IRIS Current Research Information System (CRIS) for Unitn Open Access compliant ATTACHMENT POLICIES
Open Access in IRIS According to L 112 (7 October 2013), the European Commission Recommendation (17 July 2012), H2020/ERC grants requirements and the Unitn OA Policy, and respecting intellectual and industrial property, the author : will have to upload the full text in IRIS in closed access in the digital publisher s layout version (or, if not available, in digital refereed author s manuscript version) will be able to upload it also in other versions (i.e., pre-print) will have to describe it with some legal metadata (copyright situation; open access option, possible embargo period; open licence option; ), with final acceptance of a distribution licence. If not chosen differently by the author, this policy is not extended to texts intended for the market with royalties paid to the author, such as manuals or educational works. IRIS staff will validate the metadata and, in case of Open Access option, will disseminate the full-text on the web only when intellectual or industrial property are not violated. OAI-PMH Open Access protocol will enhance Unitn and all authors visibility and give the possibility to retrieve bibliometric and webometric data about each work (access and download statistics, h-index, g-index, )
The Licence The Licence must be read and known by each author and must be accepted (clickcontract) during the creation process of each new record in IRIS. By accepting the Licence the author assures his/her work is original and does not violate third party rights, and guarantees his/her fulfillment of possible contractual obligations as well as his/her co-authors willingness to disseminate the work in Open Access in case of Open Access option. The author permits Unitn University to use his/her work only for the following institutional purposes: - archiving, preservation and public dissemination of bibliographic data; archiving, preservation and possible Open Access dissemination of the full-text in IRIS and to exercise the following rights to: digitally memorizing, adapting, tranforming, reproducing and communicating the work and its bibliographic metadata in formats and by means of software possibly different from the ones originally used by the author to create the work, in order to guarantee long-term preservation and accessibility, unless the author requests treatment under special conditions; making the bibliographic metadata available for harvesting in OPAC (On-line Public Access Catalogues) and in international Open Access Registries in order for the bibliographgic citation to be permanently available.
File upload and legal metadata
Field: Type Remember: Publisher s layout and/or Refereed author s manuscript are the two versions required by Unitn OA Policy in closed access, also when the Open Access option is not chosen by the author(s).
Fields: Access policy; (possible) Embargo N.B. Utenti riconosciuti = il file è visibile solo all autore responsabile dell inserimento della scheda, ai suoi coautori interni all ateneo, e all amministratore di IRIS Solo gestori archivio = il file è visibile solo all autore responsabile dell inserimento della scheda e all amministratore di IRIS An embargo period (maximum 6 months or, for human and social sciences, 12 months from acceptance) can be requested because of: 1. publisher s refusal, as displayed in Sherpa-Romeo database or as certified by a publisher s specific communication (to be attached as an additional file) 2. one or more co-authors refusal 3. reasons of public or national security 4. privacy reasons or presence of sensitive information 5. research carried out within projects financed by public or private bodies on the basis of a non-disclosure agreement 6. research protected by the industrial property law and/or object of an invention patent
Embargo: Sherpa-Romeo database Sherpa-Romeo database can be browsed on its website, but also IN IRIS - if the uploaded file is a journal article or an essay/chapter in a monographic series. Sherpa-Romeo visualizes the most important academic publishers up-todate policies about Open Access self-archiving. The content of the database is to be interpreted as a mere support for academic authors and must therefore not be attributed legal value. The crucial and determining clauses are to be found only in the publishing contract.
Field: Publisher s contract Since the contents of Sherpa-Romeo database are to be considered a mere support with no definitive legal value, one must actually read the publisher s contract in order to understand if a work can be disseminated in Open Access or not. IRIS Staff may have difficulty in reconstructing the exact clauses of the contract signed by the author. That is why the author can quicken the validation process, and therefore speed up Open Access dissemination of his/her work, by filling in the field Publisher s contract. In this field the author can type or paste, if available, the text which defines the clauses of his/her copyright transfer to the publisher. Alternatively, if available, the author can upload in IRIS the publisher s contract PDF.
Field: Licence type Some examples: if the author has chosen Only repository staff and wants to keep the file in closed access because s/he has already transferred the copyright, s/he must select All rights reserved ; if the author has chosen Embargo because the new copyright owner permits Open Access dissemination only after a certain amount of time, s/he must select All rights reserved ; if, owning the copyright, the author has chosen Open Access GRATIS option, s/he must select All rights reserved; if the author has chosen Open Access LIBRE option, s/he must select Open Licence. In this last case, it is required to define IN THE PDF the type of open licence chosen by the author (i.e. a Creative Commons Licence).
Field: File transfer to MIUR Sito Docente (Loginmiur) By choosing «Sì» the file is sent to LoginMIUR. This is mandatory in case of evaluation procedures by ANVUR / MIUR which request the full-text along with the other descriptive data. Remember that at the moment MIUR Sito Docente (Loginmiur) only accepts PDF files up to 10 Mb. For bigger files, click "No", or create smaller files before uploading them in IRIS.
Fields: File description; Notes In the field Description the author can give a brief description of the content or the version of the file. This can be particualrly useful when: a. the author is uploading more files; b. AND the author has given the files a general title, so as not to easily permit the user to immediatley identify the content of each file. In this field, the author can type information such as: Main article", Rough data, Summary, Publisher s post-print, etc.
Contacts For any doubts about IRIS, depending on the specific problem area, the author may contact one of these Offices/Divisions: Ufficio Anagrafe della ricerca, Archivi istituzionali e Supporto attività editoriale (iris@unitn.it) Ufficio Legale (uff.legale@unitn.it) Divisione Supporto alla Ricerca Scientifica e al Trasferimento Tecnologico (research.support@unitn.it) whose members are part of Unitn Open Access Working Group.
