User Guide As part of the update to the Practice-Labs user interface there has also been an update to the user administration process. The user creation process has been split out into its own website. This document details the process of managing users. Accessing the portal Navigate using your web browser to http://portal.practice-labs.com Use your credentials provided to you, insert your: Username Password Domain Click Login. You will be presented with two options: User Administration Reporting 1 P a g e

User Administration Select the User Administration tab located on the left hand side of the webpage. On the User administration page you have the following four options: 2 P a g e

Create a new user Amend an existing user Delete an existing user account Batch create user accounts Creating Users accounts (Individually) Let s go through each of these options, starting with Create a new user. From the Organisation drop down list select the most relevant option for the type of user you wish to create. You will only view the organisations you are permissioned to see. In the UniqueId / Email address field insert your desired username, normally this is a unique identifier like Student ID. From the Practice-Labs drop down box select the course you want to assign to the user and click Add Practice-Lab button. In the order ID field enter your subscription number or order number. This is to link the account to your purchase. In the password field you can either enter a desired password for the account you are creating or leave it blank. Leaving the field blank will randomly generate a password for you. 3 P a g e

(See example below) Once you have created the user you can add another account or log out using the icon located in the top right hand corner. To navigate back to the previous menu select the Create a new user link in the top left corner of the page. This will take you back to the User administration page. Amend an Existing User To amend a user (Change organisation, add / remove labs or change uniqueid) click the Amend an existing user link. 4 P a g e

You will be presented with the following screen. In the search box located in the bottom left of the screen insert the UniqueId or Username of the user you wish to amend. 5 P a g e

As you type the details will appear in the main pane. When you see the user you are searching for click the Amend area. This will show the user details. Here you can remove a course that has been added to the user, to do this click on the name of the course. You are also able to add a course to the user by selecting the course and then clicking add Practice-Lab. 6 P a g e

You can also edit a user s UniqueId/Email Address and password. Click in the UniqueId/Email Address field and change the entry. Click here to change the users password is the option you will choose if you wish to change a user s password. Once you have made all of your changes you will need to click the Save Changes button located at the bottom of the page. Note: if you do not save your changes they will not be applied and you will need to edit the user account again. To navigate back to the previous menu select the User administration tab in the top left corner of the page. This will take you back to the User Functions page. You may need to renew a user s account, for example if their account has expired and they have purchased another subscription. To do this you will need to click the Amend an existing user link again. 7 P a g e

When you click renew you will receive the following message. Click Ok. If the renew was successful you will receive the following message. To navigate back to the previous menu Select the Amend a user link at the top of the page. This will take you back to the User administration page. 8 P a g e

Delete an existing user To delete a user click the Delete an existing user account link. You will be presented with the following screen. 9 P a g e

In the search box located in the bottom left of the screen insert the UniqueId or Username of the user you wish to amend. As you type the details will appear in the main pane. When you see the user you are searching for click the Delete area. A confirmation message will be displayed. 10 P a g e

Once you have deleted the user you will need to clear your search box if you wish to remove another account or you are able to log out using the logout icon located in the top right hand corner. To navigate back to the previous menu Select the Delete a user link in the top left corner of the page. This will take you back to the User administration page. 11 P a g e

Batch create user Accounts The final link under User administration is Batch create user accounts, as the name suggest it will allow you to create a number of accounts simultaneously, this is ideal for a number of students that have purchased the same course for the same time period. Click the link Batch create user accounts. You will be presented with the following screen. This is very much like the standard user account creation with one exception, you are able to specify more than one uniqueid or Email address. Note: when doing this the multiple accounts will be created, however they will be created with the exact same term time and the same course to access. Reports Select the Reports tab located on the left hand side of the webpage. 12 P a g e

Now there are two different types of reports that you are able to generate: User Reports Monthly user Reports First we will look at User Reports. User Report To run a user report you will need to know the following: The user s organisation A date range during which the user has accessed. The user s uniqueid/email address (If unknown, a date when the user was created) 13 P a g e

Once you have logged in select Reporting > User Reports You can Continue past the first page which details the organisation that they use on our platform. Note: You will only view the organisations you are permitted to see. There are several ways to filter users such as Filter by course and by a Specific month. We will be using Filter by time range. Select the drop down panel and select the option, Created in the last > 90 Days/. Once chosen select continue. This will find all the user accounts created in our platform for the desired date range. Within this window you can filter users further by selecting Custom Filters. You can also sort users by selecting the heading at the top of database. Select Last Activity and select only the users that have accessed the labs in the last couple of days. Once done select Continue. 14 P a g e

Now you can choose the activity you want to review Assessments / Course Activity Finally select the date range to report on and select Run Report which will show the relevant data. In the Assessment report you will be able to download any PDF s that have been generated around the users. Note: This can be exported however this will only work in Internet Explorer. 15 P a g e

Select the Home button and then select reports to access Monthly User Reports. Monthly User Reports Finally, we have Monthly User Reports. 16 P a g e

This will generate a report for all user within that partner and organisation in two ways, either for all users created within the specified month, or all users created between the specified dates. As an example we have generated the report for users created within March- 2015 Next I have created a report between the two dates 03/01/2015 03/31/2015 (Please note that the specified dates takes priority over the monthly, so if specified then this the date will be from the date ranges) 17 P a g e
