Overview The (fr undergraduate applicatins) allws administrative users t view the applicatins which are in prgress and applicatins which have been submitted. Yu can search fr applicatins by last name, first name, email address, date f birth, campus, term, admit type, applicatin status, applicatin center, applicatin number, etc. This Administrative view will als allw the admin user t "push" the applicatin thrugh if the payment prcess times ut, and view/access the PDF fr the applicatin. Steps Search fr Applicatins Yu can view applicatins by searching by name, email r birthdate f an applicant. Yu can als search by the Applicatin Number. 1. Lg int ne.iu.edu. 2. In the Search bx, type in apply IU admin center. 3. Click the task. The IU Applicatin Admin Center will display. 2019 Indiana University Page: 1

1. Enter any f the search criteria (Applicant s First Name/Last Name, Email Address, Birthdate, Applicatin Number, etc.) t search fr an applicatin. T search using a wildcard, enter a percent sign befre r after the first and r last name. 2. Click Search. NOTE: Click the Clear buttn t clear yur search parameters and start a new search. Belw is an example f search results. Yu can check the Applicatin Status field t view whether the app is in prgress r if it has been successfully submitted. If yu have multiple search results, a Filter feature will display under the search criteria n the left and yu can filter by Applicatin Status. 3. Lcate the apprpriate applicatin and click Shw Details t view mre infrmatin such as when the app was created and submitted as well as the payment methd, payment date, applicatin fee, and credit card infrmatin. 2019 Indiana University Page: 3

Administrative Submit The Administrative Submit functin is nly fr users with the ADMAYUGS SIS rle and allws yu t administratively submit the applicatin. The Admin Submit can nly be used fr unsubmitted apps. Applicatins shuld be validated using the same prcess as yu d fr applicants. This means: 2019 Indiana University Page: 4

Admins cannt submit fr terms that have passed. Admins will have t cmplete/fix any incmplete/invalid answers befre submissin can ccur. Admins cannt submit withut prviding an explanatin. This will lad t SIS as a recruiting categry (ADSB: Administrative Submit) with a cmment in the lng descriptin field in this frmat: USERNAME: reasns fr administrative submit After prviding the explanatin, click the Administratr Submit buttn. Admins can submit if applicant has nt paid/prvided fee waiver infrmatin and the app fee status will lad as PENDING. Hwever, the applicant will nt be charged the amunt frm the administratively submitted applicatin n subsequent applicatins and their applicatin will lad with an app fee status f PREVIOUSLY PAID. If the applicant has paid by Credit Card/eCheck, prvided fee waiver infrmatin, r qualifies fr an autwaiver, their applicatin will reflect that when it is submitted. Administrative Edit The Administrative Edit functin is nly fr users with the ADMAYUGS SIS rle and t be used fr unsubmitted Apps nly. 2019 Indiana University Page: 5

This functin allws administratrs t edit the applicatin the same way an applicant wuld. Yu will NOT be able t enter/edit payment details. Yu will als be able t administratively submit the applicatin via the Edit feature. Administrative View The Administrative View functin is fr users with the ADMINQ and ADMAYUGS SIS rles and used fr Submitted and Unsubmitted apps. This view presents a read-nly view f the applicatin t the admin s yu can see hw the applicant cmpleted the applicatin. Dwnlad PDF/Attachments Users with the ADMAYUGS SIS rle will be able t use the Dwnlad PDF/Attachments feature. Users with ADMINQ will nly have access t View PDF. 2019 Indiana University Page: 6

Submitted applicatins will have a View PDF link and a Dwnlad link that will allw the administratr t dwnlad/view the applicatin PDF. Submitted and unsubmitted applicatins will have Dwnlad links fr Behavir Explanatin, Essay, and Waiver if they have been upladed t the applicatin. Yu must click the View Details link t see these Dwnlad links. Dwnlad as Excel The Dwnlad as Excel feature will allw yu t dwnlad yur list f results t an Excel file. The search must be dne using the Search fr Applicatins criteria and nt the Applicatin Number r Sessin Number searches. The search will nt return the data results in the spreadsheet that yu are expecting if yu nly use the applicatin number r sessin number search. 2019 Indiana University Page: 7

Click Dwnlad as Excel. NOTE: The spreadsheet will nly cntain 500 sessins s it will nt cntain all f yur results if the list is greater than 500 sessins. The spreadsheet will cntain every applicatin n each sessin, even if they are nt fr the campus yu are searching fr. The additinal applicatins will need t be filtered frm yur spreadsheet if yu d nt want/need the infrmatin. The spreadsheet will cntain Deleted sessins that have nt been cleared frm Apply IU if yu d nt specify a status using the Applicatin Status search menu. 2019 Indiana University Page: 8

Administrative Remve SSN The Administrative remve SSN functin is nly fr users with the ADMAYUGS SIS rle and t be used fr unsubmitted Apps nly. This wuld be used when an administratr has an applicatin that is failing t submit due t a crrupt SSN frm an applicant receiving an errr n submissin. An example f a crrupted SSN wuld lk like XXX-XX-)%$&. This functin allws administratrs t remve a crrupted SSN t reslve a submissin errr s the applicant can prceed with their applicatin. Click the Remve SSN buttn. This will remve the SSN entered by the applicant. Prir t final remval a cnfirmatin message will display asking if yu are sure yu want t prceed. If yu click N, yu will be returned t the Admin Center. If yu click Yes, the SSN rutine will prceed with the deletin. Upn cnfirmatin, the crrupted value in the tw fields (SSN and Cnfirm SSN will be remved. 2019 Indiana University Page: 9

This will set the fields back t null, as if the fields had never been ppulated by the applicant. Administrative Unlck Submitted Recrd The Administrative Unlck Submitted Recrd functin is nly fr users with the ADMAYUGS SIS rle. It was created t unlck a submitted applicatin that has been paid. This will allw an applicant t make edits and prceed with their applicatin. The Reset buttn will nly display fr an applicatin in the Admin Center with an Applicatin Status f E (Errr). When an Administratr clicks the Reset buttn, this will clear the submitted Applicatin Status and change it t Updated. The submitted date will be set t null. 2019 Indiana University Page: 10

This will allw the user t clear the recrd by remving the submitted date and changing the status frm S submitted t U updated. Then the applicant will be able t prceed with their applicatin. 2019 Indiana University Page: 11
