Overview The User Manager application allows you to manage user access to AVID Reports. You can create user accounts, assign security settings, email users their account information, and enable or disable accounts. To access AVID Reports, users must have login credentials, which consist of a user ID and password, as well as access rights. The login credentials are used by the system to authenticate the user logging in, while the access rights are used to authorize the user to work with various applications within AVID Reports. Credentials are assigned when a user account is created, and access rights are determined by security group membership. AVID Ratings provides you with customized security groups that you can use to easily assign access rights to any user you create. The User Manager application is comprised of the following features: 1. Application Toolbar, which allows you to create new users, export your user list to Excel, and bring up this help file. 2. User Account List, which provides a list of your active AVID Reports users. 3. Account and Security Settings Area, which allows you to define user account information, login credentials, and access rights. Page 3
User Manager Features Application Toolbar This toolbar provides the following functionality: Add New User Click on this button to create a new user account for AVID Reports. You can then edit the account information for this new user in the section below the user account list. Export to Excel Click on the Export To Excel button to generate an Excel spreadsheet with a list of all your AVID Reports users. Help Click on this button to bring up this help file. User Account List The user account list displays all of your active AVID Reports users. Within this window, you can view active users by user name, email address, login name, and account status. Users whose accounts have been deactivated (by you or another user administrator at your company) will remain in this list for 30 days after their last recorded date of login. Sorting You can sort the list of users by clicking on the column headers. The first time you click on a column header, the list will appear in ascending order. Additional clicks will toggle the sort order between ascending and descending. Editing To edit the account settings for an existing user, simply click on that user in the user account list. This will populate the section below this list with account details, which you can then edit. To create a new user, click on the Add New User button in the Application Toolbar. Filtering To filter your user account list, use the links below the list to switch between viewing all users and users whose names start with a specific letter. Note: A particular letter will not show up if you do not have users whose names start with that letter. Sort by clicking on column headers. Click on a user to edit account settings. Use the alphabetical filter to narrow your list view. Page 4
Account and Security Settings When editing or creating a user account, this is the area of the application you will use to provide the following information for that user: User Name This name will be displayed in the main AVID Reports toolbar once the user has logged in. Email Address This is the user s email address, which is used by AVID Reports when a user requests an automated password reminder, email alerts, and other email correspondence. Login Name This is the login ID that users must provide (together with their password) to access AVID Reports. Password This is the password that users must provide (together with their login name) to access AVID Reports. Account Enabled and Account Start/End Dates This allows you to enable or disable user accounts, thereby granting or revoking their access to AVID Reports. In addition, you can use the From and To date fields to specify a date range within which users will be able to access AVID Reports. Note: A user whose account has been disabled will be removed automatically from the user account list 30 days after his or her last login date. Also, users who have not logged in within 30 days prior to being disabled will immediately be removed from the user account list. Page 5
Expire Password If you check this box, the user will be forced to change his or her password at the next login. This is typically done when you assign passwords to users (either when creating a new user or when resetting a user s password) and would like to force them to choose their own password at their next login. Notes You can include any notes you wish regarding a particular account. These notes are not visible to the user. Enable Survey Score Alert Emails The AVID Reports system can generate email alerts for received surveys whose scores meet certain thresholds customized for you by AVID Ratings. Users may elect to receive an email each time an alert is triggered. Note: This checkbox is enabled only when users have access to the Survey Explorer application since they will need that application to view any survey that triggers an alert. Although you can preset here whether a user receives email alerts, users can change this setting by accessing the My Profile application once they are logged in to AVID Reports. Page 6
Enable Response Rate Alert Emails The AVID Reports system can generate email alerts when certain response rate thresholds (customized for you by AVID Ratings) have been met. Users may elect to receive an email each time an alert is triggered. Note: This checkbox is enabled only when users have access to the Dashboard application. Although you can preset here whether a user receives email alerts, users can change this setting by accessing the My Profile application once they are logged in to AVID Reports. Group Memberships The Available Groups and Assigned Groups list boxes are used to define which security groups have been assigned to a user. A security group determines which applications and divisions a user has access to once they are logged in to AVID Reports. The precise settings of these groups are customized for each client by AVID Ratings. If you need help understanding what access rights these groups provide or need additional groups created, please contact your AVID Ratings service representative. The Available Groups list on the left reflects the security groups you can assign to the user. Note: Groups that have already been assigned to the user are not shown in this list. The Assigned Groups list on the right reflects which security groups have been assigned to the user. To assign security groups to a user, simply select the desired groups from the Available Groups list by clicking on the appropriate checkboxes and then clicking the right arrow to move them to the Assigned Groups list. To remove a group from a user s assigned groups, reverse the process by clicking on the appropriate checkboxes in the Assigned Groups list and clicking on the left arrow to move them back into the Available Groups list. Alternatively, you can double-click on any security group to move them from one list to the other. Page 7
Save/Cancel Once you have finalized the security settings for a user, you can save those changes by clicking on the Save User button. To discard any changes, simply click on the Cancel Changes button. Note: You must save any changes in order for them to take effect. If you navigate away from the edited settings before saving your changes, they will be cancelled. Email User Profile You can email a user his or her security profile (Login ID and Password) by clicking on the Email User Profile button. This will send an automated email to the user (at the email address you specified for that user) that includes his or her login credentials and access rights to AVID Reports. Page 8
