Introduction Overview Avaya 12x0 IP phones are Software Communication System (SCS) compatible IP phones that can be quickly and easily configured to support SIP-based telephony across a managed network. All 12x0 phones can be configured automatically using DHCP with Option 66; semi-automatically, using just DHCP without Option 66; or manually with static IP details. All three methods are discussed in this document, however it is strongly recommended that, where possible, administrators enable Option 66 on the DHCP server to allow fully automated configuration. Note: Option 66 is used to refer devices to a host from which their configuration can be retrieved. The purpose of this guide is to direct you through the configuration steps necessary for achieving a successful registration to the SCS, for that reason only the features and functions relevant to this operation are referred to in this guide. For a complete overview and detailed instructions on how to use any of the phones mentioned in this guide, please see the SCS End User guide and the documentation supplied with your phone. The instructions contained within this guide are applicable to the following 12x0 models: Avaya 1210 Avaya 1220 Avaya 1230 Each of these phones has a different size screen but the menu structure and soft key and navigation key layout is identical. Throughout this guide illustrations have been taken from a 1230 purely for clarity of screen information, the menus take exactly the same form on the 1210 and 1220. NN40010-544 Issue 1.3 SCS 4.0 5

Required Information To register a 12x0 to the SCS, the system administrator will need to know the following: Is DHCP available on the network? If DHCP is available, is Option 66 enabled? If DHCP is not enabled the following network configuration parameters will need to be set: o IP address o Subnet mask o Default gateway o Primary DNS o Secondary DNS o Provisioning address for TFTP configuration uploads. Configuring Avaya 12x0 IP Phones Before you Begin Auto-Provisioning The SCS provides an auto-provisioning service that is capable of identifying and profiling 12x0 series IP phones. During the auto-provisioning process the phone will be registered to the SCS with a temporary ID. Once registered a line can be added to the phone by selecting a user account. DHCP and Option 66 By far the quickest and simplest way to configure LAN settings on a 12xx series IP phone is to utilize DHCP configured with Option 66. DHCP is used to configure LAN settings such as the IP address and DNS address, while Option 66 is used to set the address of the TFTP server, which is used to distribute user profile information to end point devices such as phones on the SCS network. In the context of the SCS, the TFTP server resides within the SCS server, so the TFTP IP address is in fact the same as the SCS IP address. Before attempting to register a 12x0 IP phone ensure that you are familiar with the network topography. Is a third party DHCP server in use, or is the SCS s own onboard DHCP service being utilized? If the network is making use of the SCS onboard DHCP service then Option 66 will already be enabled and configured to pass the TFTP address to all devices connected to the network, in which case phone registration is simply a case of enabling Full DHCP and then allowing the phone to boot normally. If a third party DHCP service (e.g., a Microsoft server) is the preferred DHCP method on the network then you need to establish whether or not Option 66 has been enabled and configured to point devices at the SCS for TFTP updates this is by no means a certainty and since the absence or presence of Option 66 plays a direct role in the configuration of the phone, you should always establish these facts before attempting to register a phone. 8 NN40010-544 Issue 1.3 SCS 4.0

If the third party DHCP solution has been configured to direct devices at the SCS for TFTP updates then registration is identical to the process outlined in the SCS onboard scenario, i.e., enable Full DHCP on the phone set and allow it to boot. The phone will gather all LAN settings, the TFTP address, any firmware updates stored on the SCS, and finally it will register with a temporary ID. Once the set is registered a user account can be assigned to it. If, on the other hand, DHCP is active but Option 66 has not been configured, the phone will need to be configured with Partial DHCP and the TFTP address will need to be configured manually. A third, rarer, scenario also exists. Although it is assumed that most networks will make use of some form of DHCP, there do exist some networks with no DHCP service of any kind. In this case all LAN settings and the TFTP address will have to be manually configured on the 12x0. All of the scenarios outlined above are discussed in this guide. NN40010-544 Issue 1.3 SCS 4.0 9

Registering to a Network Utilizing DHCP with Option 66 As outlined above, this is the quickest approach to registering a 12x0 IP phone on the SCS network. From the diagram above you can see that this is a scenario that can be run using either the SCS s own onboard DHCP service, which comes enabled with Option 66, or alternatively a third party DHCP server can be configured to direct devices at the TFTP service. Note:Option 66 must be configured with the server s IP address and not the fully qualified domain name. The SCS s inbuilt DHCP server is already configured to this effect but you will need to ensure that third party DHCP 10 NN40010-544 Issue 1.3 SCS 4.0

servers are configured correctly. If the network is configured in either of these ways the 12x0 IP phone simply needs to be enabled with DHCP. DHCP should be enabled by default but you can check in the following way: 1. Before powering the phone up, press and hold down the Up navigation key and button 2 on the dial pad. Connect the phone to the network and power it up. 2. The phone will load Boot C. NN40010-544 Issue 1.3 SCS 4.0 11

