Introduction The purpose of this document is to detail the registration process firms will follow to gain access to the Canada Life secure Adviser Connect zone and applications as they come on stream. There are three steps to this process: 1) A user using a unipass certificate 2) A user using a user name & password combination 3) The administrator process to ensure all user authorisations and roles are appropriate for each firm. Registration To register for the Canada Life secure Adviser Connect zone, the user will need to select the Login option which is located on our website at www.canadalife.co.uk/adviser There are two login options to choose from when requesting to register to access the Canada Life secure Adviser Connect zone. These are by using a Unipass certificate or User ID & password. Unipass Unipass is a free-to-use replacement for User ID and password in the UK financial services sector. It lasts for one year from the date it is created and can be renewed easily. For more information about Unipass, visit their web site at www.unipass.co.uk. By registering using a Unipass certificate the user only has a two part registration process against the three part registration for User ID and password. Users requesting to register with a Unipass certificate will only need to complete the first stage of registration to gain immediate limited access to the secure Adviser Connect zone until their administrator allocates their correct role(s). User ID & Password Users who opt to register with a User ID and password will have to complete all three stages of the registration process prior to gaining access to the secure Adviser Connect zone. First stage: The user submits a request for registration. Second stage: An administrator approves the registration request and assigns roles and agency numbers to the user s profile. Third stage: The user chooses their User ID and password and activates their portal account. This stage is initiated by the registering user clicking on a link within an email that has been automatically sent to the user. 4 Canada Life Adviser Connect Registration Guide

Login Page From here the user can register to use the secure Adviser Connect zone, this will also be the page that the user will use to login. The user can choose to register to use the secure Adviser Connect zone with a User ID and password or by using their Unipass. If a user has forgotten their User ID or password, this is the page where they will be able to resolve their problem. If a user does not have a Unipass certificate, but they would like more information about it and how it works, they can click this link for further info. Unipass Registration If a user opts to register for the secure Adviser Connect zone via Unipass certificate, they will need to ensure that the certificate has been applied to their PC. A dialog box will be displayed and the user will have to select the correct certificate. Once the correct certificate is selected, the user simply selects the OK button to continue with the registration. The above dialog box advises the user that the secure portal is requesting access to the certificate. The user will need to select the OK button to allow this action. 6 Canada Life Adviser Connect Registration Guide

Unipass Registration Terms and Conditions All users wishing to use the secure Adviser Connect zone and its services must first agree to the Terms and Conditions that are laid out. By selecting the I Accept button they are agreeing to all the Terms and Conditions. Canada Life Adviser Connect Registration Guide 7

Unipass Registration Request Registration The Unipass registration requires users to provide their personal details. All fields marked with an asterisk must be completed. Any missed fields will be highlighted and the user will not be able to continue until the errors have been corrected. Once all fields have been completed the user will need to select Submit to continue. 8 Canada Life Adviser Connect Registration Guide

Unipass Registration Thank You Screen and Confirmation E-mails Once the user has completed the 1st part of the registration a Thank You screen will be displayed. This advises that their administrator will contact them to allocate roles and agency numbers. If no administrator has been setup, then the Service Support Team will contact the user to set-up an administrator. Users registered by a Unipass certificate will only need to complete the first stage of registration to gain immediate limited access to the secure Adviser Connect zone until their administrator allocates their correct role(s). Unipass Registration Thank You Screen and Confirmation Once a user submits a request to register for the secure Adviser Connect zone, a confirmation email of this request is sent to the user. This email advises the user that their administrator will contact them to allocate access. (If no administrator has been setup the Service Support Team will contact the user to set one up). Once the administrator has approved the request for registration, allocated roles and assigned agency numbers for the user, an email will be sent to the user to confirm this. 10 Canada Life Adviser Connect Registration Guide

