Maintaining Your Copier How to Change Toner Open front cover Swing toner cartridge out toward you Raise the green lever and gently pull the bottle out Hold new bottle of toner horizontally and shake several times (Do NOT remove cap before shaking) Now remove outer cap Place toner bottle in position and push it in until green lever clicks Swing toner bottle back into machine Close front cover Notes: Store toner cartridges flat Do not reuse toner Reseal used cartridge with cap from new bottle and throw away (environmentally safe toner)
How to Load Staples Open the finisher front cover Pull out the staple unit Pull out the cartridge gently Pull up the upper unit of the cartridge while holding sides of cartridge Take out the empty refill in the direction of the arrow Align the arrows on the new refill and cartridge Then push the refill unit in until it clicks Push down on the upper unit gently into the cartridge Pull out the ribbon Push the cartridge down until it clicks Return the staple unit to its original position Close the finisher front cover
How to Load Booklet (Saddle Stitch) Staples Open front cover Pull out the staple unit Look on back side of unit There are 2 staple cartridges located here Pull lever S2 Pull cartridge out gently Pull up the upper unit of the cartridge while holding the sides Take out the empty refill in the direction of the arrow Align the arrows on the new refill and the cartridge Push in the refill until it clicks Push down the upper unit gently into the cartridge Pull out the ribbon Push the cartridge down until it clicks Return lever S2 to its original position Push staple unit back into position Close the finisher front cover
How to Load Paper (3-hole, letterhead) Pull out tray 1 Tray 1 is a tandem tray Holds 2 stacks of paper (for continuous feed) Tray will seem wobbly It will re-align when drawer is closed Square the paper and load Load the right stack to the right edge of the tray Load the left stack to the left edge of the tray Close drawer Load tray 2 and 3 in the same manner Make sure that the dial is set to the same size paper loaded Notes: When loading 3 hole punch paper in tray 1 Place holes to the right side of the drawer When loading letterhead paper in tray 1 Load it face down and header towards back of machine (Load originals face up top towards back of machine) Transparencies: any copier type will work (paper strip or clear). Use bypass tray only. Do not overfill trays!
Clearing Misfeeds When clearing misfeeds, do not turn off the operation switch Copy settings will be cleared To prevent misfeeds, do not leave any torn scraps of paper in machine If misfeeds occur repeatedly, contact service When a misfeed occurs, check your control panel A picture will appear Arrows will point to the areas with jammed paper Remove all paper in all areas shown by the copier When paper is all clear and doors are closed, machine will resume operation A sticker inside front covers will explain how to remove misfed paper Touch only items colored in blue Caution: some areas may be hot Cleaning Exposure Glass & Document Feeder Clean all glass with a soft damp cloth (water only); dry off Do NOT use any cleaning solution on any part o Wipe the exposure glass and scanner glass with cloth. o Clean the white sheet of the document feeder o Pull blue lever by the white sheet o Wipe the scanning glass o Be sure to close the document feeder sheet back down until it clicks

Copier Mode Walk up copying easy standard settings are on screen When machine is in energy saver mode screen is black touch screen It will ask for your code that key operator placed in system Punch in code on key pad and touch the screen # sign You can now access the copier Ready should be in the upper left corner of the screen Place originals in document feeder or on the glass Enter all settings and press the green button While this job is printing you can prepare the next job for printing Enter Code Clear #
Document Server Mode Send jobs from your computer to store for multiple printings Scan job in for storage on server for multiple printings To Place Document in Machine: 1. Press [Document Server] key 2. Press [Scan Original] key 3. Enter file name, user name or password if necessary 4. Place your originals 5. Make any desired settings 6. Press the [Start] key 7. Change file name by highlighting job 8. Press [File Management] key. 9. Type new file name Find: Print a Saved Document: 1. Press [Document Server] key 2. Press the [Search by File Name] key 3. Enter the file name, and then press the [OK] key 4. Select the document to be printed 5. Change print setting if needed 6. Enter # of copies 7. Press [Start] key
Printer Mode Used just like your PC printer Go to print a job and access the Ricoh copier Click on Properties and you will see all the options for printing Options for printing (collate-staple- 2 sided-etc) When setting your machine up to print remotely, follow ITSC instructions. Lock Your Job When sending to copier (as a printer) Always use the locked job in Job Type This will keep your job from immediately printing The generic password is used ( 1, 2, 3, 4 ) on both the screen and on the copier Then go to the copier Click Printer Press View Locked Job Find your name and job and highlight it Use key pad for password 1, 2, 3, 4 Answer Yes to print
Job List Mode In the Job List you can check and delete the content of jobs in printing order and jobs being printed. Checking the List: 1. Press the [Job List] key 2. Select the job number of the list you want to check 3. Press the [Detail] key 4. Check the contents of the list 5. Press the [OK] key Deleting Jobs: 1. Press the [Job List] key 2. Select the job number to be deleted 3. Press the [Delete Job] key 4. Press the [Yes] key
Scanner Mode Scanning a document to send via email Place document in feeder Push the Scanner button on control panel On display screen will be people placed in system for emailing Touch one of the users for the To: field in the email window Next, push Attach Sender Name Select your name Touch OK Push Start button on control panel The file will be an attachment as a tif file to person you emailed to
User Tools/Counter Mode Used by Key Operator Get Copy counts and delete at end of month Set up copy codes and access for users Set up email address book Delete all documents stored on server
Display/Print Counter Serial # The Display/Print Counter allows you to view and print the various counters. Display/Print Counter: Displays counts for each function (Total, Copier, Printer, A3/DLT, Duplex, Staple). Print Counter List: Prints out a list of counts for each function. To print the counter list: 1. Press the [User Tools/Counter] key. 2. Press the [System Settings] key. 3. Press the [Key Operator Tools] key. 4. Press the [Display/Print Counter] key. 5. Press the [Print Counter List] key. 6. Press the [Start] key. 7. Press the [Exit] key. Finding Serial # 1. Press User Tools key on machine 2. Press Inquiry" 3. Your serial # information and service phone # will appear 4. You may also print this page When placing a service call, you will need the following: Machine serial # Machine ID # Machine error code if available Location of machine

Press the [Address Book Management] key. 5. Press the [New Program] key. Note: To register a user code to a registered user, press the user key where the user code is to be register, or enter the number using the number keys. 6. Press the [User Code] key. 7. Enter the user code using the number keys, and then press the [#] key. Note: If you make a mistake, press the [Clear] or [Clear/Stop] key, and then enter the user code again. 8. Select the functions to be used with the user code from Available Functions. 9. To continue registering user codes, press the [Continue to Program] key, and then repeat the procedures from step 7. 10. Press the [OK] key. 11. Press the [Exit] key. 12. Press the [User Tools/Counter] key.
