1. Quick Start 1.1. Installatin 1. Dwnlad Q-Table frm http://qvx.pl/en/prducts/dwnlad/. Yu must dwnlad a Q-Table versin that is apprpriate fr yur MS Office versin. Q-Table prgram 4

2. Unpack the flder with Q-Table. After unpacking there will be tw files in the destinatin flder: QTable.exe applicatin file Sapnc_utils.dll additinal library fr SAP cnnectins; it has t be in the same flder as the prgram. Q-Table prgram This file has t be in the same flder as the Q-Table applicatin 3. Run Q-Table. Yu dn't need t install the sftware. It is ready t be used after unpacking. Nte: Q-Table writes license-related data and infrmatin abut last pened files in the registry. Additinally, it may create lg files in the default prgram s flder. Yu will need a licence number t activate Q-Table when yu run it fr the first time. 5

Enter the licence number and yur e-mail then cnfirm it by clicking OK. Yu shuld receive an e-mail with an activatin cde within a few minutes. If yu need a test licence, send an e-mail t helpdesk@qvx.pl. Licence name Yur e-mail address 4. The activatin cde has been sent t the e-mail address yu have entered. Open yur mailbx and cpy the activatin cde. If yu can t see the e-mail in yur inbx, check SPAM flder and if it is nt there cntact ur team. Yur activatin cde 5. Paste the cde int the windw and cnfirm it by clicking OK. 6

Space fr the activatin cde 6. Wait until the prgram starts. Befre the prgram starts, infrmatin abut the licence will be displayed. 1.2. Dwnlading Data fr the First Time Yu need t fllw three steps t dwnlad data: Define cnnectins t SAP systems. Define target dwnlad flder. Define which tables are t be dwnladed. 7

1.3. Defining SAP Cnnectins 1. G t the Cnnectins windw. Open Cnnectins windw 2. Click the Imprt frm SAP Lgn buttn in the SAP Cnnectins sectin. 8

4. The prgram has laded all SAP cnnectins defined n a particular cmputer. 5. Nw select ne f the cnnectins and enter user name, passwrd and apprpriate client number. Next tick the cnnectin as active. 1.4. Defining Target File/Database If yu dn t want t dwnlad large amunts f data, yu can save the data in Excel r Access. We recmmend saving data in an MS SQL Server database if yu have large data files r dwnlad regularly. MS SQL Server Express is free t use fr databases smaller than 10 GB and saving t that database is significantly faster than t MS Office files. 1. Select the File radi buttn n the right side f the screen. Buttn indicating saving data t a file 10

2. Click the Select file buttn. Buttn fr chsing a particular file 3. Select Micrsft Access r Micrsft Excel applicatin file depending n where yu want t save the data. Database where yu want t save data Yu can find mre details abut cnnecting t varius types f databases in the Databases chapter. 11

1.5. Defining Tables t Dwnlad 1. G t the Tables windw. Open the Tables windw 2. Enter a table name. Space fr a table name 3. Press Enter t cnfirm the name and wait until its definitin is dwnladed. Yu will knw that it has been dne thrugh a gif that is n the left side f the table name and by seeing a table descriptin (as lng as it exists in the selected language English is set as default). Add new filters by clicking an empty rw and select an peratr Yu can dwnlad many tables frm different systems in ne prgram run. The tables can als be linked tgether in such a way that data frm ne table are filters in anther table. See Creating relatinships chapter fr further details abut it. 1.6. Dwnlading Data 1. Start dwnlading and saving data with the Start buttn. 13

Start dwnlading and saving data 2. Nw yu need t wait until the dwnlading prcess is cmpleted. Yu can track dwnlad status in the Lg windw, which is autmatically displayed when the dwnlad prcess starts. Messages displayed during the dwnlad Number f dwnladed tables Number f dwnladed rws frm currently dwnladed table 3. Yu will receive an apprpriate message in the Lg and the MiniLg windws when the dwnlad is cmpleted. 4. Yu can see the dwnladed data in preselected file when the dwnlad is cmpleted. 14

