Overview and Checklist Read through the CRS Data Migration Guide completely before commencing the installation of the Corporate Compliance 3.0 software. It will help you plan for the tasks required. You will need to install Corporate Compliance on your server prior to running the data migration process. Phase 1 Pre migration Migration Checklist Step Description Completed 1 Check your system prerequisites. 2 Read the overview of the migration from CRS to Corporate 3 Install Corporate Compliance on your server. Overview of Migration from CRS to Corporate Compliance The migration of data from your CRS to Corporate Compliance is a once only process that is performed after installing Corporate Compliance on your server. This process: Captures data currently stored in your CRS database. Checks the integrity of your CRS data and provides a detailed integrity check report so that you are aware of any issues with your data. Imports the data to the Corporate Compliance database so that you can maintain your data using the Corporate Compliance program. Warning: The migration process will overwrite any existing data in your Corporate Compliance system. The following outlines the details of the data migrated to Entities All entities will be migrated from CRS to Dormant entities will be set up as non managed companies. An organisation represents a trust or estate if there is one or more associated trustees. An organisation that represents a trust or estate will be migrated as a nonmanaged company. The beneficiaries of the trust will be recorded in the notes of the company. An organisation represents a joint shareholding if there are associated members only and the organisation holds shares in an entity in CRS. An organisation that represents a joint shareholding will not be migrated to Any other organisation is considered a company that is not managed by the practice. An organisation that represents a company will be migrated as a non managed company. Shares held by organisations Corporate Compliance reports the immediate holder of shares to the ASIC. Corporate Compliance does not support the organisation structure. The share holdings of organisations migrated to Corporate Compliance will be changed so that the holder reported to the ASIC via Form 484C will now directly hold the shares. CRS Features not Supported in Corporate Compliance 3.0 The following information will not be migrated to Corporate Compliance Seal Usage Options Capital share certificate consolidations CRS security settings and users Business names Document Reporter documents Procedure tracking information Billing Securities and futures licences Attributes Prescribed Interests Other Directorships Central Database and Tax integration settings Divisions Custom officer positions Incorporation data Class Orders Entity tree information (parent entities) AGM meeting dates Phase 2 Migrate Your CRS Data After installing the Corporate Compliance software (for the first time only), you are ready to migrate your CRS data to Note: Migration of CRS data will overwrite any existing Corporate Compliance data. Do not re migrate your CRS database if you have commenced work in The Corporate Compliance Data Migration Wizard guides you through the data migration process over two stages: Prepare Your Data for Migration (see page 10). The time required to migrate your CRS data depends on the size of your database. A large database can take between 30 and 60 minutes. Note: When you complete the data migration and then start using Corporate Compliance, any further changes made in CRS will not be copied to Corporate However, you will still be able to view your data from CRS. Each time you run the Corporate Compliance Data Migration Wizard, all data changes that you have made in Corporate Compliance since the previous data migration will be overwritten. Prepare Your Data for Migration Prior to migrating your Corporate Register System data, you will need to check the integrity of the data to ensure that the data migrates successfully. The migration process involves: running the first stage of the data migration wizard checking the Data Integrity Check Report correcting any errors and warnings listed in that report as described below, and rerunning the first stage of the wizard again until the integrity of the data is established. To run the data migration wizard: 1. Close all programs on your PC. If you are migrating data on a server, close all programs on any PCs that are connected to it. 2. Click Start > Programs > MYOB Accountants Enterprise > Corporate Compliance > Utilities > Data Migration from CRS. MYOB AE Corporate Compliance Version 3.0 CRS Data Migration Guide 10

The Welcome window for the Corporate Compliance Data Migration wizard appears. This window includes a caution advising you that any data you may have previously migrated is overwritten. 3. Click Next. The Data Location window allows you to navigate to the location of your CRS program and data. When you are ready to migrate your data (as detailed in Migrate Your Data on page 15). Note: If you have migrated your CRS data previously, a message at the bottom of this window will display to warn you that any changes made since the previous data migration will be overwritten. 4. Click Next. The Data Import and Migration window appears. The following processes start automatically: Importing data, which extracts data from the nominated Corporate Register System database to temporary text files, then imports the data to temporary Corporate Compliance database tables. Verifying data for migration, which checks the integrity of the imported data. MYOB AE Corporate Compliance Version 3.0 CRS Data Migration Guide 12

