There is, however, a minimum specification that needs to be met in order for the system to function correctly. Most computers running Windows XP will be able to open SPARRA Online however you may have to alter some of your Internet Explorer settings. If you have any questions about the compatibility of your PC or the Internet Explorer setting required, please email our helpline on NSS.isdSHIS@nhs.net and we can send you a list of PC requirements. Logging On 1. To access SPARRA Online, open Internet Explorer and type the following URL into the address bar: https://www.bo.scot.nhs.uk/boe/bi 2. Enter your username and password and ensure that the Authentication is set to LDAP. Please ensure that your username and password are kept secure and are for your own personal use only. Figure 1 1. Once you have logged in, Web Intelligence will launch and you will see a screen with your recently viewed and recently run documents. To navigate to the SPARRA standard reports firstly click on Document Tab then: Expand Folders by clicking on the tab on the bottom left Expand Public Folders by clicking on the Expand Scotland by clicking on the Expand NHS by clicking on the Expand SPARRA by clicking on the Page 4 of 17

2. Now select the Standard Reports folder within SPARRA. Figure 4 Click on Standard Reports 3. You will now see the contents of the Standard Reports folder in the Workspace Panel, as shown below. Figure 5 Contents of the Standard Reports folder Page 6 of 17

Running a Report 1. The 3 reports of interest are: a. CSV Report for Boards (for Healthboards who disseminate lists). b. CSV Report for CHPs. c. QOF QP006 (for GP practices to run their lists). 2. In this example we will run the QOF QP006, but the same steps and procedures are used to run any report. 3. The first step is to Open the report. To do this, double-click on the document name, in this example, QOF QP006. Figure 6 Double Click on QOF QP006 to open the document 4. When the document opens (please note that this may take a few moments) a dialogue box will appear which contains a number of prompts. These prompts allow you to filter on the patients in your GP practice and set an upper limit for the SPARRA score (the lower limit is set to 20% by default). The options are (for the 3 reports above): 5 digit GP Practice code GPs enter their practice number. (QOF QP006 only) Maximum Risk Score This allows you to select an upper risk score for the patients you want to look at. Note that SPARRA Online contains details of patients with a risk score of 20% or higher (QOF QP006 only). CHP If you are a NHS Board user you can select patients from any CHP in your NHS Board area (CSV Report for CHPs only). HB This allows you to select patients from a particular Healthboard (CSV Report for Boards only). Page 7 of 17

5. So to search for patients in practice 12097 (use your own practice code) with a maximum risk score of 60: Figure 7 Enter 12097 in the search line and click on the binocular icon. Enter practice code & click on icon Click on the practice code then on the right arrow to enter the code Figure 8 Click on practice code then on right arrow to select GP practice. You can now click OK to run query and return your patient list. If you want to change the maximum risk score default from 60 follow the steps below Page 8 of 17

Click on SPARRA risk score prompt, enter the new upper limit in the box and click the right arrow to replace the default Click OK to run query Figure 9 Enter max risk score Click OK You will only see details of patients for the area you have access to in the report Please note: It is not possible to run the report until you have entered your GP practice code (you will notice that the OK button is not activated when you first open the report). A red arrow to the left of a prompt indicates that values have still to be selected for this prompt - this will change to a green tick once the values have been selected. You may have to click on the Refresh Values symbol in order to display a full list of values available for a prompt. Note that the CHP and GP practice prompts will display a list of all CHPs/GP practices in Scotland; however you will only be able to see data for the NHS Board/CHP/GP practice you have access to. You can double click on values to select or deselect them instead of using the forward and backward arrow icons. 6. The report runs (this may take a couple of minutes) and opens on the Patient List Page. To view the data, please click on the relevant report tab. The report contains the following tabs: General Notes provides general notes on the data and a description of the contents of each report tab. Patient List contains the patient s SPARRA risk score, provides demographic information, and highlights Long-term Conditions (LTCs) as well as providing information around emergency admissions and additional clinical information. Notes on Data Fields provides notes on the specific data items contained in each report. Saving a Report 1. There are two Save options, both of which are described here. 2. The first is saving the report within Business Objects. a. First click the arrow in the Save icon and choose Save as. Figure 10 1. Click on the down arrow 2. Click on Save as Page 10 of 17

b. The Save Document window opens. By default the document retains the same name. You can change or amend the title, description and keywords to suit your own needs. Figure 11 Click in the filename and rename if required c. Next, select a folder into which you want to save the document. Note that it must be in the Favourites Folders area as you do not have permission to save to Public Folders. Favourites Folders is your own storage area. In this example we will create a new folder in the Favourites folder to save it to. Figure 12 Page 11 of 17

1. Click on Favourites Folder to expand 2. Click to create new folder, name and click ok. Then select that folder d. To complete the save, click Save. 3. The second option for saving is to save the results to Microsoft Excel, PDF (Adobe Reader), or.csv. In this example we will save it as an Excel File. a. First click on the arrow next to the Export Icon, then Export Document As, then on Excel (the filetype is dependent on your version of Excel). Figure 13 1. Click down arrow next to export icon 2. Choose export document as 3. Click on Excel (choose correct version based upon your version of excel) b. The File Download window appears click on the Save option (to save to your download area) or the arrow next to Save to choose Save As (to choose your own location or Open option. Page 12 of 17

Figure 14 Click on arrow, choose Save As c. The Save As window appears amend the file name as required and select the location to save it to. Once you have made these selections, click on Save. Figure 15 Click on Save d. You can now use this file like any other Microsoft Excel file. NB: Please note that when clicking on the Export Icon you can choose Export Document As (above example) to choose the entire document or you can select Export Current Report As to only export the actual tab you are on. So if you only need the patient list select that tab and run export current report as. Page 13 of 17

Printing a Report 1. The first step is to click on the printer icon. Figure 16 Click on the Printer icon Then click on Open Page 14 of 17

2. Adobe Reader Opens click on the printer icon on the Adobe Reader toolbar. Figure 17 Click on the Printer icon 4. The Print Window opens you now make your selections and print the document in the normal way. Figure 18 Click on OK Page 15 of 17

Closing the Report and Logging Off 1. To close the report, click on the red or black cross on the tab. Then click on the Log Off button Figure 19 Click on the Dark Blue Cross to close the document Click on the Log Out button to securely Log Off 3. NB: Please note that when you initially open the report you can pin it to your view. This automatically means the report is open when you log into SPARRA online. You just have to select the tab.