3. When the phone information screen is displayed, press the soft keys under the screen in sequence from left to right. 4. At the DHCP menu, select option 1 to enable DHCP and then press the OK soft key. 12 NN40010-544 Issue 1.3 SCS 4.0

5. By default, all other settings are set to automatic, you will therefore be presented with the End of menu screen. Since Option 66 is being used to supply the phone with the provisioning address you do not need to configure any other settings. Press the Apply soft key to reboot the phone. 6. Note: During the boot process the phone will check its firmware version against the firmware updates stored in the SCS s TFTP server and update accordingly. Updating firmware can take some time, it is imperative that the phone is not powered off or disconnected from the network during the update process. The registration process will complete once all necessary firmware updates are finished. 7. If a user account has not yet been configured for use on the phone it will register against a temporary account. The temporary account provides instant call access from the set but should be replaced by a user account. To do this configure a line. Adding a Line Note: The 1210 only supports one line. Now that the phone is registered on the network it will be appear in the SCS Administration interface s phone list, along with its temporary ID. 14 NN40010-544 Issue 1.3 SCS 4.0

If the phone has already gathered a valid user ID then configuration is complete. If however the phone display shows a temporary ID (usually ID followed by an alpha-numeric combination, for example ID:6QS) you will need to assign a line to the phone. This is done in the following way: Note: Before a line can be added to the phone a user account must first be created, see the Configuring User Profiles task based guide for full instructions on creating user accounts. 1. Click on the phone profile in question (if you have navigated away from the phone list you can return to it by opening the Devices menu and selecting Phones). 2. On the left-hand side of the screen, select the Lines menu option. NN40010-544 Issue 1.3 SCS 4.0 15

3. Click on Add Line. 4. Use the search field to search for a specific user account and then click the Search button, or to call up the entire list of users without filtering, simply click Search. 5. Tick the check-box of the user that you would like to add as a line to the phone and then click Select. 16 NN40010-544 Issue 1.3 SCS 4.0

6. Click OK to confirm the line selection. 7. Now send the new line information to the phone itself by ticking the phone s check-box and then clicking on Send Profiles. 8. When a profile is sent the phone will reboot. For this reason you have the option to defer profile sending, just in case it is not an appropriate time to restart the phone. To send the profile immediately, leave the check-box ticked and click the OK button. To defer sending the profile, untick the check-box and use the time and date fields to specify a preferred time, e.g., out of office hours. 9. You will be returned to the phone list screen and the phone will reboot. During startup it will gather the newly assigned user profile information. When reboot is complete and the phone has successfully registered using the new account details you will see the new user s name or NN40010-544 Issue 1.3 SCS 4.0 17

extension number on the display. You can check that the phone is working correctly by dialling the voicemail attendant or auto-attendant. Adding an External Line Note: The 1210 only supports one line. The following instructions will guide you through adding an external user, or line, to the 12x0 series IP phone. In the context of user profiles within the SCS environment, an external line refers to a user profile that resides on another IP PBX. By adding an external line you are assigning that external user to one of the phones on the local network. A good example of a situation requiring the addition of an external user to your SCS would be the visit of an employee from another branch office. The visitor may wish to have access to their own office s SCS so that they can collect calls or check voicemail. An external line could be added to a phone to provide them with such access. Note: Before configuring an external line, consult with the remote IP PBX administrator to ensure you have correct user ID credentials and a valid host name and domain for the server. 1. Place the mouse pointer over the Devices menu and select Phones. 18 NN40010-544 Issue 1.3 SCS 4.0

2. Select the phone to which you would like to add the external line by clicking on the phone s MAC address. 3. Click on the Lines menu located on the left-hand side of the screen. 4. A screen showing lines already configured on the selected phone is displayed. Click on the Add External Line link found at the top of the screen. 5. In the Add External Line screen, enter the external user s login details and the address or fully qualified domain name of the remote server. NN40010-544 Issue 1.3 SCS 4.0 19