The Data Integrity Check Report appears with a list of errors and warnings that the wizard has detected from the imported data. The Data Integrity Check Report contains the following columns: Column Table Line Type Description Definition For MYOB reference only: This indicates the database table where the error/warning is located. For MYOB reference only: This indicates the row number in the table where the error/warning is located. This column indicates the type of data fault, that is, error or warning. If errors are present, you cannot proceed with the data migration until you correct the data. If warnings are present, you can proceed with the data migration, however MYOB recommends that you investigate each warning and, if possible, correct the data. If information messages are present, you can proceed with the data migration, however MYOB recommends that you investigate each warning and, if possible, correct the data. This column contains the message that explains the error or warning that has been triggered by the CRS data being migrated. See Errors on page 17 for an explanation of each message and any required changes or workarounds. 5. Click Print to automatically send your report to the default printer. 6. Click Close. This generates a copy of the report in the location indicated on screen. This report is called DataCheckRpt.doc and can be located in your Corporate Compliance CRS conversion folder on the server. For example, C:\Program Files\MYOB\Corporate Compliance\CRS Conversion. System Detects One or More Errors If the system detects any errors, the following message appears: You will not be able to continue with the data migration process. Click OK on this message and then click Cancel on the wizard step displayed to close the data migration. You need to review the data integrity check report produced by the migration wizard and correct all errors prior to continuing the migration. We recommend that you also review all warning and information messages. For more information, refer to Appendix A: Data Migration Correcting Errors and Warnings on page 17. You need to commence the data integrity check process again to verify the amended data. System Detects No Errors If the system does not detect any errors but does result in any warning or information messages, the following message appears: If you want to continue with the migration process, click Yes. Proceed to Migrate Your Data on page 15. If you do not want to continue, click No on this message and click Cancel on the wizard to close the data migration. Note: Errors must be corrected to proceed with the data migration. Warnings do not need to be corrected, however MYOB recommends that you correct them before proceeding with the data migration. This ensures that your use of the data in Corporate Compliance is optimised. It is generally easier to correct warnings within CRS prior to migration than to correct them later in Corporate Migrate Your Data After preparing your CRS data (as described in Prepare Your Data for Migration on page 10) you can then run the data migration wizard to its completion. This process migrates your CRS data to Note: The wizard overwrites any existing Corporate Compliance data with your CRS data each time you run this part of the wizard. This means that if you have previously migrated your data then edited it in Corporate Compliance, this data is overwritten with the data in CRS. 1. After preparing your data for migration, that is, by correcting errors and warnings listed in the Data Integrity Report, as described in the previous chapter, the Data Integrity Check Report appears. 2. Click Close. If you have corrected all errors and warnings, the Data Import and Migration window displays again and starts the data migration automatically. This window contains a summary of the company and people records that have been migrated from CRS to 4. Click Finish to complete the data migration. Appendices Appendix A: Data Migration Correcting Errors and Warnings The following tables provide solutions for correcting errors and warnings that may appear in your Data Integrity Check Report. (See Prepare Your Data for Migration on page 10.) Errors must be fixed to complete data migration. Warnings do not need to be fixed, but fixing them will ensure the integrity of your data. Errors To assist you to read these error messages, an example of error 5004 is: Xenia Motors Ltd (XML), Paige Pickles (PP), Director Officer has a cease date (31/6/200) prior to their appointment date (31/6/1999). You may review and update officer details in Code Message Resolution 100 <Agent Number>, (<Agent Code>) Duplicate agent code. You must delete one of the duplicate agents. The agent code needs to be unique so that forms and documents can be migrated correctly to Corporate 200 <Company Name>, (<Entity Code>) Duplicate entity code. You must change one of the one of the duplicate entity codes or delete the duplicate entity. allow duplicate client codes From the Corporation Utilities module: Select File > Agents > Browse. Delete the agent with the duplicate agent code. From the Corporation Register System module: Select File > Entities > Browse Enter the entity code and press [Enter]. All entity records with this code will be listed. CRS does not support duplicate entity codes. After identifying the entities with the duplicate codes, contact support for further assistance. After identifying the organisations with the duplicate codes, contact support for further assistance. Locate the entities and organisations that are using this same ACN. From the Corporation Register System module Select File > Entities > Browse. click Filter button. Enter the duplicate ACN value and click Filter button. From the Corporation Register System module Select File > Organisations > Browse Click Filter. Enter the duplicate ACN value and click Filter. Identify which company requires this ACN.
