ADD A PROSPECT This training manual will outline the process for adding a prospect to the system. By the end of this lesson, the user will be able to: Add a prospect to the system In the PeopleSoft system, a prospect is defined as an individual who has not yet applied. At the point of application, the prospect becomes an applicant. The first step will be for you to login to the system with your User ID and Password. Once you have done this, you will need to navigate to the correct page for the prospect you intend to add. HINT: This step assumes that you have already conducted a thorough Search/Match. That navigation is as follows: Student Recruiting > Maintain Prospects > Create/Update Prospects. The page you will see is displayed below:
Figure 1 Create/Update Prospects All you have to do from this page is click the tab that says Add a New Value to see the screen displayed below:
Figure 2 Add a New Value You should notice that the ID says NEW because the system will automatically assign the ID once you have entered your data and saved the record. The Academic Institution should say ASU00 and the Academic Career should be whichever career is appropriate. These values correspond to the ones you set up in your User Defaults, if you have set them up. Clicking the Add button will take you to the data entry screen:
Figure 3 Biographical Details There are several items of note on this page. Across the top, you should see five tabs labeled Biographical Details, Regional, Prospect Career Data, Prospect Program Data and Prospect School/Recruiting. Next, you should see that the Effective Date has been populated with the current date. The National ID Country should also say USA and the National ID Type should say Social Security Number. The checkbox under the word Primary should be marked already. The rest of the page is displayed below:
Figure 4 Contact Information The Address Type should be defaulted to Home. Again the effective date is the same as the one above. The Status should default to Active and the Country to USA. You can change any of these data. For the most part, you will probably not do so when adding a new prospect. To enter the address for the prospect, click the Edit Address link and you will see the following:
Figure 5 Edit Address Complete the data entry and click OK, which will return you to the previous screen. You should see the Home Address information you just added in the space where you clicked the Edit Address link. The next step is to enter the phone information. You must specify the phone type. Select Home, unless the prospect indicates otherwise. Type in the phone number (10 digits for US numbers). If the number is not a US one, you can indicate this in the Country box. You also have a field for the email address of the prospect. Select the Email Type of Other for the prospect and enter the email address. You can also indicate the Citizenship of the prospect if necessary. If you don t need to do this, do not click the link. You can also see the Regional Tab as the next one. This tab collects data on the Ethnic Group of the prospect, and Military Status. You may not have this information. If not, do not enter it. The Regional tab is displayed below:

Figure 7 Prospect Career Data DATA FIELDS Admit Term This is the anticipated Admit Term for the prospect. For example, if the prospect is in the 10 th grade, the Admit Term will likely be fall semester two years hence. Admit Term is necessary to add program and academic interest (major) on the next tab. Recruiting Center Use the lookup to select the appropriate value. All other fields may be left blank and are not necessary to save the record.
The next tab is the Prospect Program Data and is displayed below: Figure 8 Prospect Program Data DATA FIELDS Academic Program use the lookup to select the appropriate value Recruiting Status Prospect Academic Plan use the lookup to select the appropriate value All other fields may be left blank and are not necessary to save the record.
The last tab is Prospect School/Recruiting: Figure 9 Prospect School/Recruiting Only one data field on this page must be populated and that is the Last School Attended. Use the lookup to find the correct code. This code is used to assign recruiters for the prospect so it must be accurate. Finally, you can click the yellow Save button to save the record. If there are any fields that must be populated and are not, then you will have to go to each tab and look for the fields that are highlighted in RED and enter the appropriate data.
