page layout for the CMAs.* Page 7
7. After you have included, customized and reorganized you pages, click on the SAVE button. After the CMA is saved, click on Generate Presentation to prepare your CMA for printing. This will open the View Presentation tab. 8. In the View Presentation section, your CMA will be dispayed for review. If anything is not correct click on the appropriate previous section and adjust the information. 9. Click on Print Preview to make sure the CMA will print properly. 10. If your CMA is formatted properly, click the Print button in the print preview window. 11. After the document prints, you will return to the Presentation window. Click on SAVE and after the CMA saves, click on CLOSE. Step 6. Accessing a Saved CMA 1. Click on CMA located on the Paragon Toolbar. Then Saved Presentation. 2. Click on the name of the CMA you would like to access. *To delete a saved CMA, put a check mark in the box to the left of the CMA and click on Delete.* Page 8
