Overview of Cisco WebEx Meetings Cisco WebEx allows you to collaborate with your contacts and colleagues before, after, and during a meeting. How Do I?
Schedule and start meetings easily With WebEx, you can schedule and start meetings easily. The Meet Now button lets you start an instant meeting, and the Schedule button lets you schedule a meeting for later. These buttons appear in the following places On both your Home page and your Meetings page In the WebEx Assistant that is part of WebEx Productivity Tools In the WebEx integration to Microsoft Outlook Similar buttons appear in other WebEx Productivity Tool integrations. One thing that makes starting instant meetings and scheduling meetings easy is that you set many of your preferences ahead of time, so you have too many choices once you start or schedule a meeting. For more information, see Setting preferences. After you set preferences, your choices for an instant meeting are just What and Who:

You can provide additional optional information, such as entering an agenda, setting a meeting password, selecting the audio connection type, or setting recording options Sharing information before a meeting When you schedule a meeting, you are also creating a meeting space that anyone who is invited to the meeting or to your meeting space can view:
View meeting information. Provide an agenda for the meeting. Share files with meeting invitees for them to review before the meeting. View meeting updates, add comments, and view comments from invitees. When it is time for the meeting, the host can start the meeting and users can join the meeting directly from the meeting space. Allow invitees to see who else is invited. Hosts can also invite additional people from the meeting space. Hosting and sharing content in a meeting With Cisco WebEx Meetings, you can share information and interact with participants. From the Quick Start page, you can join the audio conference, invite and remind more people, record the meeting.
You can use panels to see which participants have joined the meeting, chat, take notes, and perform other tasks. and then You can use the meeting tools to share documents, presentations, whiteboards, applications, your desktop, and more. If you already have files in your WebEx file library, you can easily share those in the meeting. If you are showing and viewing video while you are sharing other content, a small video window shows the active speaker while you share content.
You and your participants can also view up to high definition video. You can view a display with a large video for the active speaker (or whichever participant you want to show) and you can view up to five video thumbnails for the other meeting participants. When you end the meeting, you can upload any files that you shared to your meeting space
Collaborating after a meeting After your meeting ends, you can use your meeting space to continue collaborating. You can perform the following tasks in your meeting space. Play back the recording Schedule a follow-up meeting Add or edit meeting notes, such as action items.
Share the meeting space with additional people, even if they were not invited to the meeting, so they can play back the recording and see other meeting-related information. Upload and attach files. View activities, such as meeting space updates, add follow-up comments, and allow people who can access your space to add comments and continue discussing issues related to the meeting. Sharing and managing files Your file library on the Files page is a single location where you can upload files or create web documents. You can share your documents and collaborate in real time, maintain versions, and easily access files. You can perform the following tasks in your file library:
Upload a new file. We support every type of file. Create a new folder to organize your files. Create a web document, which is a rich-text document that is embedded in the web page. View meeting attachments for meetings you have hosted. Play back meeting recordings for meetings you have hosted. View files that other users have shared with you and add comments. Make files or web documents private, so only you have access to them. Share files or web documents with other people. You can allow them to have read-only access to the files, or you can allow them to edit and
update the files. Viewing updates on your Home page Your Home page is like a dashboard that shows all of your meeting and file activity. You can perform the following tasks from this page: View notifications about meeting invitations, contact requests, and other activities. View updates on meetings you are invited to, files other people have shared with you, comments that people have made on your meetings or shared files. You can also add your own comments to items that appear in your updates list. You can play back recordings for meetings that have passed. You can select the names of meetings and files in your updates lists to see more information about those items. View upcoming meetings. You can select the meeting name to go to the meeting space and see more meeting information, added files, comments, and so on. View recently viewed files, whether they are files you created or uploaded
or files other people have shared with you. You can select the filename to view more details, view comments, and see different versions. Chatting with contacts You can use the integrated Chat window to send instant messages to contacts. By default, the Chat window is minimized and appears in the bottom right corner of your screen. When your Chat window is maximized, you can view your contacts to see who is available to chat. You can also add contacts from the Chat window. You can then start a chat session with some of your contacts.
Select this button to add contacts. View contact availability status. Chat with contacts. Select this button to start a WebEx meeting from your chat session. You can also set your own availability status, so other contacts know whether you are available to chat. Managing contacts Your Contacts page allows you to add, import, and manage contacts.
Select this button to add new WebEx Contacts Select this button to import contacts from Microsoft Outlook or to import a commaseparated values file (.csv) from another application. If you have an Enterprise Full account, you can select this tab to view the contacts in your corporate directory. This contact list is managed by your administrator. Select this tab to view the contacts that you have chosen to add to your WebEx contacts. Select this tab to view contacts you have imported from other services. You can select options for these contacts to add them to your My WebEx contacts list. Within the My WebEx Contact list, you can see three groups of contacts: Contacts: People who have accepted your request to add them to your WebEx contacts. Response Pending: People you want to add to your WebEx contacts but who have not yet responded to your request. You can still chat and meet with people on this list. Observers: People who have added you to their WebEx contacts, but you have not added them to your WebEx contacts.
Select the menu next to the contact name to see available options for communicating with that contact. You can start an instant meeting with the contact, schedule a meeting with the contact, or chat with the contact. If you want to see if a contact is currently available, you can check to see if a green indicator appears by that contact's name. Setting preferences You can set preferences that simplify your Cisco WebEx experience. You can set preferences by going to your Account menu in the top left-hand corner of your WebEx page and selecting Preferences. Your Preferences page allows you to set preferences in five categories: General preferences: These are general account preferences, such as your email address and password, your time zone, region, and language. Meeting preferences: These are default options to use when you schedule meetings or start meetings instantly. They include meeting reminder options, recording options, audio options, and options for allowing someone to schedule meetings on your behalf. Chat preferences: These are options that affect your use of the instant messaging, or Chat feature. You can block specific users from seeing your presence and status and chatting with you. You can set default options for how you will handle requests to add people to your WebEx contacts. You can also set sound options for chat. Update preferences: You can specify options for how updates appear on your Home page, such as the number of updates, whether profile photos are included, and whether new comments are visible or hidden. Profile preferences: You can determine which categories of people are allowed to see your profile.