2. Detailed User Manual 2.1. System Requirements 2.1.1. Q-Table The Q-Table prgram desn t require installatin. It can be run just by dwnlading and unpacking the applicatin file t any available flder r launching it directly frm an external data strage device. 2.1.2. Operating Systems Q-Table is supprted by the fllwing perating systems: Windws XP 32 bit (installing SAP.net Cnnectr libraries is required), Windws 7 32 bit, Windws 7 64 bit, Windws 8 64 bit, 2.1.3. Framewrk.NET.NET Framewrk 2.0 r better needs t be installed in rder t have Q-Table functining prperly. 2.1.4. Micrsft Office Suite Saving t Micrsft Excel files Yu must have Micrsft Excel 2003 r better installed t save t Micrsft Excel files. Yu need t take int cnsideratin limitatins f Micrsft Excel file when cpying data frm SAP t such files. Mrever, remember that in a situatin when there is n Micrsft Access installed and Micrsft Excel 2007 r better is used than a cpy f a file in *.xls frmat is created while saving t Micrsft Excel file. This means that such a file has all limitatins f Micrsft Excel 2003 versin. Fr example: the user has Micrsft Excel 2010 installed n his cmputer, but desn't have Micrsft Access. The user creates Data.xlsx file with a maximum capacity f 1048576 rws and begins dwnlading data frm SAP. Q-Table creates a Data.xls file in the same flder as Data.xlsx file. As a result, the user can save nly 65536 rws. Yu can try t prevent this by installing Access Runtime 15

tl. Additinally, remember that lder versins f Micrsft Office suite dn t always install Primary Interp Assembly sftware which is required fr saving t Micrsft Excel files. Yu need t install it n yur wn if it is missing. Saving t Micrsft Access files Yu must have Micrsft Access 2003 r better installed t save t Micrsft Access files. Yu need t take int cnsideratin limitatins f Micrsft Access file when cpying data frm SAP t such files. Remember that sme versins f Micrsft Access dn t install Micrsft Access Runtime sftware which is required fr prper functining f Q-Table. Yu need t install it n yur wn if such is the case. 2.1.5. SAP Permissins T run the sftware fllwing SAP permissins are necessary: S_RFC Object ACTVT: 16, RFC_NAME: *, RFC_TYPE: FUGR. S_TABU_DIS Object ACTVT: 03, DICBERCLS: *. Object permissins can be additinally restricted: t a functinal grup with mdules fr reading tables (in the case f a S_RFC bject) t table grups (in the case f a S_TABU_DIS bject) 16

2.2. Q-Table Interface 2.2.1. Main Prgram Windw At the tp f the windw yu can see a ribbn which functins as a menu. Yu will find currently displayed windw belw the ribbn. The currently displayed windw is highlighted in range n the ribbn. The status bar lcated at the bttm f the screen enables clearing the Lg table and expanding a windw called Mini Lg. There is status infrmatin n the right side f the status bar that displays peratins that the sftware is currently executing. Currently displayed windw Ribbn functining as a menu Status bar 17

SAP Cnnectins Sectin Imprt SAP cnnectins frm a *ini r SAP Lgn.lnk file SAP cnnectins definitins table Add new SAP cnnectins Advanced SAP cnnectins settings SAP Cnnectins Definitin Table This table is a simplified versin. Detailed versin can be fund in the Settings windw. The table cnsists f fllwing clumns: Name the name f a cnnectin; practical infrmatin fr a user Prefix cnnectin prefix that can be added t the table name created in a database User user name Passwrd passwrd fr a given user name Client client number. Active indicates whether a particular cnnectin is active, i.e. whether tables will be dwnladed via it. Test allws testing a cnnectin t check whether the data entered is crrect r whether the cnnectin can be established. See here if yu are nt sure what t enter in User, Passwrd r Client fields. 21

Cntext Menu Apart frm the visible ptins, SAP Cnnectins definitins table has a cntext menu which is pened by right-clicking any f the cnnectins. Cpy cpies t the clipbard the values frm selected cell. Paste pastes the values frm the clipbard t a selected cell. Edit - edits a selected cell. Clear value deletes values frm a selected cell. Delete Rw deletes the definitin f a selected cnnectin. Active Select sets a given cnnectin as active. Clear sets a given cnnectin as inactive. Test cnnectin tests a selected cnnectin. 22

Adding a New SAP Cnnectin After selecting Add new cnnectin, a new windw is pened that is used t add a new SAP cnnectin and test it. Fllwing values must be defined: Name the name f a SAP cnnectin; each cnnectin has t have a name Cnnectin Prefix (ptinal) a value, with n mre than three characters, that will be added t SAP table name befre it is saved in a selected database. If yu have a cuple f SAP cnnectins active, the prefixes cannt be the same. User (ptinal) a user name that is used t lg n thrugh SAP Lgn Passwrd (ptinal) a user passwrd that is used t lg n thrugh SAP Lgn Client client number Server server address that the user wants t cnnect with t establish a cnnectin with an SAP system. Sys (ptinal) - system number (instance). System ID (ptinal) data required t lg n t a grup f servers. Lgn Grup (ptinal) data required t lg n t a grup f servers. SAP Ruter. See here if yu dn t knw what t enter in any f the fields. 23

