Who is this manual for? The purpose of this manual is to help any user who has their e-mail currently hosted with RLComputing get acquainted with the setup, configuration and options available to them. Any user who currently has their e-mail hosted with RLComputing has the option to check their e-mail from the internet using webmail, an e-mail client, such as Microsoft Outlook or on their smart phone, such as blackberry and I-phones. NOTE: For the purpose of the manual we will use a generic address of yourdomain.com. While you are setting up your e-mail configuration be sure to replace the yourdomain.com with your actual web site address. Eg. Yourdomain.com will be rlcomputing.com 2

Chapter 1 Logging into your Webmail Account All users have the ability to check their e-mail from any device connected to the internet. You can use an internet browser to check your e-mail using webmail. Open up your preferred web browser and go to mail.yourdomain.com. Be sure to replace yourdomain.com with your actual domain name. Enter your full e-mail address and password. Then hit the login button. 4
On the next screen, you will be prompted to enter your time zone and country. You can leave the Postal Code field blank. Please select your time zone and hit the Next button on the lower right hand side of the window. The next window will open the synchronization center. This is will give you options to sync your email account with your smartphone. If you do not wish to see the synchronization center window at every login, uncheck the show at login checkbox in the bottom left hand corner of the window. 5
You will now see your inbox. To create a new e-mail message select the New drop down menu from the top menu and select Message. A new window will open where you can then compose your message. 6
Calendar To view/edit your calendar, select the Calendar button from the side menu bar. Once you have clicked on the calendar button, the main window will change to the calendar. To add a new Appointment, select the New drop down menu from the top and select Appointment from the list. 7
A new window will open where you can enter the Calendar even details. After you have enter all the details, hit the Save button in the upper left hand corner of the window. 8
You also have the option to view your calendar by day, week or month. To do so select your preferred viewing option from the menu towards to the top of the calendar window. 9
Contacts To view all your contacts, select the Contacts from the side menu. Be sure to select the My Contacts icon from the side menu. To add a new contact, select Contact from the New drop down menu at the top of the My Contacts window. 10
A new window will open where you can enter the details for the new contact. Once you have entered all desired details, hit the Save button in the upper left hand corner for the new contact window. 11
Change Password To change your password, select the Settings button from the top menu, then select the Account Settings option from the My Settings menu. You then have to enter your current Password in the current password field as well as enter your new password in both the new password field and the confirm password field. *** This should be the first thing you do after receiving your email account. 12
Logout To logout of webmail, simply shit the Logout link in the upper right hand corner of the window. 13
Adding a Signature to Your Account To setup a default signature on all your emails, select the Settings menu from the main side menu bar, then select the Signatures option from the My Settings menu. To begin setting up a new signature, select the New button from the signature menu window. 14
A new window will open where you can enter the details of your signature. Be sure to give it a customer name in the Name field at the top of the new signature menu. When you are done entering your email signature, hit the Save button at the bottom right hand corner of the window. 15
Chapter 2 Configuring your E-mail Client Many users choose to check their e-mail from a client such as Microsoft Outlook, Mozilla Thunderbird and many others. RLComputing recommends setting up your e-mail as an IMAP client. By doing so, your e-mail is saved on the e-mail server instead of being delivered and saved on your personal computer. It will also allow you to check your e-mail from Outlook, webmail and your phone and you will see everything (all mail, contacts, calendar, etc). The other option available is to setup your e-mail client as a POP3 account. When setting up your e-mail client with the POP3 protocol, your e-mail will be delivered to your computer, instead of being delivered and saved on the e-mail server. When you log into webmail there will be no past email. Setting up Microsoft Outlook 2007 with an IMAP account For the purpose of this manual, we will setup a generic account. Please be sure to change all applicable fields with your information. 1. On the computer you wish to setup your e-mail client, open Outlook. Then go to the Tools Menu and choose Account Settings. 2. The Account Settings window will open. Select the New button from the upper left hand corner. 16
3. On the Add New E-Mail Account Window, select the Manually configure server settings or additional server types checkbox from the bottom left hand corner. 4. On the next Window, select the Internet E-Mail option. 17
