Streck s Interlaboratory Quality Control program, STATS, is an effective way for laboratories to evaluate the performance of their instrument or method against a peer group and demonstrate compliance with quality practices. STATS compiles data in personalized, easy to read reports to help labs detect changes in their systems before these significantly impact patient results. STATS Link is an enhanced data access portal that allows labs to submit data online, view real time reports, retrieve reports, and manage the lab account information. STATS reports are also processed on a monthly basis. These monthly reports are available to ensure peer group sizes are maximized for regular, periodic review of laboratory test systems. Customers receive an email notification when reports are available and can immediately access reports via their secure STATS Link account. Archived reports are accessible for 12 months. Both real time and monthly data submission reports are available. Peer groups are comprised of other labs using the same instrument, method and control lot number. Peer group comparisons include essential lab and group statistics for the current submission period and cumulative data collected throughout the lot. Create a Login Creating a login is the first step needed to access STATS Link, which can be found at https://statslink.streck.com. Figure 1 1. Click the Create a Login link on the first page. Migrate From the Legacy STATS Application Every STATS account is approved by the STATS Department. However, if you ve already used STATS with an approved account, your account can be migrated. If your email matches the primary email for an existing account, this is the process you will use. No action on your part is needed to initiate it; it will automatically start when you log in. Figure 3 1. Follow the steps to create a login. 2. Log in with your new credentials. 3. You will see a screen that displays the data that was found for your account, and request that you validate that the information is accurate. Figure 3 4. If it is accurate and correct, click the Confirm & Continue. 5. An email message requesting that you confirm your access will be sent to you. 6. When you click the link, you will be sent to a webpage with a confirmation message. 7. Enroll Into a New Account If you have not used the application before or are not part of an existing laboratory account, you will follow this process to create a new account that the STATS Department at Streck will review and approve. 1. 4. Complete the information regarding your laboratory. Figure 5 Figure 5 5. When finished entering the information, click the Continue button. Figure 6 6. Enter your instrument information and specify each product that you will be running on the instrument. Figure 6 7. For a hint regarding the Upload Date Format, hover over the question mark to learn additional information. 8. Click Save Instrument for each instrument you wish to add. Each time you will be asked if you would like to enter additional instruments or to complete this section of the enrollment. 9. If you wish to add other logins/contacts for this account, you may expand the section Add Secondary Contact, and select Yes. 13. If you are adding additional contacts, enter the information for that contact including the email address. 14. When you are finished adding contacts, click Continue to complete your enrollment. Join an Existing Account Follow these steps if you are looking to join an existing lab account and have the primary contact approve your access. The lab must already be approved, be currently active, and have an approved primary contact. Once your account is created, this is how additional users at your lab will gain access to your account. Figure 11 1. Follow the steps to create a login. 2. Log in with your new credentials. 3. Click the Existing Account button. 4. You will be asked to enter the account number and the primary contact s last name, and then click the Lookup button. Figure 11 5. If the information matches, you will receive a validation message to confirm the information. You will receive an error message if the information does not match an active lab. 6. Click the Confirm Account button if the lab s information is correct. Figure 12 7. You will be asked to complete the contact information regarding your login. 8. After you ve finished entering the information, click Continue. Figure 13 9. After completing your contact information, you will be redirected to Waiting for Approval page and an email message requesting approval will be sent to the primary contact of the lab. Figure 13 10. After the primary contact clicks the link in the email message to approve your account, you will receive an email notification that you have been approved by the primary contact. Edit Account Demographics Once you are part of a lab (through migrating, joining or creating a new lab), you can adjust account demographic information such as account name, address, phone number, etc. The primary contact will be notified via email that changes were made. Figure 14 1. Log in with your credentials. 