1 Viewing and Managing a Grade book. Entering grades To view your course grade book with students and their grades, click the first link in the Grades Area: Enter Grades to open the User List page. NOTE: If your grade book is not populated with grades, make sure that you set up Grade Details: under the Submission view Display Options while clicking Grades Settings link in the Grades Area (http://gsw.edu/assets/gaview/files/d2l/gradebook/chapter2_grades_settings.pdf). DISPLAY OPTIONS There are two display options on the page: Display Options: Allows you to select which grade categories and items are displayed in the grade book. This only affects your view but not your students view. This feature can be helpful if you have a high number of items in your grade book (http://gsw.edu/assets/gaview/files/d2l/gradebook/hide_grade_column.pdf). Once you made changes in Display Options, click Save. NOTE: When you return to the User List, you will see the following message at the top: Note: Some grade items/categories are not displayed, click Display Options to change which items are visible. You don t need to take any actions because this is just a reminder that you hid some items from your sight.

2 ENTERING GRADES ENTERING GRADES USING THE SPREADSHEET VIEW Switch to Spreadsheet View option: Allows you to enter grades manually. You can enter scores for each grade Item and for each student. Click Save often to save your changes. To return to a normal view, click Switch to Standard View. ENTERING GRADES BY ITEMS, USER, CATEGORY Besides using the Spreadsheet View, you can enter student grades in three different ways: 1. By item 2. By user 3. By category 1. Entering grades by item allows entering grades of multiple students for a single grade item. From either the Enter Grades or Manage Grades link, click the Grades icon to the right of the Grade Item name:

3 Enter grades manually for each student and click Save. You can also add comments by clicking the Comments icon to the right of each score: On a pop-up window, you can enter a comment visible to you and a student: Comments for users and/or visible only to you: User leading a course Only Comments. On the Grade Item: screen, you will also see three icons in the Top Tool menu: Event Log, Grade All, and Clear All: Event Log shows you to see who and when modified student grades. It can be helpful if there are multiple instructors enrolled in the course. There is also the Event Log icon for an individual student. Grade All allows you to enter a score for ALL students. Clear All permanently deletes all item scores that have been entered for all students. Be careful: this action cannot be undone. 2. To enter grades by user you have to click the Enter Grades link in the Grades Area. Click on a student name s link:

4 The Grade user: screen contains all of the grade information for the student Enter grades into appropriate item fields and click Save. You can also: Add comments for each grade by clicking the Show Comments link under each grade item. Flag a student to identify him/her for future reference (just click the Flag icon to the left of the student s name) Students cannot see flags. Enter manually or/and reculculate a Final Adjusted Grade: click the Caculator icon Transfer Final Calculated Grade to Final Adjusted Grade: click the green arrow Release a student s Final Grade (adjusted or calculated): put check into the Release: box See the Event Log, Email the student directly, and Preview how the student will view his/her grades: click the appropriate icons on the Top Tool menu. Click Save to save your changes.

Entering grades by category allows you to enter grades for multiple students for several grade items within a category. From either the Enter Grades or Manage Grades link, click the Grade icon to the right of the grade category name: Enter grades manually for each grade item and each student.

6 You can also add comments by clicking the Comments icon to the right of each score. If you would like to delete all grades, click Clear All at the top. NOTE: Clear All will permanently delete all grades. This action cannot be undone. Save all your changes. ENTERING GRADES FOR ITEMS ASSOCIATED WITH QUIZZES, DROPBOX FOLDERS OR DISCUSSIONS You can associate quizzes, dropbox folders, and discussions with grade items and grade them directly from the Quizzes, Dropbox or Discussions tools. You can create the grade item once you set up a quiz, dropbox folder or discussion topic. If you would like the maximum points value of a grade item overrides the final score value of an associated quiz, dropbox submission or discussion topic: o Go to Grades, Manage Grades, click the grade item link and select Can Exceed in your dropbox folder or discussion topic settings to allow the grade value of student' submissions to exceed the maximum points value set in the associated grade item.