5. On the Internet E-Mail Settings window, select IMAP from the Account Type drop down menu. 6. The next window will require you to enter your e-mail account information. For the purpose of this manual we have entered generic information. Under the User Information section the your name field should be your full name or the name you wish to appear on all e-mails you send. The e-mail address field should be your full e-mail address. Your e-mail address is usually the first letter of your first name and your full last name, followed by the @yourdomain.com. Be sure to replace your actual domain with the yourdomain.com name. Under the server information field, be sure the account type is set to IMAP. The incoming and outgoing mail servers are mail.yourdomain.com. Be sure to replace your actual domain name with the.yourdomain.com. **** If you are using VERIZON as your Internet Provider you must use outgoing.verizon.net for the outgoing mail server but the incoming stays mail.yourdomainname.com. The last section contains the logon information for your e-mail. Your user name will be your full e-mail address. Your password is the password that you have previously setup for your e-mail account. 18
7. Click More Settings in the lower right corner. 19
8. On the Internet Email Settings window, select the Outgoing Server tab from the top menu. Then select the My Outgoing server (SMTP) requires authentication checkbox. Leave the Use same settings as my incoming mail server button selected. Click the OK button to close the window. 20
9. Click Finish. The next window will show the newly setup e-mail address. You may also see other e-mail addresses entered if you have others addresses configured in your Outlook. 10. Click Close. 11. You will now see the new e-mail account on the left hand side under the Mail Folders section. 21
12. If you wish to have Outlook automatically open up to your new inbox, follow steps 12 1. Go to the Tools -> Options menu. 22
13. The Options window will open. Select the Other tab from the top of the menu. Then select the Advanced Options button. 14. The Advanced Options window will now open. Select the Browse button. 23
15. From the Select Folder window, select the Inbox folder under the e-mail address you have just setup. Click the OK button and close out of any open windows. Microsoft Outlook will now automatically open the newly created inbox when the program is first started. 24
Permanently Deleting IMAP Items in Outlook 2007 When you delete a message in your IMAP inbox, it isn t removed. Instead, it is displayed using strikethrough test. IMAP folders require purging for the permanent removal of deleted items. To setup Outlook to purge deleted items when switching folders highlight your inbox folder. Select Edit from the top menu, then Purge -> Purge Options. On Internet E-Mail Settings window, select the Purge items when switching folders while online option from the General Tab. Click the Ok button to save the settings and close the window. 25
Items that now have a strikethrough and are marked for deletion will permanently be deleted from the e-mail server when you switch folders. 26
Setting up Microsoft Outlook 2007 with a POP3 Account To setup your Microsoft Outlook with a POP3 account, simply follow steps 1-10 from above. However on Step 7 of Setting up Microsoft Outlook 2007 with an IMAP Account be sure to select POP3 from the Account Type drop down menu. 27
Setting up Outlook 2003 with an IMAP Account 1. Open up your Outlook 2003, the Outlook 2003 Startup wizard should appear. Click the Next button. 2. On the next window, select the Next button to setup your e-mail account. 28
3. On the Server Type window, select IMAP as your server type. 4. The next window will require you to enter your e-mail account information. For the purpose of this manual we have entered generic information. Under the User Information section the your name field should be your full name or the name you wish to appear on all e-mails you send. The e-mail address field should be your full e-mail address. Your e-mail address is usually the first letter of your first name and your full last name, followed by the @example.com. Be sure to replace your actual domain with the example.com name. Under the server information field, be sure the account type is set to IMAP. The incoming and outgoing mail servers normally contain the same server name. The server name is normally mail.example.com for both fields. In certain occasions it may be webmail.example.com. RLComputing will send you the correct server name when your e-mail account has been created. Be sure to replace your actual domain name with the.yourdomain.com. The last section contains the logon information for your e-mail. Your user name will be your full e-mail address. Your password is the password that you have previously setup for your e-mail account. 5. Once all your user information has been entered, select the More Settings button. See the screen shot above. This will open a new window. Select the Outgoing Server tab from the top menu. On the Outgoing Server tab select the My outgoing server (SMTP) requires authentication and leave the Use same settings as my incoming mail server selected. Select the Ok button to save your settings. 30
6. On the e-mail accounts window, select the Next button from the bottom right hand side. 7. You should now see the Congratulations window. Your IMAP e-mail account has been setup and is ready to be used with Outlook 2003. 31
Setting up Outlook 2003 with a POP3 Account 1. To setup your Outlook 2003 client with a POP3 Account follow steps 2.5.1 2.5.7 of this manual. However, at step 2.5.3 select POP3 as the mail server type. 32
Chapter 3 Setting up your i-phone or Smartphone Your email can be viewed on any phone with a data plan. This includes i-phones, Smartphones and BlackBerries. Each phone has a different way to set up your email. Please refer back to the user guide for your phone for exact instructions. The information you will need to enter is below.