2. Go to My Account Info. 3. Change any information that needs to be adjusted, and click Save Account when complete. Figure 14 4. Edit Contacts You can change your contacts information, including name, address, email address and primary contact designation. The primary contact is able to edit any contact while non primary contacts are only able to edit their own information. Additionally, a primary contact is the only person who can make another contact the new primary contact. Figure 15 1. Log in with your credentials. 2. Go to My Account Contacts. 3. Click Edit next to the contact that needs to be updated. Figure 15 The primary contact is the only user that can edit information for all contacts. Also, changing the email address changes the login of the contact, and the edited contact will need to use the new email address the next time he or she logs in. 5. When finished, click Update to commit the changes. 6. If you wish to permanently delete a contact, click the Delete button on the contact line that you wish to remove. Note: A primary contact cannot be deleted from the application; a different contact on the account must be designated as primary first. STATS Link 880119 November 11, 2016 14 Page
Switch Primary Contact The primary contact can designate another contact to be the new primary. Only the new primary contact can reassign primary contact privileges after the changes are saved. 1. Log in with your credentials. 2. Go to My Account Contacts. 3. Click the Edit button of the contact you wish to set as the primary. You must be the primary contact in order to initiate a change of the primary contact. 4. Check the primary checkbox of the non primary contact. 5. Click Update to save your changes. 6. You are now logged in as a non primary contact without primary contact permissions. 7. An email message has been sent to both the prior primary contact and the new primary contact. The email message outlines the rights and responsibilities of the primary contact. Figure 17 Note: In an employee turnover situation, the STATS Department can change the primary contact. Edit Instruments Whether you ve created a new lab account or you were migrated to/joined an existing account, after you successfully have access to the account, you can add, edit, and deactivate your instruments. Please note that your instruments cannot be removed only deactivated. Figure 18 1. Log in with your credentials. 2. Go to My Account Instruments. 3. Click Edit next to the instrument that needs to be updated. Figure 18 4. Modify the information, and click Save Instrument when finished. 5. To remove an instrument, click the Deactivate button to the right of the instrument. Figure 18 This will prevent the instrument from being utilized in the future. You cannot Reactivate an instrument once it has been deactivated. 6. To add an instrument, click the Add New Account Instrument button on the top right. Figure 18 Figure 19 7. Submit Data Submitting data will allow you to see reports for the instrument, product and lots you submit. Submitting data is easy: you can either hand enter it or, the more frequent option, you can import files with your data. All products have a due date that is used for processing data and creating the regular report. The purpose of the due date is to keep the peer group contributing at regular intervals and generate larger comprehensive reports on the respective due date. Figure 20 1. Log in with your credentials. 2. Go to Data Submissions Submit Data. 3. If you submit individual daily run data, leave the Daily Data default. Figure 20 4. If you submit summarized data, select the Summary Data radial button. 5. Select your instrument from the drop down list. 6. Select the product you ran on the instrument. 7. Select the lot number for the data you are submitting. 8. Enter the date range for your submission data into the From and To date range boxes. Your run data will be verified against these dates if you are submitting daily runs. 9. If you are interested in entering comments or adjusting the shift value or submission SD, expand the Optional Information section and make the adjustments. 10. Click the Start Entering Data button. 12. Enter the run data for your level. 13. The legend displays what the cell coloration will indicate for your data. Figure 21 Legend: Error This will need to be repaired or the data will not be committed. STATS Link Customer User Guide Legend: Data will be Converted to SI Unit This data is configured to have an SI unit conversion, and is only reflected with assay information. Legend: Data Outside Assay Range This data is above or below specified limits (i.e., assay). Legend: Possible Duplicate Run This data is checked across multiple submissions for the current month and could possibly be a duplication run. This flag simply identifies data to check, but does not remove any data from calculations. 14. Your run data will be required to fall in between the From and To dates you specified. 15. The data entry grid has many Excel like features which make data entry easier. For example, you may copy run dates from one level to another. 