Reference Services Division Presents Microsoft Word 2 Welcome to Word 2. This handout includes step-by-step instructions for each of the tasks we will be covering in class. Changes to Word 2007 There are a significant number of changes in Word 2007; listed below are the most relevant. For a detailed list, go to http://technet.microsoft.com/en-us/library/cc179199.aspx New features New XML file format (.DOCX) means that older versions of Word, such as Word 2003, cannot open the new file format (unless you install a plug-in) New user interface, graphics, and formatting capabilities New Office Button to get to file menu options Ability to preview most formatting changes High quality clip art images and image formatting features New security features such as Mark as Final to lock a document to prevent further changes Deleted features Wizards have been removed, replaced with templates in Office Online Fonts, Text and Format themes have been removed Mergeable address lists and Microsoft Script Editor
Basic Tasks Review New navigation: the Office 2007 Ribbon Start a New Blank Document Select New The default selection should be Blank Document Click on the Create button Fonts Customize the font type, size, color, and more Important: To format an existing text, first highlight the text to be formatted before making the desired changes. Paragraph options Bulleted or numbered lists Alignment Line spacing Viewing the Page Print Layout Full Screen Reading Drag to zoom or click on the -/+ buttons Office Online Templates Microsoft Office Templates offer a wide variety of preset designs for Word, Excel, PowerPoint, Publisher, and more. Select New On the left Templates menu, select a Template type Click on the template to preview Click on the Download button to download it Page Layout Page Setup Margins adjust width & height Orientation portrait or landscape Size dimensions of printed page Columns add columns Page Background Add a Watermark Change the Page Color Add a Page Border Paragraph Increase or decrease indents Add space before/after paragraphs 2
Arrange Arrange objects such as images, tables or text boxes. Arrange does not apply to normal text or paragraphs on the page. Position sets the object s justification (right, left, center) and text wrapping Bring to Front overlaps above text or other objects Send to Back sets object behind text or other objects Text Wrapping wraps text around an object, in line or in front of text, etc. Align aligns an object (right, left, middle, top, bottom, etc.) Group groups selected objects together, or ungroups a group Clip art and Images Select Clip Art On the Clip Art task pane: Type a search term into the search box Select the media file types to search Click on Go The results of the search should appear as shown (see left) To insert an image, simply click once on the desired image 3
Headers and Footers Select Header or Footer Select one of the built-in designs Type in the desired text Click the Escape (Esc) key to finish Page Numbering Select Page Numbering Select one of the options Format Page Numbers gives you additional options to format the numbering style, add chapter numbers and more. Text Boxes Select Text Box Choose one of the built-in text box designs OR Click on Draw Text Box Click in the document and hold down the mouse button While holding the mouse button down, move the mouse to size the text box Release the mouse button to finish 4
Saving a File For the first time: Select Save As In the Save As window, select the location to save the file; for example, Desktop Name the file Select the file type (optional) Click on Save Saving changes to an existing file: Click Save OR Click on the disk icon Printing a Document Click on Print Note: If you click on the arrow icon next to Print, you will see a sub-menu with more options. 5