6. Click OK to return to the lines screen. The newly added external line is displayed alongside any other lines configured for the phone.. 7. Click on Identification. 8. Click the Send Profiles button to update the phone. 9. When the phone has rebooted, press the line button that corresponds with the new line (the first line button is reserved for the default line) and dial another extension, the voicemail extension for example, at the dial tone. If the call is placed successfully then the additional line has been configured correctly. Registering to a Network Utilizing DHCP Without Option 66 On networks where DHCP is configured but Option 66 is not configured, or cannot be utilized for SCS purposes, you will need to configure the 12x0 IP phone with partial DHCP and the address of the TFTP server. 20 NN40010-544 Issue 1.3 SCS 4.0

In this scenario the 12x0 will gather IP and LAN settings from the DHCP server and will check in with the TFTP address supplied by the administrator for profile data. As with the full DHCP with Option 66 scenario outlined in the previous section, the SCS will automatically generate a phone profile against the phone s MAC address and assign a temporary ID to facilitate line access until a user profile can be assigned to the phone. In this section we will look at how to enable partial DHCP and configure the TFTP address on the phone, as well as how to assign a line to the phone. To configure DHCP and TFTP settings: 1. Before powering the phone up, press and hold down the Up navigation key and button 2 on the dial pad. Connect the phone to the network and power it up. NN40010-544 Issue 1.3 SCS 4.0 21

4. At the DHCP menu, press the Auto soft key. 5. Using the down navigation key, scroll to option 12 Provisioning Server. 6. Press the Man soft key NN40010-544 Issue 1.3 SCS 4.0 23

10. Enter the IP address of the provisioning server (the SCS) and press the OK soft key. 11. Press the OK soft key until End of Menu is displayed. 12. Press the Apply soft key to save settings and reboot the phone NN40010-544 Issue 1.3 SCS 4.0 25

In the context of user profiles within the SCS environment, an external line refers to a user profile that resides on another IP PBX. By adding an external line you are assigning that external user to one of the phones on the local network. A good example of a situation requiring the addition of an external user to your SCS would be the visit of an employee from another branch office. The visitor may wish to have access to their own office s SCS so that they can collect calls or check voicemail. An external line could be added to a phone to provide them with such access. Note: Before configuring an external line, consult with the remote IP PBX administrator to ensure you have correct user ID credentials and a valid host name and domain for the server. 1. Place the mouse pointer over the Devices menu and select Phones. 2. Registering to a Network Without DHCP (Static Configuration) In the rare circumstance that DHCP is not present on a network the 12x0 IP phone can be configured manually with static LAN settings and the TFTP address. All of the following steps must be completed to successfully configure the phone for use with the SCS. Disable DHCP Configure an IP address for the phone Set a default gateway address Set the TFTP address Configure DNS server addresses 1. Before powering the phone up, press and hold down the Up navigation key and button 2 on the dial pad. Connect the phone to the network and power it up. 2. The phone will load Boot C. 3. When the phone information screen is displayed, press the soft keys under the screen in sequence from left to right. 4. At the DHCP menu, press the Auto soft key. 34 NN40010-544 Issue 1.3 SCS 4.0

Note: The screens immediately following the default gateway screen will request settings for S1, S1 Port, S1 Action, S1 Retry Count, S2 IP, S2 Port, S2 Action and S2 Retry Count. Note: During the boot process the phone will check its firmware version against the firmware updates stored in the SCS s TFTP server and update accordingly. Updating firmware can take some time, it is imperative that the phone is not powered off or disconnected from the network during the update process. The registration process will complete once all necessary firmware updates are finished. 15. All devices in a call agree a set of codecs that can be used during the session, this allows them to switch to different codecs as network conditions dictate. Sometimes it may be necessary to adjust the preferred voice and video codecs utilized your 12x0 phone, this can be done from within the administrator interface: 1. Open the Devices menu and select Phones. NN40010-544 Issue 1.3 SCS 4.0 45

2. Select a 12x0 phone from the list of phones. 3. Click on the Codec Preferences menu on the left-hand side of the screen. 4. The codecs screen consists of two lists for voice codecs. The lists on the left side of the screen contain all available codecs, while the lists on the right contain those codecs currently selected for use with the 12x0 IP phone. 46 NN40010-544 Issue 1.3 SCS 4.0

By default all codecs are selected. To remove codecs, highlight in the Selected list and click the Deselect arrow. 5. Selected codecs can be prioritized by moving them up and down the Selected list. Click on the codec you would like to move and then click on the Move up and Move down arrows. NN40010-544 Issue 1.3 SCS 4.0 47

