About Unified Communications (UC) Overview Introduction Wikipedia defines Unified Communication (UC) as the integration of real-time communication services such as instant messaging (chat), presence information, telephony (including IP telephony), video conferencing, data sharing (including web connected electronic whiteboards aka IWB's or Interactive White Boards), call control and speech recognition with non-real-time communication services such as unified messaging (integrated voicemail, e-mail, SMS and fax). UC is not necessarily a single product, but a set of products that provides a consistent unified user interface and user experience across multiple devices and media types. Perhaps more simply stated, UC is the seamless integration of all means and applications of communication, regardless of platform or device utilizing Ethernet connectivity, and possibly the Internet instead of point to point traditional copper wired telephone systems. This includes, but is not limited to all aspects of telephony and voice mail, messaging (both real-time instant messaging and non-real-time email), collaboration, FAX, mobile devices, tablets and desktops, all with voice, video and data capabilities depending on the device. User s Perspective From the User s perspective, there are three factors influencing and facilitating their communication needs: a. What: Mode of communication: Voice, messaging, email, conferencing, video etc. b. Where: Participant Location(s): Point-to-point communication to/from/between Office, home, automobile, hotel etc. c. How: Device dependencies: Traditional Telephone handset, desktop, smartphone, tablet etc. To the user, device dependent communication becomes virtually a thing of the past. In a managed UC network, applications are distributed across the entire network seamlessly. Functionality is now only dependent on the applications that have been installed and integrated. Mobility With the development of 3G and 4G networks as well as Wifi Hotspots and the rapid proliferation of smart phones and tablets, the mobility capabilities of a UC network have expanded exponentially. Access to networks through 3G/4G or WiFi has turned the small hand-held devices into mobile offices. Along with the benefits here, there is a point of caution. Public broadcasting of information & data over unsecured public hotspots can create data security issues. Managed UC environments need to keep all mobile devices inside the firewall, through the use of easy to access and utilize VPN (Virtual Private Network) technology. Off-Line Communications Off-line or non-real-time communications include email, voicemail and video mail. This includes messaging that is sent to be read at some time in the future. Overview (continued) Video Communications Video calls and conferencing are no longer tethered to a desktop application. Mixed-Mode Communications This refers to the What under the user s perspective above. Mixed-Mode allows for seamless communication migration across devices. For example, a call initiated on a mobile device can automatically shift to your enterprise Wifi as you enter your office building, and then easily transferred to your video-telephone or desktop computer when you arrive at your desk. This process will just as easily apply in reverse, as you leave one location for another. Implementation/Administration With a hosted UC solution, implementation and administrative process are centralized. Application updates and deployments occur centrally, and no longer require a manual process to be repeated for every device, workstation etc. throughout the enterprise. This minimizes the required time for administration, as well as minimizing the chance of error with duplicated administrative processes. This translates into a significant cost savings in time over the traditional distributed networks. A hosted solution is by far the most efficient method of application deployment. No longer is an enterprise restricted by waiting for enterprise-wide technology upgrades prior to deployment. With a hosted solution, applications can be deployed to any, all or select groups within an enterprise. When pushed to the cloud, users to select and switch between applications at their leisure. Budget Efficiency A hosted solution provides many budgetary advantages over Customer Premises Equipment (CPE)- based solutions in several areas. Cost of Entry (COE), Total Cost of Ownership (TCO), budgetary concerns and IT overhead are all significantly lower or reduced when a hosted soluon is implemented. Hosted solutions have no (or minimal) capital requirements virtually eliminating the COE (equipment and IT resources) and dramatically reducing TCO through minimized capital investment and IT efficiencies. Migration to a hosted solution can start immediately, without the need to capital budgeting and the allocation of scarce resources. This also facilitates the budgetary process and planning in an on-going capacity. Budgetary questions and concerns are minimized since hosted solutions utilize a subscription-based model, essentially eliminating unforeseen costs arising from CPE failures, downtime and subsequent IT costs. Predictability and consistency are a hosted solution s hallmark. Finally, hosted solutions reduce IT overhead in time and staffing requirements. Many repetitive tasks are eliminated, and many those that remain can be re-assigned, maximizing IT efficiencies for strategic tasks.

Overview (continued) Conclusion A hosted Unified Communication Solution is here to stay, and will only become more flexible as your requirements demand. With the rapid expansion of broadband networks, and an increasingly mobile workforce, a managed UC solution is the only solution that will provide the flexibility and efficiency that is being demanded in today s business environment.
