Sold Items Sold Items is the dashboard for all your sold items and orders. Payment details, shipping details and customer details are all available from this page, allowing you to monitor, track, update, adjust and finalize all your post sale tasks from one convenient location. Customize View Options By clicking on the gear button, you can customize this section to include only fields you will use on your Orders page. This allows you to create your own custom view of your sales and sales status. Vendio Merchan ts Guide Sold Items Page 3
Each selected item will be displayed in the grid view when you select Remember My Settings and select the OK button. View options include the following fields: Buyer Email The buyer email is the email address that your buyer used when purchasing your item. Order Total The order total is the calculated total of all charges, including shipping, handling, taxes, insurance and any coupon discounts redeemed by the buyer. Payment Method The payment method displays the payment method that the buyer selected when completing your shopping cart. Status Status displays the current status of the orders: Buyer Notified Buyer has received notification. Checkout Visited The buyer has visited, but not completed your checkout. Paid Items paid with PayPal and credit card payments. Vendio Merchan ts Guide Sold Items Page 4
Payment Received Payment made through Amazon payments or checks/money orders that have been entered by the seller. Shipped The seller has marked the items shipped. ebay Checkout Completed The buyer has completed the ebay checkout. Checkout Completed The buyer has completed checkout. Coupon View/send any discount coupons. To automate coupons go to Preferences > Orders. To create coupons you can send individually go to Promotions > Coupons. Shipping Date The shipping date denotes the date you marked the item shipped. Payment Date The payment date denotes the date the payment was automatically received (PayPal) or when you marked the payment received. Payment Cleared Date The payment cleared date is used for PayPal payments by echeck. This date is populated from your PayPal account. Email Last Sent Date This denotes your last customer contact using Vendio Orders emails. These can be customized under Preferences > Orders to be automated, or they can be sent manually from this page. Shipping Methods This denotes the shipping method the buyer selected when completing their shopping cart. Notes The Notes section includes notes from both sellers and buyers. Seller notes are created on the Order Details screen. Buyer notes are added by the buyer at checkout. Remember My Settings Selecting Remember My Settings will save your View Option selections and populate those selections into the grid view (which can be further customized). Filters Filters are a quick way to view the current status of items by clicking on the links provided. For example, you can quickly see at a glance items that need to be shipped by clicking on Needing Shipment. Vendio Merchan ts Guide Sold Items Page 5
All The All filter will display all of your open orders. Needing Checkout The Needing Checkout filter will display all your orders where the buyer has not completed checkout. Needing Payment The Needing Payment filter will display any order where payment has not been received. Needing Shipment The Needing Shipment filter will display orders that need shipment. Needing to Clear Payment The Needing to Clear Payment filter will display PayPal items which have not cleared. Needing Acceptance The Needing Acceptance filter displays items that have not passed the return policy stated time limit on returns and/or both parties have not left feedback (on marketplaces that have feedback). Cancelled The Cancelled filter will display orders that have been cancelled. Search To search for an item or items, first select an item from the Search on drop-down. For example: If you wanted to view your ebay orders that were paid with PayPal. In the Search on drop-down, select Sold Through and select ebay. This will display all your ebay sold items. Then select add another search parameter. In the Search on drop-down, select Payment and select PayPal. This will now show all ebay items paid with PayPal. Sold Items Sold items are displayed in a spreadsheet-like grid. From the Sold Items page, you can send emails, change the status of the order, combine, and export, print or cancel the order. Customize Once you have customized the Sold Items page by selecting your view options, you can adjust the column width by holding your mouse pointer between columns and dragging Vendio Merchan ts Guide Sold Items Page 8
to set your column width. To change the order of the columns, click on the column header and drag it to the desired position. Email Pre-created emails can be sent from the grid view by selecting the item (or items for sending multiple emails), clicking on the Email button and then selecting the email to send. Emails are customized under preferences, and it is not necessary to send any emails that you have selected to be sent automatically. Feedback Request Mark As Mark As allows you to change the status of an order. Most of these are automated with Vendio checkout and the below options are for cases where you will manually need to update the status of an order. Payment Received Mark As Payment Received would be used in cases where you want to manually change the status to Paid. This would be used in cases (such as a check) that are not automated through Vendio. Payment Received/Order Shipped Mark As Payment Received/Order Shipped would be used when you are marking an item as having a payment received and that you have shipped the item. This would be used in cases such as a check payment where you are receiving the check and sending the order out without holding the check. Payment Cleared Payment Cleared would be used where you have received a check and have marked the item as Payment Received and you want to change the status to Payment Cleared. Shipped Mark an item as shipped to change the status of an item from Not Shipped to Shipped. When marking an ebay item shipped, it updates the buyers My ebay page to reflect that the item has been shipped. Print The Print button sends your selections to your printer. Sizes for your invoices and labels can be set under Preferences > Orders > Invoices & Labels. Vendio Merchan ts Guide Sold Items Page 10