2.2.6. Database Cnnectin Sectin The user can define r select last used database in current cnfiguratin n the right side f the windw. New/last used database can be selected by clicking apprpriate radi buttn and selecting an active buttn. There is a buttn fr advanced database settings belw the buttns used fr editing active database. Tables Windw The Tables windw is the main windw displayed after the prgram is launched. The whle area f the windw cnsists f a table with definitins f SAP tables with data. Such a definitin is dwnladed when SAP table name is entered. The sftware autmatically dwnlads definitins and all available descriptins in a user-defined language thrugh an active SAP cnnectin. Yu can set a dwnlad prefix which will be added t a table name created in a database. The panel n the right side f the prefix entering' windw has a cuple f additinal ptins. Dwnlad all clicking this buttn selects the dwnlad checkbx fr all tables and all their fields Cllapse all this ptin hides all filters and all expanded table definitins Delete all this buttn deletes all tables defined in current settings Check references this ptin checks whether there are any tables that have a parent table withut selecting any parent fields Shw all filters this ptin expands all table definitins with filters and shws the filters t 24

Cntext Menu Mrever, each table heading has a cntext menu that is pened by right-clicking a heading. Srt Ascending srts ascending by a selected clumn. Srt Descending srts descending by a selected clumn. Clear srting disables srting by a selected clumn. Grup by this clumn grups by a selected clumn. Gruping Remember there is a pssibility f gruping by selected clumns. Fr example, yu can grup by the Dwnlad clumn thanks t which a user will be able t display nly thse tables which have dwnlad checkbx selected r just thse tables which have dwnlad checkbx unselected. Clumn by which gruping is dne First value f a gruping clumn Secnd value f a gruping clumn Thanks t such gruping yu can display all tables that have a value defined in the gruping clumn by clicking buttn that is n the left side f the gruping rw. Yu need t click a white x buttn by the gruping clumn name t turn ff gruping. 25

Turning ff gruping 2.2.8. SAP Tables Each SAP table is described with fllwing attributes: Table name it is the table name in the SAP system. Descriptin table descriptins dwnladed frm the SAP system Overwrite if this field is selected than if the target database t which we save data frm SAP has a table with the same name than it will be deleted and new data will be entered. In ther case, the data will be added t an existing ne Prefix up t 3 characters that are added befre a SAP table name in the database Dwnlad if this field is selected, the table will be dwnladed frm the SAP system Reference table a table t which current table will be linked during data dwnlading (Creating relatinships fr SAP tables). Refresh this buttn refreshes table definitins using an active SAP cnnectin Filtered thanks t this buttn yu can check whether there are sme filters set fr a selected table ( icn). Clicking it will display all filters set fr a table. If yu want t see the definitin f a selected table, click the SAP table name. icn lcated n the left side f the Cntext Menu SAP tables have an additinal cntext menu which is pened by right-clicking n ne f the values describing a SAP table. 26

Cpy cpies t the clipbard a selected value frm a selected cell. Paste pastes values frm the clipbard t a selected cell. Edit - edits a selected cell. Clear value deletes values frm a selected cell. Delete Rw deletes a selected table tgether with its definitins and filters. Shw/Hide definitin shws/hides a table definitin. Refresh definitin dwnlads a table definitin frm the SAP system again. Duplicate table duplicates a table tgether with its definitins and filters. Clear references - clears references between tables. Shw filters shws all filters set fr a table. Dwnlad Select selects the dwnlad checkbx fr a table. Clear unselects the dwnlad checkbx fr a table. Overwrite Select turns n table verwriting Clear adds rws t tables instead f verwriting The Dwnlad heading in the cntext menu fr SAP tables is extended by three additinal ptins. Dwnlad all selects the dwnlad checkbx fr all tables. 27

Dwnlad nthing unselects the dwnlad checkbx fr all tables. Reverse dwnlad selects the "dwnlad" checkbx fr all tables that had it unselected and unselects the "dwnlad" checkbx fr all tables that had it selected. The Refresh heading gives ne additinal ptin. Refresh all it refreshes the definitins f all tables defined in Q-Table. Creating Relatinships T link tables yu need t select a child table and expand the list f available parent tables which can be accessed by clicking the Reference table cell. After the list is expanded yu need t select which table is t becme a parent table and click it. Selected refrence table Reference Tables The ntin f reference tables is based n using relatins between SAP tables. Sme data frm different SAP tables are smehw linked with each ther. Q-Table helps in dwnlading apprpriate data n the basis f these relatins. The fllwing example illustrates such a situatin: 28