6. Click Apply followed by OK. 7. Because an adjustment has been made to the phone profile, it will need to be sent for collection by the client at registration. Tick the phone s check-box and click the Send Profile button. Phone Groups Phone Groups can be established to apply settings across a range phones of the same type. Each phone group can be applied to as many phones as necessary, giving the administrator central control over a range of settings. Note: Changes made at a group level will be overridden by changes made at phone level. For example, time zone settings configured directly on a phone in Phone Group A will override the settings defined in the group. To create a new Phone Group: 1. Place the mouse pointer over the Devices menu and select Phone Groups. 2. Click on the Add Group link. 48 NN40010-544 Issue 1.3 SCS 4.0

3. Assign the new group a name for example, 1230IPPhones (group names cannot contain spaces). 4. Enter a brief description of the group. 5. Click OK. The group is now created. 6. To configure settings for the newly created group select it from the list. 7. When a group is selected, the first thing that you will need to do is select the phone type that will be configured within the group for example 1230s. Select a phone type from the list. 8. Using the menu on the left-hand side of the screen, configure the settings that you would like to apply to all phones of the selected type in this group, for example, QoS, time settings, or Codec settings. The options that are displayed in the menu are specific to the type of phone selected in the last step. 9. Click OK to complete Group creation. Once created a group can be assigned to a phone from the Phone Information screen, accessed by opening the Devices menu and selecting Phones. 50 NN40010-544 Issue 1.3 SCS 4.0

Simply select a phone and then enter the name of the group that you would like to add the phone to in the Phone Groups field. Auto-Dial (Dial Plans) The 12x0 IP phone can be configured to automatically place calls once a specific sequence/number of digits has been dialed. This saves the user from having to press the Dial soft key to initiate the call. This feature is enabled by configuring dial plan strings either on a phone-byphone basis or on a group basis. Dial plan strings are simply collections of parameters that, when interpreted by the phone, determine dialing behaviour. Multiple strings for different dialing scenarios (for example, long distance, internal extensions, international) can be specified but a single pipe should always be used to separate them. Let s first look at some example strings and break each constituent part down: [2-9]11 0T 011xxx.T 91[2-9]xxxxxxxxx [1-8]xx Each pipe represents the start of a new rule: [2-9]11 0T 011xxx.T 91[2-9]xxxxxxxxx [1-8]xx There are five different rules in this string, therefore five different sets of dialing scenarios and resulting behaviour: [2-9]11 - This is an emergency services rule. The digits 11 preceded by any number between 2 and 9 should be dialed immediately. NN40010-544 Issue 1.3 SCS 4.0 51

0T Operator rule. Dial 0 and after a specified time ( T ) a call will be placed to the auto-attendant. 011xxx.T This rule refers to long distance dialing without using a prefix of any kind. When the digits 011 followed by any other digits ( xxx ) are dialed the phone will wait a specified time ( T ) before placing the call. 91[2-9]xxxxxxxxx This rule refers to long distance dialing with a prefix. [1-8]xx Internal extension dialing. When any number between 1-8 is dialed followed by 2 other digits the call is placed immediately. Note that some sites may use 4 digit internal extensions, in which case adjust the rule to [1-8]xxx. Whenever any of the above digit combinations are entered the phone will place the call automatically without the user pressing the Dial soft key in some case the call will be placed immediately, in others a slight delay will occur first, depending on the rule. It is likely that this type of configuration would be required across a group of phones rather than on an individual basis. For this reason, the following instructions cover group configuration: To configure a dial plan: 1. Browse to the phone group in question. 2. Select the phone type to be configured. 52 NN40010-544 Issue 1.3 SCS 4.0

3. Click on Miscellaneous Settings. 4. Enter the required string in the Dial Plan field at the top of the screen. 5. Click Apply followed by OK to confirm the new settings. 6. Update all relevant phone profiles to ensure the new settings are received by the phones in the group. Note: To configure a dial plan on an individual phone, browse to the phone in the phone list and then navigate to the Miscellaneous Settings menu. Remember to send the phone s profile to initiate the change. NN40010-544 Issue 1.3 SCS 4.0 53

