The following information outlines the enhancements, modifications and fixes contained in the Medical Director / PracSoft 3.12 update, released March/April 2011. This information is also available for download as a PDF from the HCN Knowledge Base at www.hcn.com.au/kb. The 3.12 update is a cumulative update, including content from all previous 3.11.x releases. 3.12 Content for Medical Director Assessments o The ATSI Health Check is now known as the ATSI Health Assessment. Documents o Scanned documents now have a default title of Scanned Document. General o Support for Windows 64-bit Operating Systems. o Improved the appearance of the Clinical Window for Windows Vista and Windows 7 Operating Systems. o The redundant Add Influenza vaccine as once only check box has been removed from Clinical Options. HCN Maintenance o The Import Wizard now correctly displays the number of successfully-imported clinical records. o A new Manage Communications utility for configuring the importing of Investigation Results has been added. Investigations o When adding new Pap Test results, the patient s name is no longer truncated. o The Filmless Image Technology interface has been re-designed and enhanced for ease-of-use. o Streamlined configuration of Investigations downloads: Previously, the configuring of Scheduled Document Import (SDI) and the defining of path locations for incoming correspondence was managed by different components of Medical Director; Tools > Manage Communications was for configuring SDI. Tools > Options > Investigations (tab) > Set up data transfer (button) was for configuring import path locations. The new Manage Communications tool combines these settings, and is accessible via Medical Director (Tools > Manage Communications) and via HCN Maintenance (Manage Communications). The Manage Communications tool allows you to: Indicate on each computer which Medical Director database to import Investigation Results for. Indicate the frequency with which new Results/eCorrespondence/Referrals will be automatically imported. Specify the types of Investigation Result files Medical Director recognises, by creating a list of known file extensions. Setup data transfer services, rules for those services, and whether those services are available to all computers on your network or only specific computers. Manage the advanced specifications of any data transfer services you create. Automatically detect the presence of HealthLink and the HealthLink interface location. Indicate whether Investigations Results are imported automatically and/or manually. Indicate whether you wish to generate an Acknowledgement to send to your Results Provider upon successfully importing any results you have received from them. Letter Writer o Improved the modifying/saving of templates on Windows Vista and Windows 7 Operating Systems. o You can now insert a patient photo into a letter without the text being replaced by the photo. o Improvements to Letter Writer functionality: Page number issues now resolved. Right-click option added to print a letter from within the Letters Tab of a patient s record. Bitmap images, Paintbrush images and Wordpad documents can now be imported. Objects can now be inserted into a letter as a character. Pap Tests o Pap Tests result terminology has been updated to reflect the modified Bethesda system used by most pathology labs. Prescribing o You can now prescribe a User-defined Preparation (Recipe) from your Favourites list. o The March 2011 MDref is incorporated in this release. Print Options o You can now successfully modify the Letter Printer page size multiple times without error. o Recall column widths (Print Options > Recalls tab) can now be set to a minimum width of 0. Progress Notes o Redundant History/Examination headers now removed from Notes when data recorded in these modules is cleared. Recalls o The Recalls module has been modified and enhanced. A Recall is a reminder to the patient that they are due to return to the Practice, usually so that some clinical procedure can be performed (for example, a pap test). Although the concept of Recalls has not changed for Medical Director 3.12, the entire Recalls module has been redesigned, making it easier for users to create, manage and monitor patient Recalls and the Actions associated with them. See About Recalls, Recall Actions and Outstanding Actions within the Medical Director Help for detailed information and instructions on using Recalls. Resources o You can now create new categories within the Patient Education module. o Independent Drug Monograph content can now be copied to the Windows clipboard, by either: Clicking the new Copy button on the Independent Drug Monograph window (which copies the entire content or selected content). Right-clicking selected content and choosing Copy from the menu that appears. o Product Information (PI) content can now be copied to the Windows clipboard, by either: Clicking the new Copy button on the Product Information window (which copies the entire content or selected content). Searches o The Diabetes Register Report has been expanded upon, displaying more information as seen in Medical Director. o The Diabetes Register search results are no longer cleared upon creating recalls for any of the selected patients. o Patients with incomplete Diabetes Assessments are now displayed in red. o You can now successfully open the Prescription Summary module. o Selections made within the Specified Conditions section Influenza/Pneumococcal Disease At Risk Search window are now retained when you switch Risk Groups. 3.12 Content for PracSoft PracSoft has undergone a facelift and has been transferred to a modern architectural platform called Microsoft.Net. This has resulted in the complete redesign of the PracSoft application interface, as well as some modifications to functionality and features. Detailed information about these changes is available in the PracSoft.NET Release Guide, available from the Medical Director / PracSoft 3.12 CD, and from the HCN Web Site at http://www.hcn.com.au/support+%26+downloads/downloads Features include: o New contemporary interface. o New Account icons. o New Appointment Book icons. o New format design for printed reports. o New tool bar button icons. o DVA Medical Paperless Streamlining Claims. o Support for Windows 64-bit Operating Systems. o Now accommodates Nurse Practitioner Billing. Please ring HCN Technical Support on 1300 788 802 for instructions. 3.11.7 Content for Medical Director Devices o Medical Director now supports the Welch Allyn Spot Vital Signs LXi diagnostic device. o Medical Director now supports the Cardioline Cube diagnostic device. Specific settings must be configured in the Cardioline Cube software, to successfully conduct a scan via Medical Director. Please consult the Medical Director Help for detailed instructions. Prescribing o Implementation of CTG Close the Gap Co-payment Measures. The PBS Close the Gap co-payment measure has been developed to provide assistance to eligible Aboriginal and Torres Strait Islander patients to improve access to PBS medicines through co-payment relief. Practices wanting to participate in the PBS co- Level 4, 201 Pacific Highway, St Leonards, NSW 2065 4

