Terms Definitions Course: The name of an Instructor-Led Training (ILT) Event. Class: The name of a session (offering) for a course. There may be multiple class dates for a course. You register at the class level. Requires Approval: Manager approval is required for all ILT. Class Details: This includes logistics such as attire, meals, pre-work and post-work (if applicable). Access Instructor-Led Training (ILT) In the LMS, you can find instructor-led training by: Browsing the Library Using the Enterprise Search or Using the Instructor-Led Training Calendar on the Home Page Browsing the Library Access the Library in the header menu to browse for training. Click the link for Instructor-Led Training (ILT) to see the list of instructor-led training courses. Using Enterprise Search 1. The Search icon displays at the top of all the pages. Click the Search icon in the toolbar. 2. The Enterprise Search panel slides out to reveal a Search entry box as well as a graphical menu of available, common actions (such as Find a Course or Find Another Person). 3. Type ILT and press the Enter key. 4. Click to see the complete list of ILT courses. 5. Different Sort Options are available. Click on the Sort By drop down arrow to view options. 3
Using the Instructor-Led Training Calendar You can view all scheduled ILT classes on the ILT Calendar on the Home page. If a class is scheduled on any given day, the number of classes will appear. Click on that day to see the list of classes scheduled. Notes: To expand your view, click on VIEW ALL. To toggle between months, click on the arrows To get back to the Home page at any time, click on the NCI logo in the header menu For multi-day classes, it is listed twice for each day, once to show the multi-day reoccurrence and then the scheduled class for that date. If you register for a multi-day class, you will be prompted to select all applicable dates. To view all class dates scheduled for a course (listed by course), use the Library or Enterprise Search. 4
Register for Instructor-Led Training (ILT) You can view and register for a class by using the Enterprise Search or by finding the training in the Library (See How to Access Instructor-Led Training (ILT) section.) 1. Locate the ILT course either via the Enterprise Search or the Library. 2. Via the Select button dropdown menu, click Register. 3. The classes (Offerings) are displayed for the course along with the available dates, times, locations and maximum number of participants allowed. 4. Select a class by clicking the radio button next to the class. Note: A yellow message will pop up indicating approval is required for your registration. 5. Once you have registered for all relevant activities, the Submit button becomes available and you can click it to complete your registration. Once you click the Submit button, you are placed on a waiting list pending approval. You will receive an approval pending email and your manager will receive an email with the approval request. If your manager approves your request (via the LMS), you will receive a registration confirmation email and will be placed on the class roster. This email will include the details of the class and an attached Outlook calendar invite to open and accept so it will be added to your Outlook calendar. If your manager denies your request (via the LMS), you will receive a registration denied email. 5
6. To view the class details, in the middle of the screen, click on the Details Tab. Note: Once you are registered for a class, you can no longer see the other class times for that course, since you can only register for one class per course. To view all ILT classes, navigate to the Home Page and view the ILT calendar. 6
Cancel an Instructor-Led Training (ILT) Class Your registered classes can be located via your Learner Dashboard. 1. Click. in the header and select Learner Dashboard 2. Under Quick Links, select Training Schedule 3. Select Upcoming Activities and locate the class to cancel 4. Click on the box next to the class and click on Cancel Registration 5. On the Cancellation Confirmation Screen a. Select the box next to Select All b. In the lower right section of the screen, click on the button You will receive an email with the subject line: No longer registered for (lists the name and date of the class). Your manager will be copied on this email. Manage Training Schedule View Your Training Schedule 1. In the Header menu, click. 2. Navigate to Learner Dashboard > Training Schedule. 3. Classes that you have registered for and that have been approved will display. Click the name of the class to see details such as logistics and pre-work information. 4. To view the list of classes that are waiting approval, click the Waiting List or Pending Approval link. Note: The View Calendar link only shows your scheduled classes. It is not the ILT calendar on the Home page. 7
Frequently Asked Questions Instructor-Led Training (ILT) 1) Q: How can I navigate back to the Home Page? A: Click on the NCI Building Systems logo in the Header. 2) Can I view the details of a class before I register for it? A: Yes, you can via the Library, select Instructor-Led Training (ILT). For the class, click on Select, View Details. 3) Once I register for a class, can I see the other class dates for that course? A: Once registered for a class, you can only view the other class dates for that course via the ILT Calendar on the LMS Home Page. 4) How do I know if my registration request has been approved or denied? A: You will receive an email once your manager goes into the LMS and approves or denies your request. If approved, the email will be a registration confirmation which will include the details of the class and an Outlook calendar invite attached, which needs to be accepted so it will be added to your Outlook calendar. 5) When I cancel a class registration, will the Outlook calendar invite automatically be removed from my calendar? A: No, you must delete it from your Outlook calendar. 6) Is there a flyer for the course that includes the agenda and/or objectives? A: We plan to add these for all courses. At the course level, click on the course name. If there is a flyer, there will be a link for the flyer at the end of the course description in the left panel on the panel slide out (above the Share button). You can also view this on the Offerings screen by selecting the Register button. If you are registered for a class, your registration confirmation email will include a link to the flyer. You can also view the flyers on mynci<learning and Development<ILT Materials. 7) What notifications will I receive for ILT classes? A: Notifications are sent as emails to your email account and also can be accessed via the LMS under Self<Learning<Messages. When you register for a class, a pending approval email is sent. If your manager approves your request, a registration confirmation is sent. If your manager denies your request, a denial confirmation is sent. A week before the class, a reminder email is sent. If you cancel a class, a cancellation notice is sent. 8
