1 Tasks and goals Among activities within Work package 7 - Dissemination establishing of a public FluMaBack portal is proposed as means of communication and dissemination of project documentation among partners. Task 7.2 specifically states (page 35/137 in DoW): Within this task the efficient website communication tools will be developed. The intranet portal will be a main dissemination and networking tool that will be established in three months after the start of the project. It will provide an efficient communication among project partners and will be the main tool for exchanging working materials and information among project partners. The second portal will be the official FluMaBack portal, where all interested stakeholders will find relevant and up-to-date information about project progress, current results and regular project events. It will be accessible in five months after the project s start. Public FluMaBack portal will be regularly updated at least after each project meeting. Detailed description of requested deliverable can be found in the table list of deliverables and the table description of deliverables on the page 36/137 in DoW (Description of work). The goal was therefore a fully functional public FluMaBack portal and presentation of FluMaBack project, description of work and partners. 2 Description of work and deliverables The public FluMaBack portal was set up in close relation to the intranet portal. Both portals are closely linked. The public FluMaBack portal was set up by third party that was outsourced from WP7 budget. Technical steps required to set up the portal were: registration of flumaback.eu web domain set up and customization of CMS (Content Management System) server Customization of web portal elements Startup of CMS system for web page Joomla Personalization of CMS system Administration of CMS server (continuousness; updates; security; backup) The personalization of CMS includes: start page (home page www.flumaback.eu) with basic information of FluMaBack project, description of work, aim of the project and main goals; project page where information regarding project organization and detailed description of work packages and their objectives are available; FluMaBack D 7.2 4 Public
consortium page provides information about partners collaborating in the project through a clickable map of Europe with approximate locations of partners' headquarters which leads to detailed description of partners and their role in the project; timeline graphically presents the project's layout over a period of 36 months with seven work packages that are further divided into tasks with predefined milestones and deliverables, current month is highlighted to point out the work that is currently in progress in various work packages that run simultaneously due to the close relationship among them; contacts lists all contacts related to the project - from project coordinator, through WP leaders to partners contacts; references is intended to lists various references linked to FluMaBack activities which provides public with basic information regarding dissemination activities and promotion of FluMaBack project; news chronologically shows news regarding events, work and other activities and results that are relevant and interesting for public. In addition to detailed description of partners and its members on the consortium page, brief introduction to a random member and his/her affiliate are available in a separated module on the left side of the main page. The public portal also provides access to DMS (Data Management System) through a login link in the right top corner of the portal. The site is on-line and fully functional since the 1 st of December 2012, while the public presentation was done on the 18 th of December within the project meeting and project event in Ljubljana. After the meeting a few corrections were made according to suggestions proposed during the meeting. 3 Technical information about Content Management System - CMS 3.1 Admin Credentials The portal is set up in Joomla code 2.5.8: - URL: http://www.flumaback.eu/administrator - admin username: xxxxx - admin password: xxxxx 3.2 Main Pages All main pages such as home, project, etc. are stored under the Main pages category. 3.3 News All news articles should be entered under the category News articles! 3.4 Meet Partners Items Each person listed in the left-hand side box has an article within the Meet partners category. The partner/organization part is unfortunately repeated within each person s text since the side box random listing does not support embedded and reusable templates. 3.5 Static Resources Static resources such as zip files, documents, pictures, PDFs should be stored and linked to in the following way: - go to the Media Manager within the Joomla admin site - upload the file into the resources media subfolder; for the sake of this example let s assume the file is called documents_meeting.zip. - when editing an article, select the text that you want to become a hyperlink, then click the little chain icon ( ) called Insert/Edit Link and type in the following relative URL to the newly uploaded resource: images/resources/documents_meeting.zip This relative URL is always the same for all uploaded resources, just the name of the document changes. 3.6 Google Apps Email Management The Google apps offer the possibility of creating FluMaBack specific email management system using: - emails: name.surname@flumaback.eu; - calendar app for sharing upcoming events; - Google drive for some documents sharing; Admin Credentials - URL: https://www.google.com/a/flumaback.eu/ - username: admin@flumaback.eu - pass: xxxxx 3.7 Google Analytics of Website Traffic Google analytics of website traffic is set up in Google. 4 Conclusion The second part of the task 7.2 as defined in the project's Description of Work was successfully realized: Public FluMaBack portal is set up to date (beginning of December 2012); It is customized according to FluMaBack needs; All information regarding project, partners, work, timetable, etc. is uploaded; Portal is linked to DMS system; Google Apps Email Management is set up to manage emails with flumaback.eu domain (up to 30 emails), calendars and Google drive can be used in addition to alfresco DMS system if needed. Portal was presented to public in the frame of progress meeting in Ljubljana in the mid of December; It can be concluded that FluMaBack public portal is fully functional and contains all information regarding project. The administrator of CMS system is WP7 leader University of Ljubljana, Faculty of mechanical engineering and is available on admin@flumaback.eu, mitja.mori@fs.uni-lj.si and bostjan.drobnic@fs.uni-lj.si. To achieve better rating in Google search engine it is recommended that references (links) to FluMaBack portal (www.flumaback.eu) are added to partners' web sites and to assure frequent updates of the site's content with new information regarding the project. Therefore all information regarding activities of partners, WP leaders, etc., within FluMaBack project should be mediated to WP7 leader for upload to the portal. FluMaBack D 7.2 7 Public
