Create a blank presentation When you open Microsoft Powerpoint, the window on the right appears: It allows you to select one of the following options: Auto Content wizard (helps you create your presentation step by step) Template (use a specific design available in Powerpoint) Blank presentation Open an existing presentation Copyright, Provincial Service of RÉCIT in Vocational Training 5

View Modes Slide View Allows you to add text and images to a slide and view the final result. Outline View Your presentation appears as an outline, made up of titles and main text from each slide. Allow you to plan, organise or edit your presentation. Slide Sorter View Shows in miniature all the slides from the presentation. Allows you to easily delete, move or copy a slide. It also allows you to add transition effects or animate the presentation. Slide Show View Allows you to start the slide show. Choose a Slide Layout To choose a Slide Layout Choose Format from the menu bar, AutoLayout or this button Select an AutoLayout Press OK You can choose from many kinds of slide layouts (bullet list, bullet list with an image, two bullet lists side by side, chart, etc.) Copyright, Provincial Service of RÉCIT in Vocational Training 7

Add Text to a Slide Powerpoint identifies the slide areas that you can fill in by placing text in them. To write text in these areas, click in one of the areas and type the text. In accordance to the way you select the text area: The text area as lines around it. These lines appear when you click in a text area. If you want to apply a format to the text, you will have to select the text. The text area as dots around it. These dots appear when you click on the edge of the text area. You can then apply the format you want without selecting the text. With a bullet list, type the text after the first bullet, press Enter and the next bullet appears. Insert a New Slide, Apply a Design To insert a new slide Choose Insert from the menu bar or CTRL+M or this button Select New Slide Choose the slide layout Press OK To apply a design to your presentation Choose Format from the menu bar or this button Select Apply Design Choose the desired design Press OK Copyright, Provincial Service of RÉCIT in Vocational Training 9

Change the Masters Each presentation design as eight colors and one format. These elements are part of the design masters. The masters provide the structure of the slide design. It includes the slide layout, the slide format and the graphic design of the presentation. There are two kinds of masters: the Title master and the Slides master. One master is for the slides with a title layout and one is for the other slides. When you insert a new object in a master, it is automatically added to the slides associated with the selected master. To change a master: Select View from the menu bar, Master then Title Master or Slides Master Or Press the SHIFT key and click on the Slide Show View icon Select the text and apply the desired format or add an image or change the graphic aspect of the slide Close the master with the Close button. Change the Font Select Format from the menu bar then Font and this dialog box will appear: It allows you to change the font, the font style, the size, the effect and the color. You just have to select the text where you want to apply the wanted format, then open the font dialog box, choose the right options and press OK. Change a Bullet or Number List The Bullets and Numbers dialog box allows you to change the style, the size and the color of a bullet or a number list. To change a bullet or a number list: Select the bullet or number list, select Format from the menu bar, Bullets and Numbers, select the right tab, choose the wanted format and press OK. The Font button in the Bullet tab allows you to choose other fonts for the bullet. The image button in the bullet tab allows you to choose another image for the bullet. Change the Alignment and the Line Spacing Alignment Choose Format from the menu bar, then option Alignment. It allows you to choose the left, right, centered or justified alignment for a paragraph. In the Tool bar, only the left, right and centered alignment options are available. Line Spacing It allows you to change the line spacing in a paragraph or the line spacing before or after a paragraph. The Preview button allows you to see the changes without closing the dialog box. Insert Header and Footer The Header and the Footer allow you to repeat information on the top or the bottom of each slide, such as: The page number, the date or text To open the Header and Footer dialog box: Choose View from the menu bar, then Header and Footer The Applyto all button applies the modifications throughout the presentation and the Applybutton applies the modifications to the selected slide. The options available are: Date and time Allows you to insert the date and time that can be updated automatically. In the Fixed box you can insert any text. It will be put in the the left section of the footer. Slide number Allows you to print a number on each slide. Footer Allows you to insert text in the center section of the footer. Insert an Image From the Library To insert an image from the library: 1. Choose Insert from the menu bar, Picture, then Clip Art or double-click on the Picture icon when available in the text-image slide design 2. Double-click on a category 3. Click on the wanted image 4. Click on Insert Picture To insert an image from a file: 1. Chose Insert from the menu bar, Picture, then From File 2. Select the right file in the system 3. Edit an Image To Edit an image, click on the image (little white squares appear around the image) The options available are: Insert an image from file Image control Automatic (Apply the most appropriate format) Gray shade (Replace the colors of the image with gray shades) Black and white (Transform the image in black and white) Contrast Watermark (Increase the luminosity and reduce the image contrast) Increase or reduce the color intensity of the image Luminosity Add white to lighten the colors of the image or add black to darken the colors of the image Trim Alllows you to trim parts of the image Line style Allows you to add a border around the image Color an image Allows you to change the colors of the image Image format Allows you to change the image properties (colors, borders, size, position) Transparency Allows you to apply transparency to the image Restore image Restores the original format of the image Copyright, Provincial Service of RÉCIT in Vocational Training 18

Download an Image From the Internet To download an image from the Internet Go to the desired Website Right-click on the image and choose Save Picture As Name the image and place it in the appropriate folder Click OK To insert an image saved from the Internet in your presentation Choose Insert in the menu bar, Picture, then From File Search the image you placed in a folder, select it and click on the Insert button Copyright, Provincial Service of RÉCIT in Vocational Training 19
