2: Open your laptop and press the power on button. A variety of screens may appear. This one is typical.. Move the cursor to the bottom left corner of the screen and left click. This screen asking you to sign on with your computer password. A series of dots appear whilst you are typing. To check that you have the entered the password correctly, place the cursor over the eyebrow icon and left click. This will display what you have typed. If correct, left click on the arrow pointing to the right.

4: Gmail is accessed through a Google page. You need to open the google search page. If you do not have a short cut symbol to open google on your front page search for google program, by either; Left click on the windows icon at the bottom left of the screen, which will open up a sub screen display of all the programs which have been preloaded on to your laptop. If you cannot find google icon program in the list, use the search option see next page.

5: Search for the google search program by left clicking on symbol in the bottom left corner of the screen, and type in the word google in the small panel. This should display the list of associated links. Left Click on Google, higher up the panel. A Google search page will be displayed. Left click on the Blue heading Google.

6: This is the google search page which can be used for many kinds of information searches. I personally prefer this to Google Chrome, because Google chrome also displays a range of commercial vending sites which can be confusing, Type in Gmail in the middle panel A Google Gmail signing in page will appear. If you do not have a Gmail set up, you need to click on CREATE AN ACCOUNT and follow the instructions. Don t forget to write down your Gmail account details (name of the address you have created and your entry password) If you already have an account

7: click on SIGN IN Enter the address of your Gmail account. eg. johnsmith@gmail.com Click on NEXT This screen will appear displaying your email address. Click on NEXT

9: Inbox Your email account will be shown, displaying your inbox and list of emails received. In the partially obscured list on the left, any email that has not been read by you will be displayed on bold type. All the ones shown here have been opened. The list on the right shows the first line of the email message. To open an email left click on senders name in the left column. Reply to email This screen displays the full email message. To reply to a received email, click on the curved arrow pointing to the left

10: A new panel for your reply is displayed. The return recipient s name is automatically displayed. Type your message and left click on the SEND button. New Email To create a new email, click on COMPOSE. A new panel will be displayed for you to create your email.

11: This email is to be sent to Alan When you type in the name of the recipient, if that name is already in your list of contacts the name will appear in the To box as you type it. More on creating a contact list later. This is email is also sending a courtesy copy (Cc) to John. To create a Cc copy move your cursor to the right hand end of the To panel and the initials Cc and Bcc will appear. Click on the Cc image and type in the name of the Cc recipient. To send a Blind Courtesy copy Bcc to Bates move your cursor to right of the panel to click on Bcc, and type in the recipients address. Create a title heading and type your message. Left click on Send

12: This is the email received in Alan s in box. The email to me has not been opened so it is shown in bold. Clicking on me will open the contents of the email The contents of the email is open. To reply to an email click on reply

13: And type your message. Click on send Delete email To Delete email from your inbox, highlight the email and click on the dustbin icon. A quicker way to delete several emails in one action is to, click on the boxes at the left hand end of each email. This will place a tick in the box. Left clicking on the dustbin will delete all the emails marked with a tick.

14: Optional sub menus Several icons displayed at the top of the page for different editing functions. All optional; and not all used by some people. Left clicking on the triangle displays a sub menu. Clicking on any of these options will be applied to any email highlighted. The words displayed indicate whether your highlighting will be applied or not. Experiment. These are sub functions available Archive an email Report spam Confine selected emails to the dustbin Move an email to a categorized group Add identifying labels to an email This list offers the application of identities to emails

15: The move to sub menu option offers a sub system of categorized filing of emails. and more options for itemizing emails

16: Creating Contacts Clicking on the matrix block at the top of the email page heading opens links to several options available on the web. In the bottom section of the list is a contacts icon. Click on the contacts icon to display the next screen. NB. If you get no response on clicking, wait; your internet connection may be slow or busy. This screen displays a list of existing contacts. If you are using this for the first time the display will be empty.

17: Click on the icon, which will open a sub panel. Complete the information. The name and email address is the basic requirements. Complete the appropriate boxes and click SAVE

18: The new Sample contact is now saved and will appear in the list of contacts. The icons displayed on the right are for Marking as a starred address Editing the contact details Opening more options Closing the entry editing mode

19: Group Emails To Create an email group heading so that you can send an email to a group of contacts; Left click on the 3 horizontal bars. This will display your list of contacts (if you have any) and it will also display a second tab at the top of the page, alongside the existing one for your Gmail inbox. This enables to you click and select either of the two screens whilst you are working on your contact list.

20: The list of contacts panel appears on the left of your screen. At the bottom of the list (shown here in two parts) is a label + Create label Click on + create label Type in the name of the sub group in the sub menus shown here twice, then click OK

21: If you click on the 3 horizontal bars explained previously, you will see your new group U3A Test Group is displayed. At present there on no contacts saved in the new group yet. If you click on the U3A Test group label, you will get this display, because at present there are not contacts in the new group. Click on LABEL CONTACTS

22: The software will display this instruction procedure So, click on the contacts heading Select a contact that you want to add to a group list and then click on the 3 vertical dots displayed at the right hand end of the selected contact.

23: A sub menu will be displayed. Scroll down until the required group name is displayed. Left click on the group name. A tick will be displayed. The contact is not added to group list until you click on the + symbol. Clicking on the 3 horizontal lines next to contacts will display the list of groups. Scroll down if necessary. You will notice that I have now entered 3 contacts the U3A test group Clicking on the group name will display the contacts in that group

24: This is the list of contacts in the new group. Sending Group emails When typing the address in the To box, the group name is recognised before I have completed typing the name in. Click on the grey panel to enter it as the group addresses.

25: This is the completed email ready to send. List of contacts Selecting Settings gives option for the display of your contacts.

26: You can sort your contacts by first or Last name. This does not guarantee that all your contacts will be listed by the first or last name. It depends on the format in which the address was saved and whether the software recognizes the distinction between first and last names. If you just save an email address the software will not deal with them consistently. Search for a contact address To list you contacts click on contacts, to scan down the list, place you cursor on the slider block at the right side of the screen and while continuing the hold the left key down, move the block to the required letter.