Invoices/Packing Slips Invoices/Packing slips will print an invoice that can be used as an invoice or as a picking ticket. You may opt to have notes that you have added to the Order Details section appear on your invoice/packing slips. To print an invoice/packing slip, select the item (or items for multiple orders) and select the Print button. Choose either invoices or labels to print. Postage/Shipping Labels Shipping labels can be printed from your Sold Items page or from inside the order details. To print a shipping label, select the item (or items for multiple orders) and select the Print button. Choose either invoices or labels to print. Order Details Each order contains additional details. To view details at a glance, select the plus (+) sign next to the order. To view in great detail, click on the order number to view order info, items in this order, payment, shipment, and feedback information. Order Info Order info contains general information about the order, including any seller or buyer notes, the status and from which seller account the order originated. Status Status displays the current status of your order. Buyer Buyer displays the email address of your buyer, which can be edited. Additionally, you can view the Buyer Checkout Details and Customer History. Buyer Note Buyer notes are instructions or notes from your buyers to you that they add during their checkout process. Seller Account Seller Account displays the account from which the item(s) sold. Seller Note Seller notes about the transaction can be added here. Checking the box Show on Invoice will display any notes on the invoice. Cancel Order Cancel Order allows you to cancel the order from the Order Info page. Cancelling an order changes the order status to cancelled. Cancelling ebay sales will trigger the NPB (non-paying bidder) process when the item being cancelled is an ebay sale. Run Smart Trace Run Smart Trace displays the complete history of the order, such as when the buyer visited your checkout and all automated and seller calculations related to the order. Add New Items to this Order Occasionally you will have a buyer who calls or emails wanting to add additional items to their order. Selecting Add New Item to this Order will allow you to add additional items to the order. Vendio Merchan ts Guide Sold Items Page 12
When you add an item, it will remove it from inventory and you can then send an updated invoice. Separate Item In some cases, such as when all items will not fit in one box, you may wish to separate orders. Select the order, and select the items to separate. Mark As Returned When an item is returned, you will want to select Mark As Returned. Save Changes Selecting Save Changes will save any changes you have made while editing the items in this order. Undo Changes Selecting Undo Changes will undo any changes you have made since you last saved. Payment The payment section of the order details contains the dates, messages, payment methods, billing address and calculations related to your order. Payment Checklist The Payment Checklist provides the payment and clearance dates, which are automatically checked and dated when the orders are updated. Payment Messages Payment Messages keeps track of all automated and manual emails sent through the Vendio system. emails that have not yet been sent out. Typically, most emails are either automated or sent from the Sold Items grid view and are tracked for you in the Order Details. Payment Method The Payment Method is the payment information about the item. When a buyer has not paid, all available payment methods are available in the dropdown. Once a payment is made, the method will be displayed. Clicking on the Details link will display additional payment information. Discount Coupon When a buyer has used one of your discount coupons, the coupon number will be displayed. Billing Address The billing address will be displayed here. The information is typically used by buyers when paying with credit card through Authorize.net and other credit card processors. Total Price Calculation The Total Price Calculation displays all the items used in calculating a total price for your buyer. On occasion, you may wish to edit the totals. Select edit, make any applicable changes, and then select save. Shipment The Shipment section of the order details contains the dates, messages, shipping messages and shipping calculators for the order. Vendio Merchan ts Guide Sold Items Page 14
Shipment Checklist The Shipment Checklist provides the date you received the buyer s address and the date you marked the item as shipped. Shipment Messages and Tasks Shipment Messages and Tasks keeps track of all automated and manual emails sent through the Vendio system. In addition, you can edit and send any of the emails that have not yet been sent out. Typically, most emails are either automated or sent from the Sold Items grid view, and are tracked for you in the Order Details. Shipping Address The Shipping Address will be displayed here. Shipping Calculators Occasionally you may wish to check the different rates by the carriers your offer. Shipping Calculators will reflect your selected shipping options. Feedback The Feedback Notice section of Order Details displays the date when you sent a feedback reminder. Vendio Merchan ts Guide Sold Items Page 15
Feedback Notice The Feedback Notice displays the date a feedback notice was sent. Typically, a feedback notice is sent from the Items grid view and is tracked for you in the Order Details. Export File Vendio offers you the ability to export selected orders using.csv/excel files. To export, select the items, and click on the Export button. Combine Orders Occasionally you may have an order you wish to combine. Typically, these are orders that occur outside your set shopping cart duration. Select the orders to combine and select the Combine Orders button. To view the shopping cart duration you have set, go to Preferences > Orders. Cancel Orders Cancelling an order returns your item to inventory and begins the process of filing a NPB (non-paying bidder) alert for ebay items.