The Graphic User Interface (GUI) The 12x0 can be configured by way of a useful graphic user interface (GUI), this is useful for checking LAN or provisioning settings, or for resetting the phone to factory default settings when moving the phone to a new network. In order to access the GUI you will first need to know the phone s IP address. To discover the phone s address, press the Services button. The IP address is displayed beneath the phone s firmware version. Once you have ascertained the phone s IP address, open a web browser and navigate to the address. Log in to the phone interface. The default user name is admin (casesensitive), the default password is 1234. 54 NN40010-544 Issue 1.3 SCS 4.0

The 12x0 interface is made up of ten menus that control everything from network settings to firmware updates. From a basic configuration point of view it is recommended that the majority of the options found in the interface are left at their default settings. Menus that might be of interest are: Network Setup Advanced Change Password Upgrade Network Setup Within the Network Setup menu you will find fields that relate to how the phone connects to the network. By default (unless the phone was configured with static settings) the network type will be set to DHCP, in which case the remaining fields will be locked. NN40010-544 Issue 1.3 SCS 4.0 55

To configure static settings, open the drop-down menu and select Manual, then enter the required network settings. Click Commit changes to reboot the phone with the new settings. Advanced The Advanced menu offers a lot of controls which, during basic configuration, are not relevant. The one setting that might be worth checking if you experience profile update issues with the phone is the Provisioning URL field. Found about halfway down the screen, the Provisioning URL is the address that the phone is directed to for TFTP updates phone profiles, firmware, etc. 56 NN40010-544 Issue 1.3 SCS 4.0

If the phone is having trouble retrieving updates from the SCS check that the address of the SCS is entered in this field. Change Password The Change Password screen allows you to change the password used to access the administrator interface and the user interface. It is recommended that the default administrator password of 1234 be changed at the earliest convenience. Select the password type that you would like to change (i.e., admin or user), enter the current password, enter the new password, and then confirm the new password. Click Commit changes to complete the password change. NN40010-544 Issue 1.3 SCS 4.0 57

Upgrade The Upgrade screen can be used to check for firmware updates. Click on the Upgrade button to initiate an update check. If new firmware is located then the phone will update. Since firmware updates are delivered via the SCS, the provisioning URL must be configured as the SCS IP address for this utility to function properly. Note: Firmware updates must be uploaded to the SCS provisioning server in order for devices to retrieve them via TFTP/FTP. This topic is discussed in detail in the System Configuration guide. You should note that during any kind of reboot (e.g., during a user profile update) the 12x0 IP phone will check for firmware updates as a normal part of the startup process and update accordingly. If a new version of firmware is detected on the SCS then the phone will perform an update. You will need to open a new browser window and log back into the GUI once the update is complete. 58 NN40010-544 Issue 1.3 SCS 4.0

Note: Never disconnect or power-down a phone during a firmware update. If a firmware update is not required then the message Upgrade not needed. Version check failed will appear at the bottom of the screen. Note: You can also perform a firmware upgrade check by using the Upgrade soft key on the set. To use the Upgrade soft key: 1. Press the Services button. 2. Press the Upgrd soft key. 3. Press the Yes soft key. The phone will query the SCS for firmware updates. If an update is available the phone will reboot. If there are no updates available the message Upgrade not needed. Version check failed will be displayed and the phone will return to an idle state. Restoring Default Settings If at any point you need to return your 12x0 phone set to its default settings perhaps you may wish to remove a phone from a particular SCS network and install it elsewhere, or perhaps you have lost the administrator password this can be achieved directly through the phone s screen interface or through the GUI. Note: This procedure will remove all settings, including the provisioning server address. To restore default settings from the phone interface: 1. Power off the set. 2. Reconnect the power supply. 3. During boot-up, when the Avaya manual configuration message appears on screen, press the four soft keys under the screen one at a time in sequence from left to right. 4. Select option 2 Restore to defaults. 5. When requested for confirmation press the Yes soft key. 6. The phone will reset and reboot. The phone s settings are now defaulted. In order to reconfigure the phone for use on the SCS you will need to configure TFTP and LAN settings again. See Configuring Avaya 12xx IP Phones at the beginning of this document to find out how to register the phone to the SCS. To restore default settings through the GUI: 1. Log in to the phone interface. The default user name is admin (casesensitive), the default password is 1234. 2. Click on Advanced. 60 NN40010-544 Issue 1.3 SCS 4.0

3. Scroll to the bottom of the screen and click on Restore Factory Defaults. The phone s settings are now defaulted. In order to reconfigure the phone for use on the SCS you will need to configure TFTP and LAN settings again.
