1 BACKGROUND Google Drive is a powerful file storage and synchronization services provided by the Google Company. This service makes use of the Cloud technology to enable users to share documents over the Internet with ease. Aside from storage Google Drive provides productivity apps that enhances collaboration on editing documents, presentations, worksheets and more. Its interoperability capability, means that you can create and edit documents in any platform (Windows, Mac or on your mobile device). Today you will learn how to use Google Document in ways that will help you work with a group and be able to share it. Scenario You are supposed to give a PowerPoint Presentation on the history of Timbuktu at some historical convention at Chicago. As you hand your USB thumb drive to the IT guy to run the presentation, the fellow blurts out I hope it s not in Microsoft PowerPoint! We don t have it installed in this computer, but we have the Internet. So, after taking this course you know of another option to deliver your message. You will create a simple presentation using Google Docs and download the presentation in Microsoft PowerPoint format. 2 IN-LAB WORK 2.1 FILES YOU NEED 1. Microsoft PowerPoint (2103 or 2016) 2. Access to the Internet. 3. In-Lab_Lab2-GooglePresentation_Files.zip (Download and unzipped) 4. YOU MUST CREATE A GOOGLE ACCOUNT. IF YOU HAVE A G-MAIL ACCOUNT THAT IS FINE, IF NOT CREATE A GOOGLE ACCOUNT (you don t need to create a G-Mail account, just a Google account all you need is a valid email address). This process takes about 5-10 minutes. 5. Preferably use Google Chrome for this exercise. We have seen odd behavior with other browsers. 2.2 SETTING UP 1. Extract In-Lab_Lab2-GooglePresentation_Files.zip and store all the uncompressed files in a place you can remember (either on your Desktop or Documents). 2. Sign-in to your Google Account (if you have a gmail email account then you re good). If you do have one, then take the time to create one. 3. Once signed in then go to the tile panel located on the upper left of the screen. 1 P a g e
4. Select Google Drive 5. Now let us upload TheLifeofPi.txt to Google Drive. 2 P a g e
Now once uploaded Google Dive does not convert it to an editable file yet. We will need to process that in a while. 6. Double-click on either the Tile Icon on the main explorer panel or the upload status on the lower right. 3 P a g e

Once it opens it should look like the one below: Now we are ready to Format the document. 2.3 SLIDE FORMATTING 2.3.1 Change the theme 1. Change the theme to any of the options, but for this example I am using Beach Day 5 P a g e
2.3.1.1 Working with Word Art, images, and animations 1. Change the title of Slide 1 to a Word Art. To start we will need to highlight and copy (Crtl+C) Timbuktu since unlike PowerPoint, Google Slides cannot import whatever we have highlighted to the WordArt configurator. 6 P a g e
2. Then paste Timbuktu inside the Word Art configurator 7 P a g e
3. Delete the original slide title and drag the new Word Art title to the top of the slide. It does not have to be exact, but make sure that it is centered by paying attention to the red middle/center line that appears when the object is centered. 4. Reduce the size of the image so that it will fit between the title and subtitle. Make sure that the image is also centered: 8 P a g e

6. Now let s add some animations (you can use any) on our title slide. Click on Timbuktu 11 P a g e
7. Let s add an animation to both the image and the subtitle. Hold the Shift key and click on the image and the subtitle objects and it should look like the example below: 8. Then simply add the animation just like what we did on the previous step 12 P a g e
2.3.1.2 Shape tools 1. What we want to do in this step is to add a circle with a red border around Timbuktu to highlight its location 2. Drag your cursor over Timbuktu 13 P a g e
3. Unfortunately, once you release your mouse the circle will have a solid fill. 14 P a g e
4. To edit the shape fill click on the shape object then follow the steps below: 15 P a g e

3. Go ahead and change the font and font size 2.3.1.4 Editing images 1. It s not Photoshop, but you can do some pretty cool effects. First you will need to select the image by click on it. 21 P a g e

2.4 DOWNLOAD THE DOCUMENT AS A MICROSOFT POWERPOINT PRESENTATION 1. Go to File Download As: 2. Once the download is complete then you should see it on the lower left-hand corner of your screen. This document is stored under your Downloads folder. 2.5 COMMENTING & SHARING 1. Comments are useful when doing collaborative work especially in reviewing documents. 2. Sharing is a tool used for allowing others to edit or just to read without editing. Can edit Allows your guest users to access with full control of the document Can Comment Only commenting is allowed Can view Read only Share the document with your email 33 P a g e
2.6 UPLOADING IN-LAB WORK (25 POINTS FOR ATTENDANCE) Upload to iclassbook.com. 3 OUT-LAB WORK 3.1 FILES YOU NEED Extract: 3.2 SLIDE FORMATTING 1. Login to your Google account and navigate to Google Drive 2. Upload to your Google Drive 3. Convert into a Google Presentation file 4. Open in Google Presentation. 5. Change the Theme to any of your liking go wild 6. Add Animations to all slide objects (use any animations types) from Slide 1 through Slide 7. 7. Slide 8 change the Tilte font color, size, and style to any other than default. Edit the image by playing around with the image manipulator. Recolor the image to sepia. 8. On Slide 11 insert a video and use the keywords Egyptian Pyramids. 9. On slide 10 edit the slide so that the image does not block all the text behind it. Hint use a text box. The finished slide should look like this: 10. Share presentation to at least one other email address. 11. Save the presentation and download the presentation as a Microsoft PowerPoint (.pptx) 12.