Unipass Registration Administration Zone If a user has been assigned the role of administrator, the Administration Zone option will be visible in the top bar. Here they will be able to carry out administrative duties for registered colleagues in their company, such as allocating roles and assigning agency numbers. Further details of how the administrator manages the roles & profiles of authorised users can be found on page 23 of this guide. 12 Canada Life Adviser Connect Registration Guide

Non Unipass Registration Terms and Conditions All users wishing to use the secure Adviser Connect zone and its services must first agree to the Terms and Conditions that are laid out. This advises that their administrator will contact them to allocate roles and agency numbers. Non Unipass Registration Administrator Notification Once the administrator or Service Support Team approves the users request to register for the secure Adviser Connect zone, an email will be sent to the user advising them that their request has been approved. If the user has been setup as an administrator, then the email will confirm this and an administration guide will be attached to the email. This email contains a link and pin number required by the user to complete the 2nd stage of the registration process. Canada Life Adviser Connect Registration Guide 17

Non Unipass Registration 2nd stage of Registration When the user clicks on the link within the email, it will take them to the 2nd stage of the registration process. Here they will need to provide the FCA number they have registered with, the pin number that was contained within the acceptance email and also the answer to their memorable question. Once the correct details have been entered, the user will select the Continue button to proceed to the 3rd and final stage of the registration. 18 Canada Life Adviser Connect Registration Guide

Non Unipass Registration 3rd stage of Registration The 3rd and final stage of the registration requires the new user to choose their own User ID and Password. The User ID and Password needs to follow a certain criteria: User ID Must be between 8 and 25 characters long Must contain at least one number Must not be in use Password Rules Your password must be between 8 and 12 characters long. Must have a minimum of 2 letters and 2 non-letter characters. Can have no more than 3 characters as per your previous password. Characters are case sensitive. Must not match any of your previous 5 passwords. Recommended characters: use upper and lower case letters and a mix of letters and numbers. The user will not be able to complete the registration if the User ID and Password falls outside these rules. The user has 28 days to complete this stage of the registration. If the registration is not completed within this time, the request will be deleted and the user will need to complete a new request. Canada Life Adviser Connect Registration Guide 19

Non Unipass Registration Thank You Screen Once the user selects the submit button on the 3rd stage of the registration page, they will be presented with a Thank You page. This page will thank them for registering with Canada Life Adviser Connect, it will also give them the option to log in to their preferred home page. The user has now fully completed the registration process and will be able to use the functions within the secure Adviser Connect zone. 20 Canada Life Adviser Connect Registration Guide

Administrator The aim of the Service Support Team will be to set up the first central administrator role within each company; until this role has been set up no one from that company will be able to complete their registration. The main role of a central administrator is to allocate access to other members of their office. Service Support members will only have authority to allocate the role of central administrator not individual roles. The role of an Administrator Listed below are the main tasks of an administrator: Act as a point of contact between their company and Canada Life with regard to Adviser Connect Allocate roles within their company for registered members. Deleting accounts that are no longer required, such as leavers. Adding or deleting other administrators. An administrator cannot revoke their own access and there has to be a minimum of one active administrator per Company. ALL administrators have rights to amend access for ALL registered members of their Company using the same FCA number. Adding and deleting agent number access. What types of administrators are there? There are two types of administrators that can be set up within a company; they are either local or central. The first one to be set up by the Service Support team will always be the central administrator; the central administrator may then decide to allocate this role to one or more other members within their company, helping them share the workload. If there is a main company office with sub offices the central administrator may choose to allocate a local administrator role within each of the sub branches, this will ensure that the roles allocation will be dealt with within each office. Central administrators will see requests from all new registrations that belong to their IFA firm and do not have a local administrator for their office. Local administrators will see requests from users within their office (same office postcode). Service Support will see all requests from the 1st user to register from a company and is only authorised to allocate the role of central administrator. If there is more than one administrator in a company they will all receive copies of the new registrations emails. It is recommended that another role of central or local administrator for the company or office is allocated. This will ensure that if someone with administrative rights is unavailable there will be alternative administrator cover to continue authorising requests for access. The Canada Life Service Support team is not authorised to allocate access roles to users, we can only assign central administrators. Canada Life Adviser Connect Registration Guide 21