Let s assume we have tw tables: Clients and Emplyees. Every emplyee may, but desn't have t be a client. Such a case is shw in the pictures belw. The data frm the pictures are lcated in the SAP system. The user can dwnlad frm the Clients table nly the data abut clients wh are als emplyees. T dwnlad apprpriate data, the user creates tw SAP tables in Q-Table named Clients and Emplyees. Next the user defines the link between the Clients table and the Emplyees table. Then the user expands the definitin f the Clients table ( buttn). Fllwing that the user selects a field t which ne f the fields frm the Emplyees table is t be linked. 29

The user selects all the fields which are t be linked. Nw after starting the dwnlad, the whle Emplyees table will be dwnladed and saved in the target database plus the part f the Clients table which crrespnd t dwnladed Names and Surnames frm the Emplyees table. Yu can see the whle cntent f Clients table belw n the left, while n the right there is the cntent which has been dwnladed because f links. Additinally, yu can see the whle cntent f the Emplyees table under thse tw examples. 30

2.2.9. SAP Table Definitins Name f a SAP table which definitin we want t see All SAP table clumns with definitins Table definitin cntains the definitin f every clumn frm a SAP table. A clumn definitin has fllwing attributes: Field name it is a clumn name in the SAP system. Creating relatinships After defining a relatinship between tables yu may start defining relatinships between fields. It is dne analgically t creating relatinships between tables. Remember, that the list f available parent fields will be filled in nly by fields frm tables defined as parent tables and have the same type and are nt lnger than current field. First, yu must select which field will be a child field, and then expand the list f available parent fields by clicking a cell in the Reference field clumn. 2.3. Cnfiguratin files Q-Table allws t save *.qtbl cnfiguratin file. Thanks t it, the user desn t have t define the whle cnfiguratin frm the beginning each time he turns n Q-Table. Instead, a user can lad cnfiguratin saved previusly. This slutin allws creating cnfiguratin n ne cmputer and then lading it and starting the dwnlad prcess n anther wrkstatin t which he/she desn't have a permanent access. 2.4. Starting the dwnlad prcess When the cnfiguratin is set, yu can start dwnlading data frm SAP and saving it in a database. Yu can start running the prgram by using keybard shrtcut F8 r clicking the buttn: Befre the prgram is started varius limitatins are checked which helps t avid errrs when the prgram is running. 2.5. Infrmatin fr Advanced Users 2.5.1. Optimizatin f table dwnlading time In case f dwnlading big tables, the prgramme wrking time can be lng and last even several hurs. It is wrth cnsidering the fllwing methds fr shrtening this time. A functin mdule used t dwnlading tables frm SAP system can hld nly 512 characters in a rw. If this is exceeded, then the table has t be dwnladed in parts and merged, what cnsiderably extends the dwnlading time. If it is pssible, it is wrth selecting fields which ttal length des nt exceed 512 characters. If a table is very lng, it is wrth dwnlading it in many several parts and put them int ne table in a lcal database. In rder t speed up the prcess, ne shuld use filters in fields which are in the key r indexes. The reasn f shrtening the dwnlading time is a methd f wrking a functin mdule which, fr example, t dwnlad rws frm 10 000 001 t 10 100 000 firstly has t brwse thrugh the first millin what is time-cnsuming. Dividing a table with use f filters will lwer the number f rws which the mdule has t brwse. 2.5.2. Mst Cmmn Mistakes Nt indicating any cnnectin with a database and SAP system as active, A table title with a status includes fewer than 3 characters r a number n the ne f three first places, An attempt t verwrite a table already used by anther prcess, Nt indicating the field Overwrite and dwnlading a table with different clumns. The missing clumns will be added, hwever, the results can be different frm expected because rws with the dubled primary key will be skipped, The prgramme des nt guarantee data crrectness in a case when a table will be mdified during dwnlading. In a case when a table has a lng rw and its clumns have t be dwnladed in parts, there is a pssibility that data will nt match each ther after merging clumns int a whle. In this case rws which d nt include full infrmatin will be rejected and a user will be infrmed abut that, in case f chsing the filter Like r Nt Like, the lack f the symbl % r * in a place where there shuld be a characters string. Nt giving it in any place can cause dwnlading data different frm expected, The value f numeric fields is runded t a field size. If there is space fr 2 decimal places in a field, then the value 1,238 will be runded dwn t 1,23, Because f the implementatin errr, used functin mdule may nt dwnlad fields cntaining percentage values crrectly, 57
