Logging on to NWOCA WebMail Go to this URL: https://wma.nwoca.org At the login screen, put your username and password in the appropriated boxes: 1. Note that the @nwoca.org is already in place for you. All you need is the first part of your email address commonly called the username. 2. If the browser you are using is either a modern version of Internet Explorer or FireFox, choose Advanced (IE.FF). If you are using something other than Internet Explorer or FireFox, use the Basic (Any Browser) setting. 3. Mailboxes (Folders) When you log onto Webmail, your mailboxes/folders should appear in the Mailboxes window. If your mailboxes do not appear, there may be non standard characters in the name of one or more of the folders. Non standard characters include:!@#$%^&*(). Non standard characters also include spaces. View your mail in the Basic Layout (see page 12 of this guide). The Inbox mailbox contains all of your unread and read mail that has not been moved to a specific mailbox. Messages can be organized into a variety of Mailboxes. To create a new mailbox, choose the Folder Manager from the Utilities Folder: NWOCA, 2008 NWOCA WEBMAIL GUIDE Page 2
The Folder Manager window will appear in the Message Window to the right of the Mailboxes Window. You can create a new folder, rename a folder, block email addresses/spammers and automatically send email to specific folders. NWOCA, 2008 NWOCA WEBMAIL GUIDE Page 3
Reading an Email Message The first screen you will see after logging in has three windows: Mailboxes Messages Contacts To read one of your messages: 1. Select a message from the messages window 2. Sending an Email Message Click on the arrow below the Write Message icon and choose New Message The Compose Email window will appear. The From box should contain your email address. Place the address of the person you wish to send mail in the To box. If you want to carbon copy the message to another person, place their email address in the CC box. The Subject is optional but a good idea so the person receiving the mail knows what the message is about. Write your message here. Click the send icon to send the message. Some other options found on the Compose Email window are: Add Recipients Clicking on the Add Recipients icon produces a window showing a list of addresses in your address book. You can set defaults for whom you want to send messages To, Carbon Copied, or provide a backup cc. NWOCA, 2008 NWOCA WEBMAIL GUIDE Page 6
Attach Clicking on the Attach icon produces a window that allows the selection of the file to be attached to the mail message. Click the Browse button to find the files on your computer that you wish to attach. The file chosen will appear in the box next to the browse button. Click upload and the file will be uploaded to your email message. The Return icon takes you back to your message. NWOCA, 2008 NWOCA WEBMAIL GUIDE Page 7
Spell Check As you compose a message, WebMail will underline in red words that it doesn t recognize. When you click on the Spell Check icon, spell check will underline words in bold red that are not in the WebMail dictionary. Clicking on the underlined word will give an list of options for correction. Save Draft Clicking on this icon will save a draft version of the message that can be edited later. Replying to and Forwarding Messages When you are replying to or forwarding messages, select a message and then use these icons: Reply: Brings up a copy of the message with the To: field filled with the address of the original sender. Type your reply message and click Send to send the reply. Reply All: Does the same as the Reply option but sends a reply to all of the original recipients. (Note: be careful when using this option. If you are replying to a message, all will receive the message) Forward: Use this icon to forward a message. This option requires that you provide an email address for the person to whom the message is forwarded. Deleting, Moving, and Printing Messages Clicking on these icons will result in the following actions: Delete Move Print Delete: Choose the message to be deleted and then click on the Delete icon. Move: Choose the message to be moved to a different folder and click on the Move icon. Choose the folder that you want to move the message into. Print: Choose the message to be printed and click on the Print icon. Follow your computer s print dialog to choose the printer. NWOCA, 2008 NWOCA WEBMAIL GUIDE Page 9
Search Type Clicking on the Search Messages icon will give two choices: Search Messages and Find People. Setting Preferences Mail Settings Mail setting will allow you to set preferences for your mail when using WebMail. Clicking on the Mail Settings icon will produce three tabs: WebMail Preferences produces these options: NWOCA, 2008 NWOCA WEBMAIL GUIDE Page 11
Webmail Preferences continued: Layout/Color This tab allows you to choose alternate views for your webmail. Click on the arrow next to Advanced (IE/FF). Choose either Advanced (for Internet Explorer or Fire Fox); Simple (for an Ajax type browser); Basic (works with any browser Safari, Opera, etc.) Use Simple view if your folders are not appearing properly in Advanced view. Mail Security Tab Contact your local Technology Support person for information about setting encryption levels. You should not need to make any changes to this tab. Calendar Calendar icon Clicking the Calendar icon produces this screen: Reminders of your calendar events will show in the middle of the calendar screen: The calendar options are located in the upper left hand corner of the calendar screen. Address Book Address Book icon Clicking on the Address Book icon will result in the screen pictured below. Your contacts are listed in this window.
