AvePoint RevIM 3 Release Notes 1

AvePoint RevIM 3 Service Pack 2 Cumulative Update 1 Release Date: May 10, 2017 New Features and Improvements You can now move source documents to a destination library and declare the moved documents as SharePoint records. You can now import term groups together with term sets and terms from SharePoint Managed Metadata Services to AvePoint RevIM via CSV files. You can now classify existing SharePoint documents by selecting the Apply to the existing documents checkbox when configuring global settings or custom settings. Support choosing the SharePoint Managed Metadata Services to which the business classification term group will be synchronized when configuring settings of the business term group. Support using an existing column of the Managed Metadata type in SharePoint for classification when configuring global settings. AvePoint RevIM supports SharePoint 2016. You can now select or deselect the Declare each document/item as a SharePoint record checkbox when creating a rule to decide whether or not to declare the data that meets the rule settings as a read-only record in SharePoint. Known Issues When you perform the following action: Upgrade AvePoint RevIM from 3.1.0 to 3.2.0 using the AvePoint RevIM Update Manager tool, on the Creation and Destruction Report page, create a profile to report destroyed items within a SharePoint node on which no DocAve Archiver job has ever run, select the profile, and click Generate Report, the Generate Report job fails. The report will still run and results will be as expected, however the job will return a failed status. This is because there are no items that have been disposed in the SharePoint node. In SharePoint Settings, when you configure global settings on a SharePoint sites group, and then use the End User Solution to create a site under the site collection that exists in the sites group, the physical library in the site cannot be used. AvePoint RevIM does not support creating a site under an existing SharePoint Online site collection using the End User Solution. When you perform the following action: Create a rule to monitor documents in the (SharePoint Online out of box) Video content type and then configure other rule settings. In the Term Management page, associate a term with the rule. Use the term for a document in the Video content type in SharePoint. In the Disposal Activity Management page, select the SharePoint node where the document exists and click Run Now. Create a content due for disposal report profile, select the SharePoint node where the document resides as the reporting scope, and then generate a report. The document is not collected in the report. 2

Root cause: AvePoint RevIM cannot recognize whether or not the content type of a document is Video. Workaround: This only impacts SharePoint Online out of box video content types. Additional content types for video files can be configured and video files themselves managed by RevIM. When you configure SharePoint settings for a SharePoint sites group/site collection/site where a library exists, then create a new content type in the library after the SharePoint settings job finishes. When you run a SharePoint settings job again, the Managed Metadata type column created by AvePoint RevIM is not used by the new content type. Workaround: The RevIM column can be added manually to the site groups/site collection/site manually i.e. not through the RevIM interface. The Physical Item Import function does not support importing physical files whose availability status is loaned to SharePoint physical libraries. Workaround: Physical items should be marked to their home location prior to importing through the RevIM interface. Manager tool and then select an existing profile on the Content Due for Disposal Report or Term Usage Report page, and click Generate Report., the Generate Report job keeps loading. you use to open AvePoint RevIM after you finish upgrading AvePoint RevIM. Manager tool, the Edit page of the Content Due for Disposal Report and Term Usage Report functions will not display correctly. you use to open AvePoint RevIM after finishing upgrading AvePoint RevIM. Manager tool, the SharePoint tree on the Disposal Activity Management page cannot be loaded. you use to open AvePoint RevIM after finishing upgrading AvePoint RevIM. Manager tool, the SharePoint Settings page will not display correctly. you use to open AvePoint RevIM after finishing upgrading AvePoint RevIM. When you perform the following action: Save a Web page as a folder in the format of {0}_files. In a SharePoint library, click Open with explorer, and then upload the {0}_files folder to the library. On the Disposal Activity Management page, select the SharePoint library, and click Run Now to run a DocAve Archiver job. The {0}_files folder cannot be archived. Root cause: This issue is caused by a Client API limitation. In a list, navigate to List Settings > Form settings, and select the Customize the current form using Microsoft InfoPath option. Create a custom form using Microsoft InfoPath. In AvePoint RevIM, configure global settings on a sites group where the list exists, and run a global settings 3