payment measure must register by completing the PIP Indigenous Health Incentive form. Contact the Department of Health and Ageing for information. Indicate whether your practice participates in the program via Tools > Options > Practice tab. Indicate whether a patient is eligible for the CTG assistance from within the patient s record, via Patient > Details. o Independent Drug Monographs are now also available by: Right-clicking a patient s current prescription and selecting Drug Monograph. Right-clicking a medication from the Select Drug window (accessible whilst creating a new prescription) and selecting Drug Monograph. 3.11.5 Content for Medical Director Address Book o Printouts from the Address Book now correctly display all address fields. Assessments o Modification to the Aboriginal and Torres Strait Islander (ATSI) Health Assessment. The ATSI Health Assessment has been modified to reflect a change to the Medicare Benefits Schedule, where items 704, 706, 708 and 710 are replaced by a single item, 715. Note also that previous references to ATSI Health Check now read ATSI Health Assessment. Immunisations o Batch Number issues in Immunisations have been resolved. o Influenza/Pneumococcal Vaccination Prompt criteria updated to the Australian Immunisation Handbook 9th Edition. o The Influenza and Pneumococcal Disease prompts have been enhanced. It is now possible to set the criteria for which these prompts appear. Please see Pneumococcal Disease At Risk Searches and Influenza At Risk Searches in the Medical Director Help for detailed information. o Influenza and Pneumococcal guidelines updated in line with the Australian Immunisation Handbook 9th Edition. These PDF documents are available via the associated Pneumococcal and Influenza at risk prompts. Investigations o Enhancement to the layout of Pathology and Medical Imaging Request forms. The alignment of various fields on these printed forms has been modified, and on Medical Imaging Request forms all address fields are now displayed correctly. o New 2D Barcodes now available to Request Forms. A new 2D barcode is now available on selected printed Request Forms. The 2D barcode minimizes data entry errors in the pathology laboratory information systems when these forms are scanned by your provider. 2D barcodes are available only where you have set up a participating provider - currently Laverty. Letter Writer o Address details are no longer concatenated. When you add an address field to a new letter, the address details now appear in the correct addressing format or on separate lines. o You can now add page numbering to a letter. o The Referral Doctor Phone field can now be added. This field can now be successfully added to a letter, even if a phone number has not been recorded for the doctor. o Additional Fields now available to Letter Writer. Additional fields within the Addressee, Doctor, Head of Family and Patient Demographics categories are now available. Please consult the Medical Director Help for detailed instructions on how to use fields in letters and templates. o New Recall Letter template for Pneumococcal At Risk > 4yrs MD Mobility o When selecting patients to download you can now perform an Advanced Search of the Patient Database. Options o Enhancement to Investigations Options. The Display Results to Staff check box in Investigations Options allows Limited Access users to check the Holding File, and now also allows Basic Access users to access the Investigation Results window. Prescribing o Enhancement to the prescribing process for Authority Medications. Previously, after prescribing an Authority medication, Quantity and Repeats could be entered manually via the CurrentRx window. For convenience, you will now be prompted to enter this data during the prescribing process. Resources o Minor modifications to the layout of the Product Information Viewer. o Improved Internet detection on sites with Proxy Servers, in order to access Independent Drug Monographs. o Improved handling of the Adobe Reader Agreement prompt. Adobe Reader is required for viewing CMI content, and is installed with Medical Director. On first opening Adobe Reader the user is prompted to agree to the Adobe Reader Licence Agreement. For convenience, the Agreement window is now forced to the foreground. Furthermore, if a user tries to access CMI content without Adobe Reader installed, they are now prompted that Adobe Reader is a requirement for viewing these documents. Searches o Modifications and Enhancements to the Pneumococcal Disease At Risk, and Influenza At Risk Searches. The criteria for these searches have been update in line with the Australian Immunisation Handbook 9th Edition. The search criteria can now be saved for each user. The saved search criteria are now also used to determine for which patients the related Pneumococcal/Influenza prompt appears. 3.11.4 Content for PracSoft Fees o May 2010 MBS Fee Update. MBS tables are now updated with MBS schedule changes, effective 1st May. This is now available for you to import and update your fee list as relevant to your practice. Please note this change includes some new fee items, and some fee items that will no longer be used. Detailed instructions on importing and managing fees are available on Page 3 below. Further information about Fees is available within the PracSoft Help. o Enhancement to the Fee Importing and Resynchronising process. The Attendance Item field in the Fee Listing window is now automatically updated upon importing the MBS Fees list. As this process is now automatic, the redundant ReSync button has been removed. o Updated Medicare Australia Online automated Incentive Items. Reports o Enhancement to Safety Net and Patient History Reports. The fee item/amount description for deleted items is now included on these reports. 3.11.2 Content for Medical Director Documents o Permissions for Document-related folders are now set correctly. Upon installing Medical Director 3.11, the folders in which files such as Documents, Letters, ECGs and custom Patient Education Leaflets reside were assigned incorrect access permissions. This resulted in the inability to view existing files or create new ones. The actual files contained in these folders were not affected. Immunisations o On saving an edited/viewed Immunisation Record, the original vaccinator s name is now retained. Investigations o Pathology Requests can now be created for a Laboratory whose name contains a quotation mark ( ). Prescribing o The Elapse Date is now correctly calculated for Limited Authority medications. Level 4, 201 Pacific Highway, St Leonards, NSW 2065 7

3.11.2 Content for Medical Director eprescribing o The Number of Repeats now calculates correctly. 3.11.2 Content for PracSoft Medicare Australia o Includes latest version of the PKI Certificate Manager. Recording Visits o PracSoft now remembers the last payment type in the Record Visit screen.
