Workshop goal To introduce you to some of the features of Zotero so that you can decide whether to use it to organize your bibliographic references 2

By the end of the workshop You will each have a personal Zotero account and will be able to: Download and install Zotero Create folders to store bibliographic info Add several common types of references to your folders, both manually and by downloading info Generate an APA-formatted bibliography Sync your account so you can work from any computer 3

Citation software A tool to help you keep track of information sources and easily generate bibliographies Allows you to integrate the software with Word so that you can pull in footnotes and references from your list of sources EndNote and RefWorks are best-known; Kwantlen does not subscribe to these 5

Strengths of Zotero Free web-based, so available from anywhere supports group collaboration integrates with Word stores (and indexes) PDF s and other files strong user community; lots of help open source 8

Weaknesses of Zotero Does not work in Internet Explorer (yet) Works best in Firefox; versions are available for Safari and Chrome browsers Standalone versions available for Mac OS X, Windows and Linux data stored on Zotero s US servers doesn t work with as many databases fewer output citation styles may have more citation errors 9

Essentials Works best in Firefox You only need to create your Zotero account once You must install Zotero (once) on each computer you use Citations can be stored on local computer or synced to Zotero server (recommended) 10

Installing Zotero: 4 steps 1. Create personal Zotero account 2. Download and install Firefox browser 3. Download and install Zotero software 4. Installation Step 1: Create a personal Zotero account Go to www.zotero.org Click on Register Complete the form create a username and password Zotero will send you a confirmation email Open email and click on link in confirmation message Kwantlen webmail: https://webmail.kwantlen.ca/ 12

Installation Step 2: Download latest version of Firefox http://www.mozilla.org/en-us/firefox/new/ We won t be doing this on your computers here today because it is already installed, plus only IET can install software on lab computers 13

Installation Step 3: Download Zotero Open Firefox browser Go to Zotero home page www.zotero.org Click on Allow Firefox to install Zotero it will be installed as an Add-on program to your Firefox browser Restart Firefox you should see a screen icon at the bottom-right of You can also download Word Plugin now -optional 14

Installation Step 4: Set preferences in Zotero Set up Zotero Preferences to sync automatically: Open Firefox browser Open Zotero window click the icon at bottom-right of screen OR, click on Tools in menu bar, then Zotero Open Preferences window from gear icon only more thing to do... 15

Set up Zotero Preferences Click on Sync icon Enter your username and password Match these settings if not already set by default 16

What am I syncing? 1. Data all of the descriptive information in your folders including the citation, tags and notes It does not include any attachments Unlimited storage 2. Files the attachments in your folders including PDF s and other files in your personal and group libraries 100 MB free storage; single file max is 4 GB costs for additional storage 17

Why sync? By syncing to the Zotero server you: can access your folders from any computer with internet access automatically save changes no need to transfer latest version between computers Downside to syncing Zotero server could crash and lose your info very unlikely, but possible; always back up your work your account is subject to the US Patriot Act, which is a potential privacy concern 18

Do I have to sync to Zotero s server? No. You can instead: Use WebDAV storage Use Portable Firefox on your local computer Sync with another network folder or synchronization service like Dropbox There are mixed messages on the Zotero help forum about using Dropbox; some people have encountered problems http://www.zotero.org/support/sync#alternative_syncing_solutions 19

Adding items to your library Let s add some items to your collection! First up: a book citation 22

Book citations Downloading from a compatible library catalogue Click on blue book icon Exports citation information, tags, URL to record 23

Book chapter Manually entering citation info Click on item type to change to book section, then add chapter title; change contributors to editors and add chapter author 25

Attach PDF to entry Click on Attachment icon Choose Attach Saved Copy of File and select your pdf from the desktop 29

Article from Google Scholar Google Scholar creates a folder with all articles on this screen; click folder icon to choose which one(s) you want to download into Zotero. article Automatically includes a snapshot of the article 30

Websites Create new item from current page (if no icon beside URL) Click icon to capture info about this webpage You can save PDF to desktop and attach to entry 31

Website how to annotate it Double-click on the snapshot entry New annotating and highlighting icons are now available 32

Create a new folder Click on New Collection icon Give folder a title (e.g. PDSS) 33

Create subfolders Right-click on the folder you created Select New Subcollection Give subfolder a title Now you can move any items to any folder you want 34

Creating a bibliography Right click on folder to show output options Click on Create Bibliography from Collection 35

Choose output style All basic citation styles included; many more available for download RTF = for word processor HTML = to save as web page Clipboard = to paste into another application Print = to print immediately 36

Rough bibliography The uncorrected bibliography is full of errors. This is mostly because the information in the entries was not checked and corrected before creating the bibliography. Garbage In = Garbage Out 38

Backing up your files Always back-up your Zotero Library! Although the Library is saved on the Zotero server (if you sync to the server), you should keep a back-up copy in case the server crashes, or some other disaster strikes Instructions: http://www.zotero.org/support/zotero_data#how_do_i_back_up_my_zoter o_library 42

A Word about Copyright Under the AUCC-Access Copyright Model Licence signed by Kwantlen, you can save a digital copy (e.g. PDF) of documents covered by the Licence on Kwantlen s servers You can also post these documents on your course website (a secure network ) It is unclear whether you can save these documents on a server outside of Kwantlen, however. Stay tuned! 43
