1. Introduction SafetyServe is a Web Based Learning Management System, (LMS) which allows training administrators to manage web based training, and track and report student progress and account information. Most administrators become familiar with the SafetyServe LMS in a very short time, without any dedicated technical training. The system is extremely intuitive; most of the common functions administrators would use on a regular basis can be accessed by following the on screen instructions and available Hints incorporated into the system.
2. Administrative System Overview Access Code The Access Code is a unique alphanumeric key that is used by student(s) to access the system s registration module. The administrator can group users by common functions or locations by creating Child Access Codes (e.g. accounting department, Oklahoma division, etc.) The administrator also has the ability to check how many IDs/access codes are available and the expiration date for each access code. Reports Student information is provided through the Assessment Report, Usage Report and User Reports. The administrator may run the standard reports or may customize any of these reports, based on their requirements. Student Accounts Administrator can manage student accounts, in real time. The administrator may enter all or part of the Login Name, First Name, Last Name, Employee ID or Email address and click the search button to find entries that match the criteria. Once the desired user account is located, the administrator may change the student s information and click Submit to update the profile. The administrator may also check student progress and print out a certificate, if available. Admin Account The administrator can update their log in information, password and other personal information. The administrator may also create additional administrative accounts.
3. Access Code Access Code The administrator may check the status of all access codes by clicking on Access Code and then click here for Inventory Report. The parent Access Code may be used to create child codes as a tree structure. By using the Parent Access code to define the branch of the new Child Access Codes, the administrator will also be able to assign/move licenses between the Parent and Child codes. Enter up to 8 alphanumeric letters to create a new Child Access Code or edit an existing Access Code. Email -The email field identifies the operator who has created, edited or deleted an access code. Number of Licenses - This figure changes the number of licenses associated with the Access Code(s) being modified. This value will be limited by the total number of available licenses from the Parent code. Operation Create/Update/Delete This specifies modification that the administrator would like to perform.
Access Code Inventory Information After you have clicked on Inventory Control, you will be redirected to this page - your list of access codes. You may have as few as one to several dozen depending on how you want to set up your parent code for distribution. This page will list the access code, the number of licenses assigned to that code, as well as the number that have been used and the expiration date. In the top illustration, these are all individual access codes for departments/locations. They do not have a parent. The lower illustration shows a parent code of SALESDDC, with seven child codes. Child Access Code Creation To create child codes to represent different department/location. To create a Child code for the site, please follow these steps: 1. Type in your existing Parent Access code or click the browse button and select your Parent Access Code 2. Type in the new child access code you would like to create. It may be alphanumeric, but may not be more than ten characters. 3. Type in the number of licenses for the new child code. 4. Click Create 5. Submit all changes/updates. Please note, you can only create child codes based on parent code inventory. If you have 100 licenses available in your parent code, you will be able to assign up to 100 licenses to one or more child codes.
Child Code Administrator You may want to set up an administrator who will be responsible for one particular access code. To create an administrator for the site, please follow these steps: 1. Click on Admin Account 2. Fill out the template with the new administrator contact info 3. Select the appropriate access code for that administrator from the dropdown menu Please note: This option is only available to the primary site administrator. Child Code Administrators cannot set up other administrator accounts. 4. Click Create
4. Report Options Assessment Report Reports the exam results and dates. The report includes test results and selective personal information for students who taken the pretest or post-test. Usage Report This report displays a comprehensive summary of information for all users who have been assigned, started and completed the courses. You may sort the results by clicking on one of the field header names or export the report to an Excel file. User Report This report includes all registered users personal information
Report Options: Assessment Report Assessment Report Reports the exam results and dates. The report that includes test results and selective personal information for students who have taken the pre-test or posttest. Only the highest score is presented in the report. You can sort the results by clicking the field header name. You may also export the report to an Excel file. All administrative reports are updated four times daily (every six hours).
Report Options: Usage Report Usage Report This report displays a comprehensive summary of information for all users who have been assigned, started and completed the courses. You may sort the results by clicking on one of the field header names or export the report to an Excel file. Clicking on a number will create a table similar to the example below.
Report Options: User Report User Report This report includes all registered users personal information.
5. Report Customization All reports include personal information as part of the report. This feature provides the primary site administrator with the option to selectively include only the personal information that is needed. Label Name The name of the label, or field name, used on the student registration page. Active Select or deselect the fields that should be included in the report. Sequence Determine the order in which you would like the fields to appear. **You must click on submit to make changes to the active fields.
Report Customization (Filter option) Filter* Provides the administrator with the option of limiting the report results to those records that meet the filter criteria. You may filter by Access code or by using one of the other fields included on your report, e.g., zip code, city, etc. Filter Element: The field the administrator may choose to search for records. Filter Criteria: The value of the Filter Element selected
6. Student Accounts This is used to manage student accounts. The administrator may enter all or part of the Login, First Name, Last Name, Employee ID or Email field and search to find entries that match the criteria. A list of possible matches will appear in a separate window. Click on the appropriate log in id to select the student. Once the desired account is located, the admin may change the student information, then click on Submit to update the profile. To view a student progress and/or print a certificate
Information Available From Student Account From the Student accounts page, the administrator is able to view: Which course is completed Access code assigned to a student Student progress within a course And print the Completion Certificate