7 o Select Can Exceed and also create Bonus questions in quizzes to allow user submissions to exceed the maximum points value set in the associated grade item. Example: If a quiz with a total points value of 10 is associated with a grade item with a maximum points value of 8, a perfect quiz score of 10/10 will display in the Grades tool as 8/8. If a quiz with a total points value of 8 and a bonus question worth 2 points is associated with a grade item with a maximum points value of 8, a perfect quiz score of 10/8 will display in the Grades tool as 10/8. NOTE: You can enter or update a grade from either the Grades tool or the tool the item is associated with. However, changes made in the Grades tool are not updated in the associated tool. REORDERING AND DELETING GRADE ITEMS AND CATEGORIES 1. When a new grade item or category is created, it is placed at the end of the Grades List by default. If you would like to put it in a specific order: On the Grades List page (Manage Grades area), click the Reorder icon at the top of the screen:

8 Next to the item or category, click the Sort Order drop-down lists with numbers to select the order each grade item or category will appear in. Click Save. NOTE: If you reorder a category, all grade items associated with that category will also be reordered.

To delete grade ttems or categories: Click Delete icon at the top of the Grades List screen On the next screen, check the item(s) or category you want to delete Click the Delete Selected button and click Delete on the pop-up box to confirm the process. NOTE: Deleting a category will NOT delete the associated grade items. These items will be moved to the end of the Grades List and will no longer belong to a category. NOTE: Deleting a grade item will permanently delete grades that have been entered for the item. NOTE: You cannot delete a grade item that is associated with another course object, such as a quiz, discussion topic, or dropbox folder. To delete the item you must first remove the association. Click the Information icon next to a grade item with an association to view details about where the item is used. To remove the association before deleting a grade book item: Go to the item with which the grade item is associated (a quiz or a dropbox assignment or a discussion topic) Click on the item link (e.g. a quiz) On the Edit page/properties tab, click the Grade Item: dropbox arrow and select None from the menu. The association will be broken and the Auto Export to Grades: box wil be dimmed Click Save Quiz

10 Now, you can go to the Grade book > Manage Grades and delete the appropriate grade item. EDITING MULTIPLE GRADE BOOK CATEGORIES AND ITEMS From the Manage Grades area, select the check boxes beside the categories and items you want to edit on the Grades List page. Click the Edit Selected Grade Items icon at the top or bottom of the list Use the table to update fields and click Save: NOTE: You can only edit the Name, Short Name, Max Points, Weight, Bonus, Can Exceed, Grade Scheme, and Category fields using the multiple edit option. GRADES LOG Grades log maintains a record of changes made to your grade book in terms of items and categories. The logs can be useful when auditing a grade book. To access the log, click the Grades Log icon in the Manage Grades area:

11 On the Event Log screen, you will see a list of all created, deleted, restored items and categories: NOTE: If you accidentally deleted a grade item, you can restore it from the Grades Log. However, you will be able to restore the item only but not the grades. To restore the item, click the Restore link next to the item in the Item column The item will be restored and moved to the top of the list If you would like to make changes to the item, click its link in the Item column You cannot restore a category. You can create a new one with the same name as previously deleted. PREVIEWING STUDENT GRADES You can preview student grades so you can see how they look from a student perspective. Click Enter Grades and click the name link of the student whose grades you wish to preview.

12 On the Grade user: screen, click the Preview icon at the top to review how a student sees his/her grades: EVENT LOG Event logs maintain a record of changes made to your grade book. The logs can be useful when auditing a grade book, managing teaching assistants and discussing grades with students. You can access Event Log from four perspectives: 1. User Event Log records all changes made to a particular student s grades. You can access it from the Enter Grades area: o click the student name in the User List and click the Event Log icon next to the Preview icon 2. Grade Item Even Log records changes to users' grades on a single grade item: o From Enter Grades, click the Enter Grades icon for a grade item o On the next screen, select the Event Log icon on the Top Tool menu. 3. Final Grade Event Log records changes to users final grades. From the User List page, click the Enter Grades icon for the Final Grades item o From the User List page, click the Enter Grades icon for the Final Grades item o Select Event Log on the Top Tool menu. 4. Manage Grades Event Log records changes that were made to the properties or restrictions of a specific grade item.

13 o In the Manage Grades area, click the name of a grade item from the Grades List o Click Event Log in the Top Tool menu