Administrator Once an administrator has been setup they will need to approve or decline all new registration requests that come in. An administrator would login using the normal login procedure, however once they are logged in the Administration Zone will be visible in the top bar. 22 Canada Life Adviser Connect Registration Guide

Administrator Administration Zone Upon clicking the Administration Zone in the top bar of the secure Adviser Connect homepage, the user will be presented with two options: Pending Regsistration Requests and Search for Registered Users Search for Registered Users By selecting this a page will be displayed to enable a search for users that have already completed the registration process. Show all Users By selecting this a page will be displayed with a list of all users that have completed the registration process. Pending Registration Requests This is a queue of all users that have completed a request to register and now require authorisation to accept or decline their access. This can be sorted by request date or postcode. Awaiting Completion of Registration by User This is a queue of users that have been authorised but who have not completed the final stage of registration (User ID and password). A user has 28 days to complete their registration. The administrator can remind users to complete the registration by using the Reminder Email button. Administrator Search for Registered Users This function can be used to search for registered users within a group using one or more of the following criteria below. Only users that have completed registration will appear in the results. User ID First Name Surname Email address Organisation s FCA Reference Number Office Branch Postcode Role This is a drop down box with the following options: All, local administrators, central administrators or both administrators. Once criteria has been entered you will be supplied with a list of matched users. If no criteria is entered, all active users will be displayed. 24 Canada Life Adviser Connect Registration Guide

Administrator User Details Once the administrator has found the user, they can view the details and then perform the following operations: - Update Roles Reset Password Update Agency Numbers Update Office/Branch Postcode Update Status Delete User Canada Life Adviser Connect Registration Guide 25

Administrator Roles Roles are given to users by their administrator. Each of these roles allows access to different functions and services within the secure Adviser Connect zone. The roles given will be dependant on what role the user has within their company, as not all users will need access to all areas of the secure Adviser Connect zone. Administrator Update Roles By selecting the update roles link within the User s Details page the administrator will be presented with the following screen. From here the administrator will need to tick the box next to the new role that they want to allocate to the user. Once the new role has been selected, the administrator will select the submit button to confirm the changes and return to the User Details page. Canada Life Adviser Connect Registration Guide 27

Administrator Reset Password If a password is entered incorrectly 5 times, an error page will be displayed stating that the User s ID has now been suspended. The user would need to contact their administrator or Adviser Connect Support Team to arrange a temporary password to be generated for them. The administrator would select the reset password link from the user details page and will be presented with the above screen. From here the administrator would need to create a temporary password for the user. They will have to ensure that the password rules are followed. The password must be between 6 and 12 characters long. No more than 2 consecutive repeated characters allowed. Must not contain User ID. Case sensitive. Must not contain first name or surname. Avoid single words. The administrator will be advised that the password is invalid if a word or phrase found in common dictionaries is used. Must not match any of the previous 5 passwords. Recommended characters: Use upper and lower case letters and a mix of letters and numbers. When the user logs in with the temporary password, they will be prompted to create their own password, which they will need to do immediately. 28 Canada Life Adviser Connect Registration Guide

Administrator Update Agency Numbers Once a user is fully registered and issues business with us, an agency number will be allocated to them. The agency number identifies an IFA with a particular office or branch. In the available boxes the agencies associated with the user s postcode and FCA number will be displayed. The administrator will select the relevant agency numbers for the user and move to the selected box. Once the agency numbers have been selected, the administrator will select the submit button to confirm the changes and return to the User Details page. Administrator Update Office/Branch Post Code If a company relocates, then the post code needs to be updated. This will have a bearing on the agency numbers, so it is vital that the postcode is kept up to date. The administrator will simply enter the new office/branch postcode and select submit to save the changes. 30 Canada Life Adviser Connect Registration Guide