16. To change the From and To dates, click the Expand button to view all the submission s information and click the down arrow on the date picker and make the correction. It will automatically save when you click outside the date picker and display a confirmation message. Other data will not be editable. Figure 22 Figure 22 17. To import files, you can simply click on the Import File button at the top right. This will open the file import dialog box. Figure 23 Figure 23 18. Use the import box to specify the level of your file. If the file to be imported is a Streck Excel file, all levels will be imported at once, and do not need to be specified. The levels are determined by the product selected. 19. This data must fall within the specified From/To date range, or data will be flagged with an error and will not be saved. 20. Search for Submissions After submitting data, you can filter and sort to review submissions you have entered. STATS Link Customer User Guide Figure 25 1. Log in with your credentials. 2. When you find the submission you would like to review, click to select the row and choose the View/Edit Record button on the top right. You may also double click on the desired row to open the submission. Note: You are able to edit or delete your data as long as it has not been processed for a monthly report. View Monthly Reports Every product has a regular monthly due date (or weekly for linearity products) for which STATS generates reports. These monthly reports are available to ensure peer group sizes are maximized for regular, periodic review of your test systems. Customers receive an email notification when reports are available and can immediately access reports via their secure STATS Link account. Peer groups are comprised of other labs using the same instrument, method and control lot number. Peer group comparisons include essential lab and group statistics for the current submission period and cumulative data collected throughout the lot. The monthly report contains Levey Jennings Charts, SDI Charts and a Six Month Historical Comparison. You can view as well and sort and filter the reports. Figure 26 1. View Real Time Reports Real time reports are great tools to do an intermediate check how your instrument is performing compared to others. Real time reports can be run for data that has not been processed in a monthly report. Real time reports are only valid at the time they are created and are not meant to replace the final report. Peer group data will continue to change and be updated as other customers contribute to the peer group aggregation. Figure 27 1. Log in with your credentials. 2. Go to Reports Real Time Reports. 3. Filter your data by clicking on on the column headers to select the criteria. Figure 27 4. You can also click on the column header to sort. 5. When you find the submissions you would like to create a real time report for, click the Generate button on the row. 6. A notification dialog box will appear at the top right of your screen. You are able to move around the site while this is running; it will reappear on the active page when it is complete. 7. When you receive the completed notification, click the link to open the PDF. Enroll Into a New Lab Manager Account A lab manager is able to see reports of associated lab accounts and a special manager s report. This is a useful tool to show how a variety of labs are performing. Additionally, lab managers receive a lab manager report when the final monthly reports are generated. You can create your lab manager account and either add associations to active accounts during enrollment or you can also add the accounts after your account is approved. Figure 29 1. Follow the steps to create a login. 2. Log in with your new credentials. 3. Click the New Account button. 4. Complete the information regarding your laboratory, making sure to select Lab Manager as the account type. Figure 29 5. When finished completing the information, click the Continue button. 6. Enter the information for the labs that you wish to manage. Figure 30 You will need to enter the account number for each active lab and the primary contact at each location. 7. Click the Lookup Account button. If the account number and last name match, a message will show with the account s name and address. 8. Click the Link Account button for each lab. 9. When you are finished adding labs, click the button Finish Adding and Continue and you will be taken to the third section. Figure 31 10. 18. Once the lab approves the association, the lab manager account is able to view all labs reports. An email notification of the approval is sent to the primary contact of the lab as well. 19. Request Lab Manager Association After Enrollment A lab manager can add new associations with labs after enrollment. The association request sends an email to the primary contact of the lab requesting access. Figure 34 1. The lab manager logs in with his/her credentials. 2. Go to My Account Info. 3. Click the Add Associated Account button. Figure 34 4. Enter the lab number of the lab you wish to join and the primary contact s last name, and then click the Lookup button. 5. If the information matches, you will receive a validation message to confirm the information. You will receive an error message if the information does not match an active lab. 6. Click the Link Account button if the lab s information is correct. 