2. Getting Started Once you are in the system, click on the Help button at the upper right corner of the main screen. You can either search videos or review existing articles to learn more about the software. The articles titled How to Access Your Evaluation and How to Fill Out Your Evaluation Forms will help guide you through the process of how to complete your self-evaluation and educator goals. 2a. Save Goals and Self-Assessment Forms as PDFs As all educators have new plans every year or two, it can be very helpful to save your self-assessment and goals forms as a pdfs on your computer or P drive so that you can access them in the future. IO Education archives all completed plans so that they can be retrieved but it is often much easier for educators to save pdfs and view them as needed. 3. Accessing Evaluation Plans IO Education will open to your Home Page showing the options below. Click on My Evaluation to access your evaluation plan and complete tasks. Evidence will take you directly to your evidence board to maintain evidence electronically. My Schedule will show you upcoming items such as Overdue or due in the Next 7 Days. 3
4. Plan Status and Form View Options Hover over My Evaluation with your mouse and you will see the status of your plan for all categories: Open up the evaluation plan by selecting it (click once), the forms will appear as tiles: 4
A new option this year is to view items by a List rather than by tiles. Up in the top left side of your plan above the status summary is an option List. Change it from Hide to Show and your items will appear as a list. 5
5. Opening Forms and Entering Content Open the form by clicking on the form symbol Fill out the various components of the form by placing your cursor within the box. When you click within a text box, such as the Student SMART Goal, you will see a Tools menu appear: The tools allow you to format the text, align text, use numbered or bulleted lists, add internet links, etc. As you type in text, remember to save periodically. At the top of the form, click on the Save button: Once you have filled out the form completely, have no other content to add and saved it, you need to digitally sign it by typing your name in the Form Owner Signature box then click the Digitally Sign box. This will add a date & time stamp to the form: Choose the Save & Close button so that, if it hasn t already, it will save your signature. Once you have signed the form, the form will be marked Completed, a check mark will appear on the form. o A form must be marked Complete for the people associated with the plan (supervisor, evaluator, team members if any) to be able to see it. 6
If you would like to print a copy, choose the Print option at the top of the form. If you would like to export the form as a pdf, choose the Export to PDF option at the top of the form. 6. Adding Comments and Attachments On any form, click on the little gear wheel on the right side (list view) or at the bottom right of the form (tile view) and a few options appear: Click on View/Add Comments and a box will appear Type in your comments and click the Add button, then click the OK button. 7
To add an attachment, click on View/Add Attachments and a different box will appear: You can either drag and drop files from your Desktop or browse for the particular file. When you drag a file, a description box will appear where you can enter a description of the attachment and a few tiny symbols below it: The file has not been uploaded yet Upload the file Remove the file 8
Once you enter a description, click on the Upload button to Attach (Upload) the item: Once the file (s) has been uploaded, click the Ok button. A status bar will appear showing the upload progress and then you ll see an image of a floppy disk appear on that form to indicate that it has an attachment(s): 7. Marking an Item as Completed As previously indicated, all forms need to be marked Complete for the other person to open it and see the contents. Signing a form will automatically mark it as completed. Another option is to choose the Mark Complete option from the gear wheel selection: 9
This will add to the total progress on the plan, measured by the progress indicators on the left side of your form tiles: 10
8. Evidence Board The Evidence Board in Improving Education gives educators a place to store and display different elements that contribute to their teaching practice, such as photos, worksheets, videos, projects, and other examples of classroom initiatives. Note: Evidence file size is limited to 10mb but can be any file type (e.g..xls,.doc,.mov,.pdf,.pptx, etc.) Accessing Your Evidence Board 1. From the homepage screen, click on the Evidence box: 2. The Evidence Board will open in a new tab within your browser so that you can switch back and forth between your plan and evidence board. 3. The other option is to access your evidence board from within your plan. If you are in your plan, choose the View Evidence Board at the top left: Adding Evidence Using the Evidence Board 1. Once you have the Evidence Board open, it should look like this: 11
2. To add evidence, click the + Add Evidence link 3. Name the piece of evidence by giving it a title, add a description to provide more detail, the plan will show your plan in the Add a Step section, click the drop down arrow and choose Educator Collection of Evidence as this will keep all evidence associated to the Educator Evidence form. An example: 4. Scroll down to the bottom section of the screen where you add files: 12
5. Either drag and drop the file from your computer or choose Pick Attachment. 6. Click the Upload button to add the evidence and when the upload is complete (you ll see 100% beneath the evidence you added), click the Save button. 7. The evidence will be added with the information you typed in and will be date-stamped at the bottom. 8. One step that can be very helpful is to associate standards to your evidence. This will allow you to keep track of evidence you have uploaded for a particular goal. 9. On the evidence you just uploaded, click View/Modify Standards. 13
10. Select which standards the evidence associates to by checking the boxes; multiple boxes can be selected. 11. Click the Save button. 12. Repeat the steps above to add additional evidence. Adding Evidence Through the Plan Evidence can be added directly through the plan and will appear on the evidence board. 1. Go to your educator plan via the Home Page and select My Evaluation. 2. Select a step on the plan to attach the evidence to such as Educator Collection of Evidence Form. 3. Click on the gear wheel at the bottom right of the form and choose View/Add Attachments. 4. The Drag/Drop window will appear: 14
5. Add the evidence via drag/drop or browsing for the file. Repeat if needed. 6. Hit Ok. The evidence will appear as an attachment on that step as well as on the Evidence Board. Editing or Deleting Evidence 1. Evidence can be edited or deleted through the Evidence Board. 2. From within your plan, go to View Evidence Board. 3. At the bottom of a particular evidence item, you ll see the following: 4. The pencil is the edit option and the trash can is the delete option. 5. Should you choose to delete a piece of evidence, click on the trash can. 6. You will get a confirmation window Are you sure you want to delete this evidence? click Delete. 7. The evidence will be deleted on the plan and on the board. 15
Unassigned Standards 1. At the top of the Evidence board is a link to Unassigned Standards. 2. If you click on link Unassigned Standards it will display a list of standards, indicators and elements that do not have evidence associated to it: 3. Looking at Standard I, we see that we have uploaded evidence for all indicators/elements except for 1-A-2, 1-A- 4, 1-B-2, 1-C-1 and 1-C-3 so if any of those are your goals, you may want to consider adding evidence that will support them. 16
Evidence Filter 4. Staying within the Evidence board, the Filter toward the top bar, middle will allow you to filter your evidence by a particular category so you can view by standard, author, plan, step or type. When you are finished with evidence, close the tab on your browser (not the browser, just the tab!) and you will be back to your evaluation plan. 17
8. For Administrators For administrators who evaluate staff across schools, you may find it easier to choose the My Evaluations option from the Site drop down list rather than selecting each site separately: The Filter, Sort and Search options are helpful for those of you with multiple educators. Search: Allows you search by first name, last name, plan name, etc. It is a smart search: as you begin to type the first few letters, it will shows plans or forms based on those letters. 18
