Build trust with your clients Share files with your clients and partners in professional, branded workspaces that you control. Create your look Work together Brand your account so clients know they re sharing files in your space. In each workspace, you control what clients can do with your documents and how they can be accessed. See the latest document version, compare files and exchange comments and reviews. 2 Get started
Create your look Brand your account Your admins can customize the account to reflect your brand, including adding your logo and even a personalized URL. The branding will be shown in every workspace. Open the desktop app, click your name and select Admin Console. Go to the Account Settings tab and select Branding. Add your corporate logo, wallpaper and colors. You can also create a custom URL, which means users and clients will access your account by going to https://[yoursubdomain].workshare.com. When you apply your changes, users and clients will see the new branding immediately. Your wallpaper and colors will be reflected across the account, and your logo will be displayed at the top of every workspace. 3 i If you set up a custom URL for your account, your logo and wallpaper will also be reflected in the login screen.
Create a folder and add files Folders provide a secure workspace where you can share files with clients and work on them together. The first step is to create a folder and add files to it. Select the Folders area from the left, then click the new folder icon. Give your folder a name the client will recognize. Open the folder. When you open your new folder, it will be empty. To add files from your desktop, select the new file icon and then drag your files to upload them or choose or select files from your desktop. 4
Decide how the folder will be used You re in control of what clients can do in your workspace. To change what clients can do, click Settings. Adjust the controls and notifications as needed, then click Apply. 5 i By default, the settings will be applied to all subfolders. To change whether a subfolder inherits the same settings as its parent folder, go to the subfolder and click Settings. There will be an option called Use the same settings as the parent folder.
Share your folder with the client To invite your clients to your folder, use Workshare to create an email that will come from you. You can personalize the email before sending it. In the folder, click Share link. An email will open with a link to the folder. You can add a personal message before sending the email. When the client follows the link, they ll be added to your folder as a member. 6
What the client sees When the client follows the link in the email, they ll be brought to your space so you can work together. First, the client will be asked to enter their email address, then their password. If the client is using Workshare for the first time, after they enter their email address they ll be sent a verification email so they can create a password. As soon as they ve created a password, they ll be redirected to your workspace so they can start working with you. The client sees the same view of the workspace that you do. They can click any file to preview it. You ll receive an email notification the first time the client visits the workspace so you know they successfully accessed your content. 7 i The workspace is can also be accessed from a tablet or mobile. Work together Make comments and reviews You and your clients can view any file in the folder by clicking it. Depending on how you modified the folder settings, you can also exchange comments, download the file and new versions. Go back to a previous version and its comments or compare two versions to see what s changed. Download the file to work on it and upload the new version when it s ready. Folder members will be notified about the update. Indicate your suggestions and reviews. You can even comment right on the page. Folder members will be notified about your feedback. 8
