Canon ir isend Setup Guide. Once fitted to the MFD the isend kit will allow you to scan hard copy documents and send them onto various destinations. Scan to email To use Scan to email, you first need to obtain the mail server IP address or Name and also create an email account on the mail server for the copier. Once created this will allow you to email hard copy documents in PDF, TIFF or JPEG format to one or many email destinations. These will be received as an email attachment from the user account you have created. To set up Scan to email select the Smart Head Key and then select System Settings 1
Select Network Settings Select Page down and on page 2 select E-mail/I-Fax 2
Set SMTP Receipt to On and enter the Mail server IP address or Server name and also the email address of the MFD (This information will be provided by IT) Only the SMTP Server address and E-mail Address fields need to be populated for Scan to email to work. However if the customer requires the MFD to receive E-mail, then the POP information will also be required. POP Server Name POP Server Address POP Server Password The POP Interval will also need to be changed from 0 and POP turned to On at the top of the page. Select OK. 3
Once the SMTP information has been entered, then DNS needs to be set up on the MFD. If this information is not known, find a PC and enter cmd into the Run command line ( Press the Windows key and R ). Type ipconfig /all into DOS. All the DNS information will then be listed as shown below You will require the DNS server IP address. These are usually listed as a Primary Server and Secondary Server. You will also need the DNS Suffix. 4
Select DNS settings with in TCP/IP settings and enter the information you obtained from ipconfig. The Domain Name will be the DNS Suffix and the Host name is generated automatically. Turn DNS Dynamic Update to On. Select OK and the Done. Once all the required fields are populated the MFD will need to be re booted. 5
You now need to now set up an E-mail address in the Address book of the MFD. Select the Smart Head Key and then Address Book Settings and Register Address. 6
Select Register New Address Select E-mail 7
Enter a Name for the Address and then enter a valid E-mail address. Select OK and then Done. 8
You are now ready to send an E-mail. On the MFD front Page Select Send. Select E-mail and then select the E-mail address which you have just entered. Select OK 9
The E-mail address will then be listed as follows Select Send Settings to enter any Document details 10
Select which file format the E-mail is to be sent in i.e. PDF or TIFF ect Place your originals onto the feeder or platen and press the Start key. The original will be scanned and then forwarded on as an email via the SMTP server. E-mail Addresses The E-mail Address can either be entered into the MFD in one of three ways. Either manually as listed above. Via the Canon Address Book Tool (Exchange & Lotus Notes only). Or by using LDAP. 11
Scan to file Sending to file will allow you to scan a hard copy from the MFD and send it to either to an FTP server, which maybe globally accessed by many users from a web browser or locally to a workstation using SMB. You will need to know the PC or Server Name and also the file name of the folder (FOLDER SHOULD BE SHARED WITH FULL PERMISSIONS) for which the scans are going to be sent. To set up Scan to file on the MFD select the Smart Head Key and then select Address Book Settings 12
Select Register Address Then select File 13
Enter a Name and then select SMB as the Protocol. You then need to enter the Server or PC Host Name and the File path as shown below. You will also need to enter a valid User Name and Password. Alternatively you can also select Browse and then browse down to the correct file as shown below. 14
If you Browse for the file path then the Host Name will be entered as follows (no File Path will be entered). Select OK and then Done. The new Scan to file will now be registered in the Address Book as follows. 15
You are now ready to send to file. Select Send on the MFD front page and then select File. Select the Scan to File which you have entered and select OK. 16
Place your originals onto the feeder or platter and press the start key. For one off scans you can also enter the File Path as you go. 17
The scanned document should now be in the folder that was created on the Host PC (FOLDER SHOULD BE SHARED WITH FULL PERMISSIONS). You can change the file format before you send the scan i.e. PDF/TIFF. 18