7. You will receive a notification that an email message requesting approval was sent to the primary contact of the lab. 8. After the primary contact clicks the link in the email message to approve your request, you will receive an email notification that you have been approved by the primary contact. Approve Lab Manager Request as a Lab s Primary Contact After a lab manager has requested to manage a lab, the primary contact of that lab can approve the association. This can be done via the email sent or it can be done in the application. Figure 35 1. The managed lab s primary contact logs in with his/her credentials. 2. Go to My Account Info. 3. Hover your cursor over the exclamation mark next to the Lab Manager Request box. 4. Click the exclamation point, and then click the Approve button. Remove Lab Manager Association as a Lab s Primary Contact After a lab has approved lab manager access, the primary contact has the ability to remove that lab manager at any point. Figure 36 1. Log in with your credentials. 2. Go to My Account Info. 3. Click the X button next to the Lab Manager Name. 4. You will receive a dialog box confirming you would like to remove your association to the lab manager account. Figure 36 5. Once you click OK, the association is removed. The lab manager will no longer be able to view the lab reports. 6. A notification is sent to the lab manager s primary contact indicating the association has been removed. Remove Lab Manager Association as a Lab Manager A lab manager has the ability to manage the associated labs, including removing currently associated labs. Figure 37 1. Log in with your credentials. 2. Go to My Account Info. 3. To remove an association with a lab, click the Remove button for the desired lab. Figure 37 4. When you respond OK to the dialog box confirming your choice, your association will be removed. You will no longer be able to see the reports for this lab. 5. View Lab Manager Reports Lab managers have access to lab manager reports that are created when the final monthly reports are generated. These reports give an overview of all related instruments, products, and lots of all the labs associated to the lab manager. Figure 38 1. Log in with your credentials. 2. Reset Forgotten Password If you have forgotten your password or have incorrectly logged in too many times, you have the ability to reset your password. Figure 39 1. On the login page, click the Forgot Password? link. 2. You will be taken to a page to enter your email address for receipt of a password reset link. 3. Enter the email address you use for logging in to the website. Figure 39 4. Click the button to Send Reset Email. This will send an email message to the address entered. 5. Click the link inside the message to reset your password. Figure 40 Figure 40 6. You will be taken to a webpage where you can enter a new password. 7. Once you have re entered the password, click the Reset Password button. 8. You will receive an email message that you have successfully changed your password. Reset Known Password If you know your password and would like to change it, follow these steps. STATS Link Customer User Guide Figure 41 1. On the login page, click the Hello, Username menu next to the Log Out button. Figure 41 2. Click the Change Password option. 3. This will take you to a page to enter your current password and a new password. 4. Once you have successfully entered the new password, click the Change Password button. 5. Switch to a Different Lab Follow these steps if you want to join an existing lab account and have the primary contact approve your access. Go to My Account Settings. 3. Click the Switch Account Access button on the page. This will take you to a new page where you can click the Existing Account button. Figure 42 Figure 43 4. If the information matches, you will receive a validation message to confirm the information. You will receive an error message if the information does not match an active lab. 6. You will be redirected to Waiting for Approval page and an email message requesting approval will be sent to the primary contact of the lab. 8. After the primary contact clicks the link in the email message to approve your access, you will receive an email notification that you have been approved by the primary contact. Account Definitions The definitions of accounts and users are explained below. STATS Link Customer User Guide 1. There are three types of accounts: a. Lab: This customer account submits data and receives reports. b. Distributor: This customer account is able to view reports of the labs they manage, as well as receive a manager s report. c. Lab Manager: This customer account is able to view reports of the labs they manage, as well as receive a manager s report. A lab manager account does not submit data. 2. When you create a login, you are actually creating a contact. An account can have many contacts, however a login (or contact) can only exist in the application once. a. A primary contact is able to manage all other contacts, and receives notifications about changes made to settings in the application. b. A secondary contact is able to only manage their own contact information, but is able to perform the same functions as the primary contact. They do not receive notifications about changes.