job to add a column to the list. After the global settings job finishes, add an item to the list. An error occurs. Root cause: The column created by AvePoint RevIM cannot be added to the list with custom form configured. Workaround: Edit the column created by AvePoint RevIM to make the column optional when adding items to the list. SharePoint content that has been classified using the deleted or deactivated business classification terms cannot be reported using the Term Usage Report function. Workaround: This issue can be resolved by selecting the Orphaned Terms term type when generating a term usage report. When you create a rule that selects the Export before archiving checkbox and select VEO File as the export format and then associate a term with the rule in the Term Management page. Use the term for a document in SharePoint. In the Disposal Activity Management page, select the SharePoint node where the document exists and click Run Now. Uninstall the DocAve related hotfix of AvePoint RevIM from DocAve Manager. Some of DocAve Archiver functionalities will not work. Root cause: The installation of DocAve related hotfix changes Archiver data structure. Workaround: The DocAve hotfix for AvePoint RevIM should not be uninstalled. When you perform the following action: Register a site collection with user 1 in DocAve > Control Panel. Create a rule in the Rule Management interface. Create an AvePoint RevIM term and associate the term with the rule in the Term Management interface. Use the term for a document in SharePoint. Check out the document within the site collection using another user. In the Disposal Activity Management interface, select the SharePoint node where the document exists and click Run Now. The checked out document that meets the associated rule is not scanned by DocAve Archiver job. Root cause: This issue is caused by a Client API limitation. When you perform the following action: Create a rule with the Archive and remain content in SharePoint option selected and configure other rule settings. Associate a term with the rule. Use the term for a document in SharePoint and then check out the document. In the Disposal Activity Management interface, select the SharePoint node where the checked out document exists and click Run Now. The checked out document that meets the associated rule does not execute the actions configured in the rule. Root cause: This issue is caused by a Client API limitation. The Term Usage report does not capture documents that use a term where the term has been deleted from the term store in AvePoint RevIM, but is selected in the Term Usage report profile and is still being used by documents in SharePoint. Checked out Documents that meet an associated rule and use the term associated to the rule are not scanned by the DocAve Archiver job. 4

Actions configured in a rule are not executed on checked out documents that meet the associated rule, which has been configured with the Archive and retain content in SharePoint option selected, and use the term associated to the rule. Managed Metadata type columns that have been created by AvePoint RevIM are not used by lists or libraries that have been added to a site after the column has been provisioned. Workaround: The AvePoint RevIM column can be manually added to the site groups, site collection, or site rather than added through AvePoint RevIM. If the DocAve hotfix for AvePoint RevIM from DocAve Manager is uninstalled it may cause some of the DocAve Archiver functionality to not perform as expected. Workaround: The DocAve hotfix for AvePoint RevIM should not be uninstalled. If the DocAve hotfix for AvePoint RevIM has been uninstalled, reinstallation of the hotfix will resolve the issue. Documents using the SharePoint Online out-of-the-box video content type are not included in the Content Due for Disposal report. Root cause: AvePoint RevIM does not recognize whether or not the content type of a document is Video. Workaround: This issue only impacts SharePoint Online out-of-the-box video content types. Additional content types for video files can be configured and video files themselves can be managed by AvePoint RevIM. Bug Fixes On the Disposal Activity Management page, select SharePoint nodes and click Run Now to run a DocAve Archiver job, the DocAve Archiver job will now begin running. 5

AvePoint RevIM 3 Service Pack 2 Release Date: March 15, 2017 New Features and Improvements Added the Physical Item Management function to support managing physical items in SharePoint physical libraries and generating reports in AvePoint RevIM. Added functionality to retain a stub following disposal. Added functionality to apply rules at different SharePoint object levels (folders, lists, libraries, sites, site collections) to allow information to be managed as a group. In rare situations, Archiver jobs may not run on nodes that have global settings configured. Workaround: If this issue does occur, the RevIM Administrator receives a notification through AvePoint RevIM that indicates that the job has failed. The RevIM Administrator will need to liaise with the DocAve Administrator in order to run the job according to the following steps. In DocAve, navigate to Control Panel > Registered SharePoint Sites > Manual Input Mode. Select the SharePoint sites groups that have been selected in AvePoint RevIM, or select the SharePoint sites groups that associate with the selected SharePoint nodes in AvePoint RevIM. Click Manage Site Collection. Select all of the site collections that reside in the SharePoint sites groups selected in AvePoint RevIM, or select the site collections associated with the SharePoint nodes selected in AvePoint RevIM. On the ribbon, click Retrieve Status to retrieve the status of the selected site collections. Refresh the status of these jobs to manually kick off the jobs. The jobs will be run from DocAve Archiver. 11

AvePoint RevIM 3 Release Date: April 12, 2016 New Features and Improvements Now supports Windows 10. Various minor bug fixes and general back end improvements. Known Issues The Term Usage report does not capture documents that use a term where the term has been deleted from the term store in AvePoint RevIM, but is selected in the Term Usage report profile and is still being used by documents in SharePoint. The Content Due for Disposal report and the Term Usage report do not collect information and the generating report job finishes with an exception when AvePoint RevIM is installed on a server where SharePoint 2013 Central Administration or Web front-end server have not been installed. Root cause: AvePoint RevIM uses Microsoft.SharePoint.Client.dll to collect information for the Content Due for Disposal report and the Term Usage report. On a server where SharePoint 2013 Central Administration or Web front-end server are not installed, the version of Microsoft.SharePoint.Client.dll used by AvePoint RevIM and the version that can be used to collect report information are different. Therefore, no information can be collected in the report. Checked out Documents that meet an associated rule and use the term associated to the rule are not scanned by the DocAve Archiver job. 12
