1 Getting Started About This User Guide This guide contains information about how to the use the Construction Hiring Connection and is intended for use by any contractor who uses the Construction Hiring Connection. What is the Construction Hiring Connection? The Construction Hiring Connection contains a pool of applicants with diverse ethnicity, gender and veteran status who are seeking employment in the construction field. A web-based application, the Construction Hiring Connection is accessible from any computer with an internet connection and browser. How Can You Use the Construction Hiring Connection? You can use the Construction Hiring Connection to search for qualified applicants, engage with job candidates, and document your hiring process. By using the Databank s powerful database search capabilities, you can create custom queries to filter out applicants who do not meet your requirements. Using this system allows you to document your hiring process in such a way as to show compliance with applicable law. 3
2 Your Account Accessing your Account 1. Open your web browser and go to http://www.thedatabank.com/dpg/469/login.asp?formid=contractorlogin. 2. Enter your Email address and the Password provided to you by Construction Hiring Connection staff. 3. Click Login. If You Forget Your Password 1. Click Send my password 2. On the following screen, enter the email address that is connected to your account. Then click Send Password. An email will arrive at that address within moments. Add something about what happens if they don t have a username and password. 4
Changing Your Password 1. After successfully logging in, the Home screen is displayed. You can also access this page at any time by clicking the Home link in the top navigation. Click the Change password link on this screen. 2. The Change Password screen displays. Type the password you used to log in to the system in the Old password field. Enter your new password in the Type your New password field. Enter your new password again in the Type the password again field. 3. Click Change Password. System Overview The intended outcome for users of the Construction Hiring Connection is to be able to manage and document your hiring processes as well as find qualified applicants. The intended process for system usage is as follows: 1. Set up a Hiring Query to see a list of applicants who meet your criteria 2. Select candidates from the list of applicants who meet your criteria 3. Evaluate and contact those candidates whom you are interested in considering for employment 4. Log any contact you have with those candidates 5. Enter the information about the outcome of this Hiring Query. 5
Home Screen The home screen is divided into three areas: 1. Welcome Bar 2. Hiring Queries 3. Contacts Made 6
Welcome Bar Within the Welcome Bar are three areas with three different purposes. 1. The Statistics area (in the Welcome Bar) allows you to see your number of logins to date in the Construction Hiring Connection, as well as any hires that have been entered into the database. 2. The Search Jobseekers search bar allows users to search for a specific individual that is within the Minnesota Construction Hiring database without having to create a hiring query. 3. The top navigation area allows you to go back to the Home Screen, change your password or Log out. This top navigation is available on all pages. Hiring Queries By default, all of your Hiring Queries will be listed in the Hiring Queries Area. Your list of Hiring Queries can be made more manageable by filtering or sorting them. To filter your queries, click on the All, New, Active, or Inactive buttons. These filter options are based on your Hiring Queries status. You can change a Hiring Queries status when the Edit Hiring Query box is open (see Edit a Hiring Query on page 10). To sort your queries, click on one of the column headers (e.g. Position, Trade). This will arrange your queries in ascending order; clicking the column header again will sort them in descending 7
order. You can view up to one hundred queries in this area and navigate between pages of results, using the paging options located at the bottom center of the area. Contacts Made Below the Hiring Queries, you'll find Contacts Made. These are all of the contacts that have been logged in the system for your particular login credentials. Double clicking a row containing a contact will transfer you to the Candidates screen where you can view all of the contacts for that Candidate, view their contact information, and/or log another contact with that candidate. To sort your contacts, click on one of the column headers (e.g. Date, Type). This will arrange your queries in ascending order; clicking the column header again will sort them in descending order. You can view up to one hundred contacts in this area and navigate between pages of results, using the paging options located at the bottom center of the area. 8
3 Working with Hiring Queries Creating a New Query 1. To create a new query, click New Query at the bottom of the Hiring Queries area on the Home Screen. This will open the Add Record screen. 9
2. Fill in the criteria you wish to use to search the Construction Hiring Connection. Note: It is not necessary to fill in all search fields. You must to fill in a Position, Trade, and Project. Position Trade Level Min Yrs Experience Certification Project Sec 3 Cert Sec 3 Cities County Union Work start Max Days Since Login Either a description of the position or an internal code created by you. The type of work that the candidate is qualified for. The candidate's level of qualification. The length of the candidate s work experience. Any additional certifications the candidate should have. The name of the project this candidate will be hired for. Tells you if the candidate is Section 3 certified Specific cities where a candidate is Section 3 certified The county the candidate lives in. The union the candidate belongs to. The date that the candidate should be available to begin work. The maximum number of days allowed since the candidate last logged in to the system. 3. Click Submit to save your Hiring Query. 10
Edit a Hiring Query 1. Select the Hiring Query you wish to modify by clicking it from your list of Hiring Queries on the Home Screen. 2. Click the Edit button at the bottom of the Hiring Queries area. 3. This will open up your Hiring Query and allow you to modify any of the criteria. 4. Clicking the arrows at the bottom of the Hiring Query, allows you to page through all of your Hiring Queries listed on your screen. 5. To save any change to a particular Hiring Query, click Submit. 11
4 View Results Once you have created a query, you can click the View Results button to see all records in the Construction Hiring Connection that match your query. View Results Screen Clicking on a row on this screen will cause that applicant to be checked and highlighted. Applicants that are checked will appear in the next stage of the process: Work with Candidates. At any time, you can go back to Edit Query to change the Results that you see on this screen. Additionally, when working with candidates, you can go back to the View Results screen and add more candidates. 12
5 Work With Candidates Once you've chosen the candidates from the View Results Screen, you are ready to move on to working with individual candidates. At any time, you can go back to your View Results Screen and add more candidates to your Work with Candidates area. Candidates Screen Overview From the Work with Candidates screen, either double click on the row containing the candidate (or click on a candidate and click View Selected Candidate Details). The candidate details screen allows you to view that candidate s complete information as well as any logged interaction you have had with them. 13
Candidate Details Clicking on View Selected Candidate Details will open up that Candidate s Contact Area. The Contact Area, displays that person s contact information, an area to log any interactions that you have had with that individual, and a view of all of the logged interactions you've had with that candidate. Navigation: Clicking on the Contact, Trade(s), Resume, Training, or Union tabs will display additional information about that particular candidate. (Not all candidates will have information on each tab.) Clicking arrows at the bottom of the page will allow you to navigate between candidates in the order they are listed on the Candidates Screen. Rating a Candidate: Clicking on the stars will allow you to rate that specific candidate on a scale of one to five. (The Candidate rating is specific to the set of search results, not an overall rating of the candidate.) This rating will appear on the Candidates Screen and on the Home Screen in the Contacts Made area. 14
Logging a Contact While in the Contact Area, you can log an unlimited amount of interactions with a specific candidate. To log a contact: 1. Enter the date the contact was made. 2. Select a Contact type from the Contact type drop down. 3. Select a Method from the Method drop down. 4. Select a Result from the Result drop down. 5. Enter any additional information you would like in the note field. This note can contain up to 245 characters. 6. Click the Log it button. The Contact will now appear in that candidate's Contact Area and on your Home Screen in the Contacts Made area. 15
6 Finishing Your Hiring Query After you have either filled the position or decided not to fill the position, you will need to log this decision. Finish Up 1. In the Finish Up screen, change the Query status to Inactive by checking the appropriate box. Once a hiring query is marked as inactive, you will not be able to reopen it. 2. Select the appropriate Outcome(s) for this query. You may select more than one choice for the outcome. 3. Add any comments that you feel relevant to this query and click Submit. 16
