Passenger Transport Tenders Please read this guide before responding to a tender or quotation. Please call the Suffolk County Council procurement helpdesk on 01473 260232 or email suffolk.sourcing@suffolk.gov.uk for any technical system issues. Questions regarding the actual tender process, specifications or points of clarification should be made directly to Passenger Transport. In order to submit a Tender you will first need to ensure that you have registered your organisation as a Supplier and yourself as a user on the Suffolk Sourcing system. To see all the school transport tenders enter Passenger Transport* (including the asterisk) in the search box and click on Search. You can Express an Interest by clicking on the Show Menu button then selecting Expression of Interest and then selecting option 1 or 2 from the window that pops up. Click on the Show Menu button. Page2 of 9
From the View Project Details page you will be also able to download the tender documents, terms and conditions and instructions. To do this click on Show Menu and select, Project Documents Select Show Menu Select Notices, invitations & documents Download the files to your computer either individually by clicking on the filename or all of them in one go as a ZIP file by clicking on the Download Zip File button. A Zip file is a single file containing one or more documents. When the zip file is double-clicked you will be able to view its contents and you will be prompted to save or extract them to your computer. The file titled Tender Structure XML Cycle 1 is for system use only you will not be able to read the contents of this file. Page3 of 9
Click on the filenames to download them individually Or, Click on Download Zip File to download all documents at once Creating your tender response Once you have downloaded the tender document you will have to complete and save it before it can be returned. The tender document was produced using Microsoft Word which is compatible with most word processors. If you are not able to open the document please let us know. Although you should only need to return the one file, if you do need to include any attachments you will need to zip all your files together as a single file. If you are unsure how to do this please let us know. Returning the document To upload your completed tender, log in and click on My Projects. Page4 of 9

You now need to confirm your details are correct and that you have logged in as the right person. To continue, click on confirm. Click on confirm Next, to continue with the process you need to accept the agreement for the project by clicking on the Accept button. If you reject the agreement you will not be able to submit your bid. Click on Accept You will now be able to upload your tender. Click on Browse. Page7 of 9
Click on Browse Locate the tender file to return and click on Open Select your tender to upload Click open Page8 of 9
Then upload the file to the Suffolk Sourcing System by clicking Upload Click Upload Once the tender has been uploaded, you will see an entry in the list of submitted tenders at the bottom of the page. You will see a yellow triangle under the conformance check column this is fine and does not indicate any problem. You will also receive an email as confirmation that the tender has been received.
