The USTO Tracking Report helps you identify who has completed Underground Storage Tank Operating training. Records that appear in this report have been added to the Iowa UST Operator Training Data Management System by designated company employees or by individuals completing the training provided by this data management system. Accuracy of training history and employee information added to the data management system is the responsibility of the company the employee works for. Overview Select the USTO Tracking Report from the Manager Menu. By opening the USTO Tracking Report, you will be able to see your company training records that have been entered into the data management system. The USTO Tracking Report contains the following columns: Company: Company name Learner Name: Employee name Environmental Health and Safety, Iowa State University Page 2
Operator Class: Operator Class of employee (Class A, Class B, Class C). Course Title: The name of the training course completed. Status Date: The date the training course was completed on. Status: Whether the course was completed or not. Finished is the most common status, however for courses taken that are hosted by the data management system, Enrolled my also appear in the Status column. Site Registration No: The UST Site Registration Number the employee completed training for. Training Company: The name of the company that provided the training. Trainer Name: The name of the trainer. Action: History Detail Icon: This icon is the green circle. Selecting this icon opens the training record detail window. USTO Tracking Report Menu Bar Functions The USTO Tracking Report menu bar allows you to identify information in the USTO Tracking Report by use of filters to create custom reports. You may also print reports and export reports to Excel. The following list explains what each menu icon does. Add a Report You may create your own reports by using the Add Filter and Edit Filter menu items. These instructions will help you create a report, customized to your information needs. Select the Add Filter icon. This will open the window that will allow you to enter information on which the USTO Report function will sort data on to create the report. Select the pull-down menu under Column. Choose which item you would like to create a report on. Environmental Health and Safety, Iowa State University Page 5
Note: This list contains items that appear as column headings. Not all of these headings appear in the USTO Report. These items listed may be most useful to you. Company: Company name Last Name, First Name: Employee name Operator Class: Operator Class of employee (Class A, Class B, Class C). Course Title: The name of the training course completed. Status Date: The date the training course was completed on. History Status: Whether the course was completed or not. Finished is the most common history status, however for courses taken that are hosted by the data management system, Enrolled, Cancelled, In Progress and No Show may also appear in the Status column. Site Registration No: The UST Site Registration Number the employee completed training for. Training Company: The name of the company that provided the training. Trainer Name: The name of the trainer that instructed the training course. For this example, Site Registration No was chosen for Column. You many choose another item to sort on for Column in the box with a pull-down menu. Environmental Health and Safety, Iowa State University Page 6
For each item chosen in Column you must choose an operator from the from the Operator pull-down menu. The operators listed in this pull down menu work the same as mathematical functions. For this example Starts With was chosen for the Operator. Now you need to enter a value into the Value Field for the data management system to sort on. For this example 000 was entered. So, this example is creating a report to identify site registration numbers that start with 000. Here is another example of a report filter. Environmental Health and Safety, Iowa State University Page 8
If you wanted to create a report that would identify all the Class C Operators that have taken training between March 1, 2012 and May 4, 2012, for a specific UST Site Registration Number, 000012345, your report filter would look like this one shown here. Once you have entered information into the Column, Operator and Value fields, you may want to sort the fields that will be generated in the report. To do this, choose an item from the Data Item pull-down menu and then choose Ascending or Descending for the order in which the data will be sorted. The data item you choose to sort on should be one of the column headings you see in the USTO Tracking Report. At this point, you may enter another Data Item to sort on. You may want to save your report to use at a later time. To save your report, enter a name for the report in the Name field and then select Save. Once you select Save, the report created will be displayed. This is what the report will look like. The name of the report appears as part of the pull-down menu in the menu bar. Edit an Existing Report Choose the report you would like to edit from the Report pull-down menu. Then select the Edit Filter Icon. At this point you may change or add an item in Column, Operator, Value and Data Item fields. You may also give the report a different name before selecting Save. Note: If you make changes to the report and select Save without renaming it, the changes will override the previous report setup. Environmental Health and Safety, Iowa State University Page 12
You may also delete a filter by checking the Delete box for any filter you wish to remove from the report. You may also delete the entire report by selecting Delete Filter. Search within a Report Use the Search bar to search for a specific record in the report displayed. Enter your search information into the bar and select Go. The information entered can be a string of letters or numbers. For this example XYZ was entered into the Search field. Each record that contains the information will be displayed. Select Reset to remove the search criteria and display the entire report. Sort Report Data by Columns You may sort the report information by any column that is underlined. Select an underlined column heading. In this example, Site Registration No was selected. Clicking once sorted the data by Site Registration No in the ascending order. Selecting Site Registration No again sorts the data in the descending order. Print or Export Report to Excel You may print a report or export a report to Excel by selecting the Print Icon or by selecting the Export to Excel Icon. Environmental Health and Safety, Iowa State University Page 15
